Serve as the first department contact for students, faculty, and visitors. Advise and provide information to Political Science graduate students. Oversee graduate program from inquiry process through graduate placement in collaboration with Director of Graduate Studies, the graduate placement director, and the Graduate School. Ensure the smooth functioning of the department's general day-to-day office activities, including activities such as website maintenance, supply management and event planning. Work with Administrative Assistant on reimbursements & department budgeting. Schedule PSC undergraduate and graduate courses and coordinate curricular changes and program revisions with the Department Chair, Administrative Assistant, and Directors of Undergraduate and Graduate Studies.

Education and Experience

Responsibilities
General administrative duties:
* Serve as receptionist and first departmental contact for students, faculty, and visitors.

* Updates graduate student brochure; Distributes information to American Political Science Association's Minority Identification lists for recruitment
* Responds to prospective graduate student inquiries concerning graduate program deadlines and requirements; Processes and coordinates incoming graduate applications
* Approves add/drop forms, various petitions, independent study forms; generates registration permissions for graduate students
* Tracks graduate student milestones: comprehensive examination results, completion of coursework, dissertation proposal defense and ABD status. Provide materials to DGS for the end of year graduate student assessment meeting; Collaborates with graduate school regarding certification of students
* Coordinates Ph.D. qualifying examinations: collects questions from professors, proctors exams, distributes completed exams to faculty in designated fields of concentration, and schedules oral examination dates
* Collaborates with Placement Director on graduate student job applications and scheduling annual job market meeting
* Maintains list of active graduate students (building and bay access); Assigns TA bays.
Curriculum and Scheduling:
* Manages processes related to curriculum and scheduling in consultation with chair and Administrative Assistant two times a year.
* Administration of online course evaluations in consultation with OIRA.
* Coordinate with Directors of Graduate and Undergraduate Studies, Undergraduate Advisor, and faculty on course regularization/deactivation and program changes
* Collect and maintain syllabi, contact information, office hours, semester and summer course descriptions, etc;
* Maintain and distribute office keys for the department's faculty, staff and graduate students.
Support to Administrative Assistant:
* Support Administrative Assistant on budget reconciliation, reimbursements, and planning.
* Coordinates and processes graduate student Travel Grant requests; submits proposal to Graduate Director, tracks approval and use, and graduate travel fund cumulative and individual balances.
* Other duties as assigned including ad-hoc projects or as occur due to receptionist duties.

Position Summary

Financial Management:

* Budget Development: Develops Divisional fiscal year budget and submits to Finance Office according to the annual budget calendar. Works with PIs to determine anticipated expenditures for existing projects and to develop proxy budgets.
* Budget Monitoring: Monitors financial activity in ARC monthly. Identifies errors and alerts PI. Provides updates to Finance Office at least quarterly to incorporate new information. Conducts a detailed review of anticipated year-end expenditures at the end of Q2 for a meeting with the Directorate. Monitors PI institutional projects in ARC monthly.
* Salary Budgeting: Works with PIs to plan/identify/approve salary assignments and enter that data into PAC for approval and processing. Identify and notify AD of gaps in funding/bridge funding request and assist in finding solutions/moving these requests forward.
* Audits: Works with PIs, Division AD, and Directorate on projects/expenses flagged for audit.
Sponsored Research (Administration and Finance)
* Pre-award: Interprets proposal announcements, coordinates budget & proposal preparation, and
works with Office of Research to submit proposals on time.
* Post-award: Responsible for ensuring project compliance with University policies & sponsor
terms and conditions. Monitors financial statements monthly. Designs/develops/maintains
internal spreadsheets for tracking and monitoring of all Sponsored and non-Sponsored Research
reports, including subawards. Works with SPF on project reconciliation, confirms annual

Human Resources :
* Coordinates the annual performance review process within the Division. Works with HR,
Division AD, and the Directorate on recruitment, promotion, retention, and termination. Advises
AD and PIs on type of appointment, leaves of absence, and salary/grade level where required
and aids in drafting memos/confirming funding sources.
Planning and Development:
* Advises AD on division planning. Works with the AD and others
to support Division, Observatory, and University initiatives. Assists AD with the management of
division discretionary accounts and other division resources. Organizes divisional
meetings/gatherings.
Space Management:
* Coordinates capital projects with AD, Facilities and PIs. Coordinates
maintenance of departmental office equipment and public rooms. Coordinates and completes the
Columbia University Space Inventory. Maintains/plans office space for division members.
Supervises small (1 to 3) administrative support staff.

Minimum Qualifications
Bachelor's degree or equivalent experience required and three to five years' experience in financial

Position Summary
Ensures various levels of administrative support are provided to the Dean of Students (DOS) Office. Respond to incoming calls and emails to shared DOS inboxes in a timely, courteous, and helpful manner. Assist with coverage of other operations front desks, including the Academic Resource Center and Admissions Office. Assist with Educational Financing incoming calls and emails.
Execute administrative processes related to onboarding new students. including but not limited to:
* Assign academic advisors and provide students with registration appointments.
* Collect and distribute student IDs.
* Collaborate with Academic Advisors on the delivery of Academic Planning Sessions for newly admitted students, including creation, editing, and virtual hosting of these events.
* Manages all logistics related to scheduling and proctoring the four placement exams given at the School of General Studies: Math Part I, Math Part II, Quantitative Reasoning, and Chemistry; schedules any rooms required for hosting exams and entry of all exam scores into appropriate information systems.
* Serve as the primary contact for vendor orders and billing for DOS-related events, scheduling regular supply deliveries, managing ad hoc supply and catering requests, and reconciling billings and receipts for these purchases.
* Primary responsibility for timely administrative processing of registration and enrollment-related requests, including registration adjustments, withdrawal submissions, and reenrollment requests via the Salesforce platform and via the SIS mainframe. Review student and advisor system requests for overdue, incorrect, or incomplete submissions and correct as needed.
* Work closely with the Director to secure successful outcomes for students granted incomplete grades, including scheduling incomplete exams, securing testing materials, proctoring exams, and communicating with professors.
* Documentation: Create and maintain excellent documentation in support of the proper execution and ongoing training on internal policies and procedures. Meticulously update project documentation, project management information system as well as student database applications.
* Change Management: Continuously identify, evaluate and execute positive operational improvements adhering to established procedures to mitigate risks. Examples include the creation of new or improved reports in Salesforce.
* Assist Director with record-keeping tasks related to academic performance including academic review scheduling, academic/disciplinary checks, and processing of Phi Beta Kappa and Honor Society awards.
* Support the Dean of Students with interdepartmental calendar management, room scheduling, event planning, purchasing related to meetings and events, student issues, and travel arrangements.

Additional Information

Under the supervision of the Director of Purchasing and/or Deputy Director, the candidate will work with various departments on and off campus in getting information required to accomplish the tasks assigned. This includes internal department and CUNY related offices. The candidate will be crossed trained to perform other office functions as well as those listed below:
+ Work alongside several members of the Asset Management/Property Management team to evaluate, and scan existing inventory at various sites, maintaining accurate record, and upload all assets as required

**CAMPUS SPECIFIC INFORMATION**
The State University of New York, Brooklyn Educational Opportunity Center (BEOC), located in Downtown Brooklyn and administered by New York City College of Technology/CUNY, provides tuition-free academic and workforce development training to eligible New York State residents, offering a pathway to lifelong learning, college access and economic self-sufficiency.
The BEOC welcomes applications for multple full-time EOC Office Assistant positions to provide administrative and clerical support across various departments, including Academic Affairs, Student Services, Career Services, Advising, Registrar/Records, Testing Center, and Communications. These positions are essential in ensuring efficient office operations, supporting students and faculty, maintaining accurate records, and facilitating effective communication within the center. Additionally, these roles will provide direct clerical support to the Directors of Academic Affairs, Student Services, and Career Services, ensuring smooth departmental operations and assisting with scheduling, documentation, and interdepartmental coordination.
General Administrative & Clerical Support
+ Assist the Directors of Academic Affairs, Student Services, and Career Services with scheduling, maintaining calendars, and coordinating meetings.
+ Prepare and process departmental documents, reports, and records using Microsoft O365 applications (Word, Excel, Outlook, and Teams).
+ Answer and direct phone calls, emails, and inquiries in a professional manner.
+ Maintain both electronic and physical filing systems, ensuring document organization and confidentiality.
+ Support department-wide logistics, such as organizing meeting materials, distributing paperwork, and updating information systems.
Academic Affairs Support
+ Assist faculty and students by printing, organizing, and disseminating course materials.
+ Maintain and update academic records, class schedules, and attendance tracking.
+ Support faculty with general administrative tasks, including document preparation and data entry.
+ Assist with event coordination by handling logistics such as room reservations and preparing sign-in sheets.
Student Services Support
+ Provide clerical and administrative support for Student Services, assisting with document processing, filing, and maintaining student records.
+ Schedule student appointments and maintain departmental logs.
+ Assist with clerical aspects of student engagement activities, including preparing sign-in sheets, distributing flyers, and setting up materials for workshops and events.
+ Support event coordination by preparing documentation, tracking attendance, and organizing materials.
Career Services Support
+ Provide administrative support for career-related events, such as job fairs and employer engagement activities.
+ Maintain student employment and internship records, including filing paperwork and updating tracking spreadsheets.
+ Assist with scheduling career counseling appointments and coordinating employer visits.
+ Prepare and distribute pre-approved career-related materials to students.
Advising Department Support
+ Schedule and confirm student advising appointments, ensuring records are updated in the student database.
+ Maintain accurate clerical records of student advisement sessions and assist in tracking student progress.
+ Assist in organizing workshops and informational sessions by handling clerical duties such as compiling packets and sign-in sheets.
+ Provide students with pre-approved general information regarding program requirements and available services.
Registrar/Records Support
+ Assist with student registration, enrollment verification, and transcript requests, ensuring compliance with FERPA regulations.
+ Update and maintain accurate student records in the student information system.
+ Process data entry and generate reports related to student enrollment, academic progress, and graduation requirements.
+ Distribute policy updates, registration deadlines, and important notifications to students and faculty.
Testing Center Support
+ Schedule and coordinate student testing appointments, including proctoring arrangements and accommodations.
+ Maintain test records and ensure compliance with institutional and testing center policies.
+ Provide students with standardized information regarding test requirements, locations, and procedures.
+ Assist with secure handling and filing of test materials.
Communications Support
+ Use Microsoft O365 applications (Word, Outlook, and PowerPoint) to format and distribute internal and external communications.
+ Assist with document formatting, proofreading, and distribution of newsletters, announcements, and pre-approved communications.
+ Coordinate the printing and distribution of materials for departmental outreach efforts.
+ Update and maintain organized communication records and departmental documents.
**MINIMUM QUALIFICATIONS**
Completion of a High School Diploma or Equivalent (GED).
-Completion of two (2) years of full-time equivalent experience which may be met by one of the following:
-Two years of employment in general office work
-One year of employment in general office work plus 30 college credits from an accredited institution of higher education (equivalent of one year of experience)
-60 college credits from an accredited institution of higher education (equivalent of two years of experience)
- Part-time experience of at least 20 hours per week may be prorated and credited instead of, but not in addition to, full-time experience during the same period.
- Demonstrated English language proficiency (ability to speak, read, write, and understand English well enough to meet job requirements).
- Technical competence in using job-related computer software (word processing or other) may be required for this position.
**OTHER QUALIFICATIONS**
The preferred candidate will demonstrate administrative skills needed to function as support staff in the area they are placed.
**COMPENSATION**
New Hire: $35,337*
Incumbent: $39,931
*This amount reflects a 13% salary suppression in effect for the first 24 months of employment only.
