As an Operations Assistant in our Austin office, you'll play a key role in ensuring attorneys and staff have the operational support they need to deliver outstanding client service. From managing print and scanning projects to coordinating supplies, facilities, and office logistics, you'll help keep our workplace running seamlessly. Shift: Mon - Fri, 9:30 a.m. - 6:00 p.m. * Mail and Deliveries Management - Collect, sort, and distribute all incoming and outgoing mail, courier packages, and interoffice deliveries. * Vendor Coordination - Manage building dock schedules, track deliveries, and maintain up-to-date Certificates of Insurance (COIs) for all vendors. * Supply and Inventory Oversight - Replenish and monitor office, print, and conference room supplies; conduct weekly inventory checks to ensure readiness. * Procurement and Cost Control - Process purchase orders and invoices using the Coupa system to maintain accurate supply tracking and cost efficiency. * Digital Media and File Support - Handle flash drive duplication, secure data transfers, and digital file delivery; assist with data room organization and Document Management System (iManage) access. * Scanning and Archiving Projects - Coordinate large-scale scanning and digital archiving initiatives, ensuring files are accurately indexed and searchable. * Facilities and Maintenance Liaison - Coordinate building work orders (paint, carpet, lighting, trash removal) and ensure timely completion through maintenance systems. * Office Logistics - Support internal moves, visitor office setups, and new hire workstation preparations. * Print and Finishing Services - Operate copiers and binding equipment (GBC, Velo, 3-hole drill, electronic cutter) to produce professional print and presentation materials. What You'll Bring * Education: High school diploma required; Associate degree or post-secondary technical training preferred. * Experience: Prior experience in a law firm or professional services environment preferred, with strong knowledge of copy/scan/print operations. * Technical Skills: Familiarity with procurement systems (such as Coupa), imaging practices, and production print environments. * Professionalism: Strong organizational skills, exceptional attention to detail, and the ability to multitask under pressure. * Communication: Excellent verbal and written communication skills with a professional and service-oriented demeanor. * Physical Capability: Ability to lift up to 75 pounds and remain on feet for extended periods; must be available for overtime as needed. In this role, you'll balance strategic thinking with hands-on leadership, guiding architecture governance, evaluating emerging technologies, and collaborating across business and Information Technology (IT) teams to deliver secure, scalable, and value-driven application solutions. * Enterprise Application Architecture Leadership - Contribute to the development of target-state application architecture that supports the broader Enterprise Architecture and Architecture Vision while addressing stakeholder needs. * Strategic Alignment - Ensure application architectures align with organizational solution goals, standards, and long-term business objectives. * Architecture Standards & Governance - Develop and maintain reference architectures, architecture building blocks (ABB), standards, and guidelines to ensure secure, compliant, and consistent technology solutions. * Technology Selection & Oversight - Guide the evaluation, selection, and implementation of technology platforms and solutions that best meet enterprise needs. * Roadmap & Capability Planning - Identify solution and capability gaps, and define strategies and roadmaps to drive continuous improvement. * Cross-Functional Collaboration - Partner with stakeholders across the organization to identify, prioritize, and support strategic initiatives. * Innovation & Trend Analysis - Stay current on emerging application and technology trends, assessing potential impact and value to the organization. * Executive Communication - Clearly communicate application target states, roadmaps, and progress updates to senior leadership and key stakeholders. * Team & Practice Leadership - Lead and influence architects, technology owners, and subject matter experts to deliver cohesive, enterprise-wide solutions. What You'll Bring * Education - Bachelor's degree in computer science, information systems, data science, or a related field, or equivalent experience. * Experience - 8+ years of experience in an Enterprise Application Architecture function, preferably within a global organization. * Architecture Expertise - Strong knowledge of architecture governance, application design patterns, and industry best practices. * Standards & Governance Development - Proven experience establishing and implementing architecture governance, standards, procedures, and guidelines. * Platform & Technology Knowledge - Hands-on experience with platforms such as Microsoft M365, SharePoint, Microsoft Azure, Enterprise Resource Planning (ERP) systems, Software as a Service (SaaS), Platform as a Service (PaaS), Salesforce, MuleSoft, and ServiceNow. * Leadership & Change Management - Demonstrated ability to lead teams, influence outcomes, and drive change across complex environments. * Communication & Collaboration - Excellent communication, diplomacy, and interpersonal skills with the ability to work effectively across business and IT teams. * Delivery Methodologies - Experience delivering value within both Agile and traditional project management lifecycle (PMLC) environments. * Analytical Thinking - Strong problem-solving skills with the ability to assess trade-offs and design practical, scalable solutions. * Preferred Enhancements - MBA, experience within a large professional services organization, vendor management experience, Artificial Intelligence (AI) frameworks and governance practices, and strong executive presentation skills. * Certifications - Preferred certifications include TOGAF (The Open Group Architecture Framework) and Microsoft Azure Cloud certifications. * Tools - Proficiency with Microsoft Office tools (Word, Excel, PowerPoint, SharePoint) and Visio. LSLA is a 501 (c) (3) non-profit law firm and its mission is to protect and advance the civil rights of low-income Texans by providing advocacy, legal representation, and community education that ensure equal access to justice. Summary of Responsibilities This worker carries out general office and secretarial duties in the assigned unit. Answers the department/unit telephone, type correspondence and reports, maintains department, unit, or office files. Principle Duties Answers the telephone, takes accurate messages and/or routes callers to voice mail; prepares and types legal documents, reports and attorney and office correspondence; schedules appointments, sets up hearings and gives information to callers; develops and maintains accurate, systematic filing system of all documents dealing with the department/unit, including setting up case files; photocopies documents; posts and distributes mail and fax transmissions; greets unit or office visitors, clients, and applicants; and monitors unit or office reception area. Other Duties (As required by Unit or Branch Office) Conducts preliminary client eligibility screening; maintains department, unit, or office petty cash, in absence of AMA (Assistant to the Managing Attorney); maintains cost of court receipt book; orders department, office, or unit supplies in absence of AMA; transcribes documents from dictation or audio tape; if bilingual, interprets when required by Managing Attorney; serves as a Notary Public; maintains office library; and responsible for performing secretarial duties as assigned. Requirements Minimum Education High School Graduate or equivalent. Minimum Skills and Experience This position requires typing skills of at least 55 words per minute. Strong client service orientation. Ability to work under pressure. Bilingual preferred. Location: Longview Branch Office.
