Summary

Provide uniformity and consistency in the collection, maintenance, and interpretation of student record information. The ideal candidate will evaluate and decipher unique transcripts of new/incoming/returning students, serving as a source of information to students, parents, and staff regarding course and graduation credits. Essential Duties and Responsibilities:
Manage the day-to-day operations of the Student Registrar Division to maintain and verify accurate student data and records. Coordinate the development and implementation of systems to collect, store, retrieve, and report student records. Oversee and maintain the district's student records. Maintain accurate data and information for the district to meet local, state, and federal policies and mandates. Supervise the transcription process by training all District student record team members and coherently provide feedback and support consistently throughout the year to campuses. Communicate final decisions to campuses on student records when questions arise regarding compliance and transcription. Oversee the district-wide transcription process of student records from entry to exit and make decisions in a timely manner to ensure students enter appropriate courses and grade levels. Respond to requests for District-archived transcripts, report cards, history of school attendance, etc. at the district level. 6. Monitor student records to ensure compliance with academic regulations and program requirements for graduation. Develop training models and train school student record team members. Create, maintain, and provide recommendations for an Academic Procedures Manual and a Registrar's/Records Office Procedure Manual. Ensure the graduation date is on printed transcripts. Evaluate international transcripts and serves as a direct resource to employees, parents, and other education institutions to convey appropriate transcript evaluation. Scan previous graduate transcripts for District. Assist in transferring records between schools within the District and between other school districts. Collaborate with campus staff to ensure the maintenance of student records, the posting of nontraditional credits, and the evaluation of transfer transcripts for out-of-state and international students. Implement and maintain electronic filing of student records through relevant software. Research and implement federal and state laws, regulations, and District policies, guidelines, and procedures as applicable. Assist in coordinating various registration efforts, special projects, programs, and events with various department stakeholders. Represent the District at selected registrar conferences, counseling clerk conferences, and meetings as directed. Summarize and/or verify data and information for compliance reporting. Provide input to various manuals and training publications within area of responsibility. Perform other duties and assumes other responsibilities as assigned or delegated by the Assistant to the Superintendent/Chief Culture, Equity, and Advancement Officer.


SUPERVISORY RESPONSIBILITIES


Directly supervise Office and technology team members. Responsibilities include interviewing, recommending hiring, and training employees; planning and coordinating work; appraising performance; rewarding and disciplining staff; addressing complaints, and resolving problems. The Jabs Student Success Coordinator will be an integral part of the Jabs Student Services team and will work closely with the Graduate Program Directors, college staff members and campus partners to provide critical support to Jabs students, faculty, and staff. The position focuses on supporting the life cycle of Jabs graduate students, but also offers a wide range of leadership, management and planning for College events, retention, engagement and academic programing, communications, and other special initiatives and projects as needed.
Duties and Responsibilities
Support graduate student education:
Provide administrative support to Jabs graduate program directors.
Serve as a liaison between the MSU Graduate School, Jabs graduate program directors and the Jabs administrative team.
Plan, develop and implement recruiting strategies for Jabs graduate programs (e.g., attending recruiting fairs, responding to inquiries from prospective students, build MSU undergraduate pipelines, etc.)
Lead cyclical graduate program processes such as admission application processing, scheduling of interviews, and submission of programs of study, petitions to reserve, applications for graduation.
Assist graduate program directors with GTA application process, accounting GTA tutor placement, and tutoring center.
Assist with advising and course registration for graduate students as needed.
Lead, plan and execute graduate student events and programs (e.g., MPAc Professionalism Day, graduation celebration, etc.).
Work closely and responsively with faculty, advisors, and staff to coordinate efforts to support graduate students, including referring graduate students to appropriate resources, building culture, developing new programming and initiatives, etc.
Actively work to build relationships with the Bozeman business community and beyond to build brand awareness, and internship and job opportunities for our graduate students.

General student & college support:
Lead in the planning, execution, and evaluation of many college-wide events.

Required Qualifications - Experience, Education, Knowledge & Skills

Bachelor's degree in a relevant field with experience working with college students in an academic or student support setting, or an equivalent combination of education and/or experience.
Excellent organizational, communication and time management skills.
Demonstrated competence using personal computers and software; including word processing, spreadsheets, electronic calendars and email. Microsoft Office Suite is preferred.
Experience building and sustaining effective professional and courteous interpersonal relationships with diverse internal and external clientele.

Position Summary

Reporting to the Director of Student Affairs, the Senior Student Affairs Manager serves as the primary point of contact for assigned Electrical Engineering students, including undergraduate and graduate students, managing all aspects of the academic issues pertaining to the assigned student population.

The Senior Student Affairs Manager is responsible with ensuring an outstanding educational experience and building a strong sense of community by working with the students as a whole, and with individual groups as assigned by the Director. The Senior Student Affairs Manager provides leadership for their assigned student constituents in the delivery of student services and activities, manages and tracks student progress, advises students, and processes student clearance. Among these duties will be to support student life activities: liaise with ISSO for student visa issues; liaise with student housing, disability services, and health services to support those student populations; and support the Director with the planning and execution of student activities and events.

Responsibilities

* 25% Manages student registration and other student affairs processes for the Department. Provides reporting and analysis from the University's systems on enrollment, registration, and course data, using student information systems (SIS) to update registration and admissions fields. Creates, analyzes, and utilizes student information databases, and maintains student records, information, and lists.

* 25% Advises students on various aspects of their studies, including general degree requirements and courses, and refers them to faculty advisors regarding electives and career-related inquiries. Meets with individual students, responds to emails and phone inquiries. Serves as the Department's student-ISSO liaison for international student populations. Works with CPO on curricular practical training (CPT), optional practical training (OPT) as needed to enhance international student academic experience.

* 20% Works with academic and administrative representatives to address student issues, such as graduation clearances, Drop/Add guidance, and related academic life inquiries. Manages and monitors student progress and performs preliminary graduation clearance. Interact with various university units such as the Registrar, Graduate Student Services, and Career Services, as well as with Disability Services (to hire tutors, communicate with faculty, handles access issues) and Health Services (immunization verification process, insurance issues).

* 10% Orchestrates and executes all academics-themed student programs, events, workshops, and academic student outreach/communication. These include but are not limited to study breaks, information sessions, student groups advising, orientation academic workshops, and other student initiatives.

* 10% Manages and distributes communications to proactively inform students of Departmental schedules, policies, procedures, and other notices, and provides timely responses to inquiries and requests, representing the Electrical Engineering Administration. Solicits student feedback and monitors class dynamics.

* 10% Performs other duties as assigned.

Minimum Qualifications
