About the Role
The Supply Chain Coordinator plays a critical role in managing the day-to-day logistics and supply chain operations. This role ensures efficient scheduling, inventory tracking, and communication with vendors, customers, and warehouse partners. Key Responsibilities
Logistics & Shipping
Liaise directly with 4PL to ensure outsourced logistics processes are running smoothly and assist in escalating any exceptions.
Partner with finance to perform root cause analysis of distributor deductions, gathering required paperwork from 4PL and submitting dispute to distributor. Maintain tracking of dispute status.
Track available finished goods inventory for outbound shipments; update OOT (Out-of-Transit) inventory weekly based on production forecasts.
Confirm and reconcile finished goods inventory received into RealCold storage using BOLs (Bills of Lading).
Revise outbound customer orders weekly in both OOT and QuickBooks based on inventory availability and production updates.
Communicate shipping and order quantity/date revisions to customers by Monday each week for current-week shipments.
Supply Chain Management
Review ingredient inventory weekly; adjust inbound purchase orders based on upcoming production needs in collaboration with the production lead.
Place ingredient POs 4-6 weeks in advance based on forecasted demand.
Work directly with ingredient suppliers and notify Finance team to renew ingredient contracts approximately 3 months before current contract run-out dates.
Propose and onboard new ingredient vendors as needed.
Monitor existing ingredient contracts and assess resupply status twice monthly or as issues arise.
Participate in weekly production meetings to ensure adequate supply is available to produce the planned products. Adjust POs as needed to align supply with production timing in an effort to ensure inventory arrives on time but is not in excess.
Finance Support
Send invoices to customers upon confirmation of warehouse withdrawals.
Assist the finance team at month-end by providing inventory updates.
Qualifications
2+ years experience in logistics, supply chain coordination, or related field (experience in food manufacturing a plus)
Strong organizational skills and attention to detail
