The Role
We're seeking an Executive Assistant, Scheduling & Logistics to support a C-Suite Executive in our Boston office. This individual must be highly resourceful and enjoy working within an entrepreneurial environment that is mission and results driven and community oriented. The ideal individual will have the ability to exercise good judgement and self-motivate in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to prioritize and balance multiple projects and tasks. The Executive Assistant, Scheduling & Logistics must be able to work under pressure, at times, to handle a variety of regional and corporate activities, be adaptive to changes, and confidential matters with discretion.
This is a true scheduling role focused on calendar, meeting logistics, and travel coordination; approximately 80-90% of the work is calendar/travel and related logistics. This role partners closely with the Executive Assistant team and Chief of Staff for priorities and context, while maintaining ownership of the scheduling workflow.
Responsibilities
Maintain Executive's complex, dynamic calendar; coordinate appointments, events, and meetings across time zones and with internal/external stakeholders.
Schedule Executive travel arrangements and manage logistics (flights, hotels, ground, changes, and contingency plans).
Coordinate and attend management meetings; responsible for distribution of agendas, compiling of papers, minutes, and document management.
Communicate effectively with others individually as well as in small and large groups.
Organize and plan work to meet deadlines.
Establish and maintain working relationships with Executives, Department Heads and Project Management, staff in other departments, and subcontractors & clients.
Perform duties of a highly confidential nature.
Own end-to-end meeting logistics: hold scheduling pre-briefs as needed, confirm attendees/locations/links, ensure rooms/AV/virtual details are accurate, and circulate final calendar holds and materials.
Coordinate closely with security, facilities, reception, and events for on-site visits, board-adjacent meetings, and VIP guest logistics.
Process and reconcile travel/expense items timely; track travel changes and communicate impacts to stakeholders.
Provide same-day adjustments and rapid re-plans when priorities shift; document decisions and communicate updates to impacted parties.
Support recurring executive rhythms (weekly, monthly, quarterly cadences), including locking dates in advance and managing blackout periods.
Collaborate with the Executive Assistant team and Chief of Staff on briefing needs and meeting objectives; this role is not responsible for drafting executive correspondence or strategic deliverables.
Qualifications
Bachelor's degree and 4 years related experience or 6 to 10 years related experience
Knowledge of principles and practices of business and managing personnel
Basic research methods and techniques
Computer applications used in general office settings, including word processing, spreadsheet, database management, email and internet search engines
Basic Math and standard English grammar and usage
Good written communication
Construction experience helpful, but not necessary and/or required departmental experience necessary
Technology experience helpful, but not necessary
Must be able to work independently with minimum supervision, use independent judgment and leadership techniques

Overview
Suffolk is building the future of construction by fusing deep field expertise with cutting-edge AI innovation. As part of our Jobsite of the Future initiative, we are deploying a cohort of Site AI Engineers across select pilot projects to rapidly identify pain points, redesign workflows, and deploy agentic AI solutions that transform project delivery.
The JoF AI Program Lead will serve as the orchestrator and strategic integrator across all Jobsite of the Future pilots. In this role, you will oversee 3-4 Site AI Engineers, synthesize insights and use cases emerging from the field, coordinate closely with Operations leadership at HQ, and ensure that successful solutions are matured, hardened, and rolled out across Suffolk's national project portfolio.
You will play a pivotal role in connecting field experimentation with enterprise strategy-accelerating how Suffolk discovers, validates, and scales AI-driven operational excellence. Responsibilities
Program Leadership & Coordination
* Lead the Jobsite of the Future AI program across multiple pilot projects, ensuring consistency, alignment, and shared learning.

Stakeholder Engagement & Executive Communication

Qualifications
* 7-10+ years experience across AI engineering, full-stack development, data engineering, or intelligent workflow automation-at least 3+ years in a leadership or program or product management capacity.
* Hands-on experience building or overseeing production LLM/RAG systems, data integrations, and AI workflow automation at scale.
* Strong familiarity with Databricks Lakehouse (Delta, Unity Catalog), vector search, API integrations, and CI/CD tooling (GitHub Actions or similar).
* Demonstrated experience synthesizing complex technical and operational insights into clear, actionable plans.

The Role
Working in the Boston office, and traveling periodically to project sites across the country, the Assistant General Counsel, Mission Critical will serve as a pivotal legal contact for Suffolk's Mission Critical group operations, supporting all legal matters affecting the group. The Assistant General Counsel will report to the regional General Counsel, Mission Critical. This position works directly and daily with the Mission Critical General Counsel, the Mission Critical leadership team, and project operational staff.
Responsibilities
The primary responsibilities will require the successful candidate to do the following, under the supervision of the Mission Critical General Counsel:
Provide advice to leadership and operational staff on contracts, claims and other legal matters.
Assist with the negotiation of construction management agreements, subcontracts and other complex legal agreements.
Proactively work with project teams to properly administer contracts, identify risk and implement risk mitigation plans while empowering the business to succeed.
Research and master key state laws affecting construction as the Mission Critical group moves into new markets, monitor changes in applicable law, and advise leadership regarding the implications of such laws.
Handle legal inquiries from within the company and issue sound and comprehensive legal advice to all internal clients and stakeholders.
Manage outside counsel, if any, including budgets and strategy.
Conduct training on legal and compliance related topics, including but not limited to complicated construction contracts.
Draft letters relating to contract administration and other issues for project teams to send to subcontractors, clients and other third parties.
Work closely with senior leadership and the Mission Critical General Counsel to resolve claims with third parties.
Periodically visit project sites within the Mission Critical group to collaborate with project teams, and travel to other Suffolk regional offices as needed.
Perform other duties as assigned by the General Counsel and the Corporate Executive Vice President/General Counsel.
Qualifications
Prior corporate legal department experience in the construction industry is highly preferable.
Seeking approximately 3-6 years of extensive experience in the practice of complex construction law in a corporate legal department and/or a full-service law firm.
Licensing, certification, registrations:
Requires bachelor's degree from a 4-year college or university and a Juris Doctorate degree from an accredited law school

We are looking for a MEP Manager to join our team. They will be responsible for numerous pre-construction tasks, construction and post construction tasks and services such as on-site consulting for clients and internal Shawmut staff while delivering unparalleled customer service. Role Summary
The Financial Systems Engineer will be responsible for designing, developing, and maintaining solutions within Suffolk's FP&A platform. This role supports enterprise-wide financial planning, budgeting, forecasting, and reporting initiatives, and provides technical support for other financial applications including Vena, Textura, Oracle E-Business, and Procore. Solution Design & Development
Architect, design, and maintain custom solutions within Suffolk's FP&A environment.
Develop technical solutions based on functional specifications, including reports, integrations, and application enhancements.

Integration & Data Management

As a Product Manager on the Construction Technology team, you will play a crucial role in leading the delivery and continuous improvement of our construction applications portfolio.
