Business Coordinator is responsible for procurement and Concur expense processes, ensuring compliance and clear timelines, while managing facilities tasks like stocking supplies and coolers, parcel distribution, workspace/event setup, and fleet readiness.
Key Responsibilities:
• Procurement Coordination
Take full ownership of the procurement life cycle, managing each stage from the initial request through to the final closure of purchase orders, ensuring accuracy, compliance, and timely fulfillment of all procurement activities.
Proactively communicate procurement timelines to project leads, ensuring transparency and alignment with project schedules. Cultivate strong relationships through effective dialogue, facilitating collaboration and timely decision-making to drive project success.
Establish yourself as the Subject Matter Expert (SME) for expense management in Concur, overseeing credit card processes and ensuring compliance with organizational policies while providing guidance and support to team members on expense reporting and reconciliation.
• Facilities Assistant
Order and replenish stock in food stations, beverage coolers and office supplies. Maintain cleanliness in offices, kitchen areas, labs and workspaces between three different locations.
Work with Facilities Manager to oversee fleet reservations, maintenance and vehicle readiness to ensure vehicles are available and compliant.
Set-up workspaces and meeting rooms for events.
Manage parcel distribution to workspaces across three sites.
• Administrative Support
Work with PMO Coordinators on project closures, ensuring all documentation is thoroughly completed and procurement activities are finalized and sent for approval.
Serve as a reliable backup for colleagues, ensuring seamless continuity of operations and providing essential support during absences or peak demand periods, thereby maintaining project momentum and team effectiveness.
Qualifications:
A self-motivated individual, able with work with minimal supervision with prior experience in procurement, office or facilities administration, who demonstrates foresight in planning and the agility to adapt quickly to changing priorities.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint & Power Tools)
Ability to learn in-house software (Time Tracker, Manage, SmartBuy, FrontDoor, SAP).
Strong analytical, organizational, and multitasking skills with attention to detail.
Excellent verbal and written communication skills, with the ability to work collaboratively in a Team-oriented environment.
Work Environment:
Primarily based at one location, and will be required to drive company vehicles between three local sites for parcel distribution, office organization and restocking supplies.

Job Description
Responsibilities:
· Shift time:-Mon-Fri, 7 AM to 3:30 PM.
· Prior warehouse experience.
· This position fills the need to undertake warehousing operations that encompass several functions.
· Material handling functions include dock operations, movement, storage, tracking, and pulling and locating chemicals and packaging components.
· The receiving function processes incoming material and loading data into SAP.
· Initial acknowledgement of material is also done here.
· Component order processing, tracking, activity reporting, inventory deducts, and deviation investigation are part of this function Use of powered material handling equipment up to and including operator-up turret stock picker is required. Safe handling of chemicals, supplies, and equipment while ensuring compliance with all regulations is expected.

Qualifications
