What We're Looking For: The Customer Care Coordinator serves as the primary liaison between referral sources, Sales, and Customer Service, ensuring seamless order processing through e-ordering platforms while meeting service-level agreements (SLAs). This role proactively addresses order inquiries, resolves processing issues, and maintains compliance with insurance payer requirements to prevent delays. Additionally, the coordinator collaborates with Sales and Distribution teams to manage inventory availability for urgent requests and optimize service delivery. By analyzing order trends, identifying inefficiencies, and educating stakeholders on best practices, the Customer Care Coordinator drives process improvements and enhances overall customer satisfaction. This role is essential to ensuring a smooth, efficient, and customer-focused order fulfillment process. The Customer Care Coordinator will work closely with various teams to support seamless service delivery and uphold company standards for excellence. What You'll Do: * Order Processing & Workflow Management * Monitor and review daily tasks related to order processing through e-ordering platforms, ensuring timely completion within established Service Level Agreements (SLAs). * Maintain up-to-date e-ordering platforms by accurately closing out completed orders and ensuring proper documentation. * Troubleshoot and resolve order processing issues independently or in collaboration with relevant teams to minimize disruptions in service delivery. * Prioritize and escalate urgent or complex order requests to ensure prompt resolution and avoid delays. Customer & Stakeholder Support * Serve as the primary point of contact for referral sources, Sales, and Customer Service teams to provide updates on order statuses, required documentation, and potential processing delays. * Work closely with Sales and Distribution teams to proactively communicate inventory availability for urgent or high-priority requests. * Collaborate with Customer Service and Distribution teams to prioritize patient-critical orders and ensure timely delivery. * Address and resolve customer concerns, providing high-level service and maintaining a positive experience for all stakeholders. Analysis, Reporting & Continuous Improvement * Track and analyze order cancellation trends, communicating insights to Sales and referral sources to reduce service disruptions and improve processing efficiency. * Participate in regular meetings with internal teams to review order performance, identify operational challenges, and recommend process improvements. * Ensure all required documentation is accurate, complete, and compliant with insurance payer guidelines to minimize rejections and service delays. * Educate referral sources and internal teams on best practices for order submission and documentation accuracy to reduce processing errors. Operational Excellence & Compliance * Maintain compliance with company policies, procedures, and industry regulations. * Adhere to scheduled work hours and complete weekend assignments as needed or required. * Perform additional duties as assigned by supervisors or management to support business operations. * Consistently meet or exceed monthly performance goals as outlined by leadership. Essential Duties: Under the general supervision of the Purchasing Manager, the Purchasing Specialist is responsible for purchasing of inventories, returning the defective/overstocked/wrong merchandises, monitoring the credit memo from vendors, ordering and controlling the office supplies, verifying the accuracy of receiving quantities and invoice pricing. Responsibilities & Duties: Responsible for reviewing the inventory purchase requests from the Branch Inventory Requisition and monitor the requisition for reasonableness, approvals where necessary, and for anomalies in the order history. Enters the purchase orders in the PO system (Inventory/Purchase Order Entry) with the ETA and confirmation information and repeats it in the Branch Requisition Spreadsheet Follows up on purchase orders (inventory/other reports/open purchase orders) coordinates with Customer Service and vendors regarding status including but not limited to EDI Transmission orders to vendors. Monitors the Drop Ship Non-EDI grid for orders and notifies Customer Service that it has been ordered. Ensures the receiving in the PO system is performed daily with the branch locations, Drop Ship Non-EDI, (inventory/Receiving on purchase orders) Orders the office supplies after the approval by the Purchasing Lead and controls the office supplies usage. Returns the matched vendor invoice pricing inquiries to A/P associate within two days after receiving. Manual PO - Completes manual purchase orders for items which are not in USS for product that is a supply or repair item. Completes form in its entirety, including which department/branch for which the item/s are requested. Verifies the pricing accuracy and cleans up the open orders monthly as directed by the Purchasing Lead. Completes Help Desk Tickets for new product additions and is familiar with payer and reimbursement. Assists Customer Service with product choices and availability.     Performance Health is seeking a Sales Consultant to join our expanding Sales team. This position delivers sales results using a disciplined approach to sales. Calling on hospitals, VAs and outpatient rehabilitation institutions (PT/OT) daily within a defined sales territory to achieve budgeted sales volume and growth targets. Increase market share by identifying and securing new business within territory. The geography of this territory is greater San Diego. The candidate is required to reside within the territory. Essential Job Duties & Responsibilities Consults with customer (Directors of Rehab or Nursing, Safe Patient handling and Fall Prevention committee leaders, ER Manager, Materials Management, and Supply Chain leaders) to educate on Performance Health's curated portfolio of products Build relationships with customers that allow for expanded market share by consistently visiting and meeting with customers in person Aggressively prospect new accounts and customers within assigned territory to grow territory year over year Accelerates growth of assigned territory through strategic prospecting, cross-selling, and new customer acquisition Provides trials and in-service of products to current and new customers Develops and adjusts territory plan by gathering and evaluating all relevant insights about the customer base within the territory Territory management to include leveraging CRM analytics and territory insights to identify high-potential prospects, track competitive activity, and prioritize winning new business Supplies necessary information to operate the overall business effectively by completing all required reports accurately, completely and in a timely fashion Serve as a trusted advisor by projecting integrity, professionalism, and credibility in every customer interaction Performs other duties as assigned Job Qualifications High school diploma or equivalent required; Bachelor's degree strongly preferred 3-5 years of experience in business to business medical sales Proven track record in sales and shown ability to win the sale and grow market share Experience growing a curated portfolio of products and offerings to customers Previous experience in the Medical and/or Rehabilitation industry Understanding of GPOs and IDN knowledge strongly preferred Knowledge and previous use of customer relationship management (CRM) software Proficient in Microsoft Office Products (Word, Excel, Power Point, etc.) Daily travel within territory required; some overnight travel required depending on assigned territory Benefits Our benefits include healthcare; insurance benefits; retirement programs; paid time off plans; family and parenting leaves; wellness programs; discount purchase programs.
