The Operations Manager, Event Pop-Ups plays a key role in ensuring the seamless execution of large-scale events through expert staffing, onboarding, logistics, and operational management. This traveling position requires flexibility and the ability to adapt quickly to new environments. The ideal candidate will be comfortable working in different cities, leading and supporting new on-site teams at each event, and fostering smooth collaboration across internal departments, vendors, and partners. This role is critical to maintaining consistent operational excellence and delivering an exceptional guest experience across all event locations.
ESSENTIAL FUNCTIONS OF THE POSITION INCLUDE, BUT ARE NOT LIMITED TO:
Manage comprehensive event onboarding processes, including team member outreach, independent contractor agreements, and pay acknowledgment forms.
Partner with Legal, People Practices, and Compliance teams to ensure all staffing and contractual matters meet company and regulatory standards.
Maintain clear and timely communication with event team members regarding schedules, uniforms, pay, service expectations, and group messaging.
Oversee payroll submissions for event team members, verifying hours worked and reconciling discrepancies.
Coordinate product and supply ordering, inventory tracking, and vendor relationships to ensure operational readiness.
Prepare and manage Banquet Event Orders (BEOs), production schedules, and all relevant operational documentation.
Collaborate with the Special Projects team to develop and maintain detailed event timelines, floor plans, and run-of-show schedules.
Track and monitor event budgets and operational expenses, identifying discrepancies or overspending and reporting to the Special Projects team.
Travel to event locations to provide on-site operational support, supervise team members, manage logistics, and troubleshoot issues in real time.
Conduct post-event debriefs and compile reports on team member performance, vendor relations, and operational improvements.
Assist and/ or complete additional tasks as assigned
EDUCATION/WORKING KNOWLEDGE:
High School Diploma Required or equivalent / Bachelor's Degree with an emphasis in hospitality and/or equivalent combination of education and experience in a related field
3-5 years of previous hospitality supervisory/management experience within a high-volume setting
Previous experience in event operations, staffing coordination, and large-scale event logistics.
Strong organizational skills with the ability to manage multiple projects simultaneously.
Excellent written and verbal communication skills across internal teams, vendors, and event team members.
Demonstrated ability to lead and support new teams in fast-paced, changing environments.
Experience managing payroll, contracts, and vendor partnerships.
Proactive problem-solver with strong attention to detail and a commitment to operational excellence.
Must be willing and able to travel frequently and adapt to varying event environments and team structures.
Proficient in Windows Microsoft Office, POS systems, Oracle knowledge preferred

The Payroll Processor is responsible for interacting directly with venue management to ensure that all payroll data is reported accurately. Their primary responsibility will be to work as liaison between Oracle payroll process and the contact at the venues. This position will work closely with HR and Accounting teams on departmental projects to continually improve service and efficiency. The Payroll Processor will also be responsible for research and resolution of all payroll discrepancies, including stop payment for all lost or missing payroll checks, the issuance of manual checks for all term related payments. Responsibility will also include research and follow up for stale dated checks and documentation for these checks up to and including reporting unclaimed wages to appropriate state agency.
ESSENTIAL FUNCTIONS OF THE POSITION INCLUDE, BUT ARE NOT LIMITED TO:
Assist in the processing of all payroll entries within Oracle. Assist in the payroll uploads (imports) of bonus/commission information into payroll system adhering to the designated processing timeline to ensure timely payroll processing
Input with supplemental payment details (i.e., bonuses, commissions, lump sum payments, etc.)
Calculate and provide data so that Oracle can accurately calculate retroactive adjustments required for all non-exempt employees, paid hourly. Calculate and provide data to Oracle for retroactive adjustments required for all exempt employees being paid a fixed salary
Calculate and provide data to Oracle for all employees for all overtime retroactive pay calculations
Audit electronic Timecards to ensure all hours are submitted and processed within the correct pay period
Ensure all hours have been approved by the department Manager or Supervisor and resolve all exceptions based on documented payroll processing guidelines
Input payroll related adjustments and updates into Oracle, such as pro-rations, retroactive payments, stop payments, off cycle payments, etc. subject to payroll processing timelines
Process manual checks for missing hours, PTO/Vacation Cash outs, terminations and settlements as well as one-time payments and forward to the Accounting team with the required documentation for processing.
Work with HR/Payroll team on importing related data into payroll software and provide quality control to HR processed database changes to ensure data integrity
Conduct both pre and post audits of the payroll input file and corrects any errors prior to file upload
Coordinate with Payroll Leadership team on all pertinent payroll issues. Work closely with the venue Management team to resolve employee payroll issues timely and within state guidelines.
Notify Oracle of requirement for stop payments, off cycle payments and voids and provide data to identify specific payment(s) impacted
Track employees' usage of PTO, including payments to employees and balances available.
Assist in the distribution of employee payroll checks and statements. Distribution of employee Forms W-2
Assist in extracting data from Payroll/timecard/PTO Tracking to generate reports needed by management
Receive and stamp date receipt of all garnishment orders or inquiries. Submit all wage assignment orders or inquiries to Oracle Payroll Specialist by specified method within 24 hours of receipt per department guidelines.
Work with internal Tao Group Hospitality Payroll Accountant in notifying Oracle of all updates and changes to tax rates, jurisdictions and tax status in a timely manner.
Assists in the handling of employee payroll related inquiries either written, phone or in person with professionalism, courteousness and a sense of urgency
Actively try to contact employees who have not cashed live checks to ensure that they do not become stale dated. Document all attempts to contact the employee. Update the Unclaimed wage report with updated information
Assist with annual audit preparation; W-2 processing and all year end responsibilities and reporting
Assist with projects relating to automation and streamlining of process and procedures for payroll; continues to look for solutions and raise-the-bar

EDUCATION/WORKING KNOWLEDGE:
High School Diploma required or equivalent
Proof of eligibility to work in the United States
Minimum of two to three (2 - 3) years' experience in electronic payroll processing with Multi State knowledge

The Accountant supports the daily operational accounting functions and the financial statement close cycle to ensure timely reporting and compliance with relevant procedures and controls.
ESSENTIAL FUNCTIONS OF THE POSITION INCLUDE, BUT ARE NOT LIMITED TO:
Prepare daily entries to record revenue and bank transactions
Maintain detailed reconciliation of balance sheet accounts, including bank reconciliations
Participate in the month end close process by preparing necessary journal entries and finalizing reconciliations and schedules
Prepare monthly tax returns to ensure timely filing. This may include state sales and use tax and/or Live Entertainment Tax.
Monitor applicable licensing requirements, including city business and liquor compliance, fire permits, health permits, etc.
Work on special projects and assist team members as needed
Assist and/or complete additional duties as assigned
EDUCATION/WORKING KNOWLEDGE:
Bachelor of Science in Accounting or one to two (2-3) years of equivalent experience
One to two (1-2) years of hospitality experience preferred, but not required
Compeat advantage experience preferred
21+ years of age
Maintain a professional, neat, and well-groomed appearance adhering to Company standards
Proficient in Windows Microsoft Office, Micros Symphony knowledge preferred

Makes all standard/specialty coffee and tea beverages for the dining room, cocktail lounge, and bar. Interacts with the venue guests, fellow team members, and supervisors in a polite and courteous manner to ensure gracious hospitality.
ESSENTIAL FUNCTIONS OF THE POSITION INCLUDE, BUT ARE NOT LIMITED TO:
Anticipate and accommodate the needs of the guests.
Maintain the general cleanliness and sanitation of the coffee station and entire venue.
Communicates the needs of the guests to Front-of-House and Heart-of-House support staff, servers, managers, and chefs.
Deliver coffee/tea orders, when required, to tables/bar in a timely manner, and to the correct guests.
Clears any dirty service items from the table after delivering coffee/tea orders.
Helps ensure guest satisfaction through active participation in service.
Follow supervisor's instructions, communicate with and support co-workers while being a team player.
Complies with Department of Health and company sanitation standards.
Properly sets-up coffee stations, performs side-work and other opening/closing procedures as directed by management, including:
Responsible for making sure that all perishable items (i.e., milk) have not expired and if they are promptly discarding them, alert management of the waste
Stocks coffee stations with all prescribed supplies
Performs opening side-work as prescribed
Performs closing side-work as prescribed
Reports all breakage, and damage of equipment or furniture immediately to management.
Attends and participates in daily pre-service meetings.
Attends and participates in any training sessions or departmental meetings.
Learn by listening, observing other team members, and sharing knowledge while leading by example.

TRAINING REQUIREMENTS:
Tao Group Hospitality in-venue barista training
EDUCATION/WORKING KNOWLEDGE:
Previous hospitality experience.
Previous barista experience.
Possesses in-depth knowledge of the coffee and tea menus, their assigned recipes, and the ability to execute them to company standards.
Possesses general knowledge of all food and beverage menus, and company policies & procedures.
Previous Experience in a high-volume restaurant/nightclub/lounge.
