Job Summary
Imagine being the Swiss Army knife of projectmanagement, communications, executive assistance, and creative support-all rolled into one proactive professional for a mission-based organization to help humanity. Your administrative support will help make that magic happen. You'll be the orchestrator behind the scenes, helping a dynamic ITM director of communications and professor as well as her communications team execute things like strategic internal and external messaging and campaigns, projects across multiple institutions and teams, drafting grant applications and journal articles, scheduling meetings, managing health research campaign participant follow-up and study team coordination, providing administrative support for educational programming, etc. Join a collaborative and fun environment where creativity, initiative, and editorial flair are celebrated. One day you may be coordinating action items and follow-ups from meetings, and another you may be helping craft and caption video snippets that bring science to life. You'll be the right-hand executive assistant to the director of communications and help the communications team implement organizational systems to streamline workflows and move projects across the finish line with finesse. You'll also get a front-row seat to translational science in action, helping to improve human health through ITM-supported research and health campaigns.
Responsibilities
Work with the ITM Director of Communications to execute, evolve, and evaluate ITM communications projects and initiatives.
Coordinate with internal stakeholders (faculty, service cores, admin teams) and external partners to streamline workflows.
Create project timelines, delegate tasks, and follow-up with multidisciplinary teams across several institutions on deliverables to meet deadlines.
Projectmanage and spearhead deliverables and timelines for a new ITM website initiative across several institutions and teams.
Contribute to different prongs of internal and external marketing and communications campaigns, initiatives, and educational programming.
Track milestones for the ITM, The New Normal and Save Da Hoomans campaigns, and educational programming certificate/courses. Monitor their deadlines, navigate teams, and ensure deliverables land on time.
Support writing projects: search for funding opportunities, draft grants, draft academic papers, create grant summaries, memo drafts, report proofreading, and presentation decks. Come with these skills or be willing to learn fast and hit the ground running.
Serve as an administrative maestro. Steer a busy, dynamic executive calendar with precision, scheduling meetings, taking and disseminating notes and action items, managingprojects, media interviews, and cross‑institutional collaborations. Make sure no meeting or email gets left behind!
Prepare, circulate, and archive sharp agendas, polished meeting notes, and thoughtful follow‑up action items.
Organize files and systems.
Collaborate closely on messaging for local and national initiatives (e.g., 'The New Normalâ„¢,' 'Save Da Hoomansâ„¢' campaigns). Coordinate connections between potential participants from TNN Match and study coordinator team hand-offs. Make sure warm hand-offs happen and no one falls through the cracks.
Help manage educational initiatives involving physician researchers, K scholars, and participants in workshops, courses and certificates, etc., using Canvas and other platforms. Coordinate schedules, help create and disseminate marketing materials, educational materials, etc.
Bring enthusiasm and the ability to learn new skills like AI and contribute to video editing for social media, including trimming clips and adding captions, etc. Come with these skills or be willing to learn.
Disseminate content that highlights ITM research, program impacts, and the importance of participating in clinical trials through internal and external channels and explore new and emerging web-based communications technologies.
Help ensure online and website content is up to date, including staff pages, events, service lines, etc.
Contributes to the ITM's mission of distilling complex science into engaging content a lay audience can use as part of multiple campaign initiatives and content platforms, spanning written, video/multimedia, and other formats.
Coordinate the collection and analysis of relevant project data and craft draft summaries that can be used in journal and mainstream media publications.
Coordinates events, researches logistics, assists with planning and preparing presentations, event outreach, and post-event write ups.
Assists with researching funding opportunities, preparing grant proposals, and drafting and/or editing other written materials with moderate guidance.
Maintains website (including but not limited to: employment page, news page, staff page, project pages, innovation challenge page).
Assists with other administrative projects as needed and acquire higher level guidance and skills.
Performs other related work as needed.

The ProjectManager will oversee federally funded grants at CSSI, with emphasis on the National Science Foundation (NSF) Assessing and Predicting Technology Outcomes (APTO) grant. Under supervision of CSSI's leadership, the ProjectManager will provide administrative leadership for grant management, compliance, and reporting. Responsibilities include coordinating the NSF reporting process and maintaining ongoing communication with program officers through monthly check-ins, annual reports, and site visits. The projectmanager will also lead the planning and execution of annual APTO conferences and related convenings and will be responsible to prepare meeting materials and work closely with the team-including co-PIs and senior investigators at Kellogg and Northwestern's McCormick School of Engineering-on regular updates. Job Summary:

All physician, hospital, and clinic services are managed through the Medical Center, which is a $1.3 billion enterprise. The BSD includes the Pritzker School of Medicine, approximately 20 academic units, degree granting committees, and research centers and institutes. The BSD is located on the University's main campus in Hyde Park, ten minutes south of downtown Chicago. BSD's patient care operations are conducted primarily at the University of Chicago Hospital and clinics, which share the same campus. The University of Chicago Practice Plan (UCPP) is the central organization that supports the clinical activity of nearly 850 clinically active faculty practicing at the University of Chicago. These clinically active faculty collectively form the University of Chicago Physicians Group (UCPG). Job Summary
The Clinical Revenue Supervisor supports the management of billing, coding, and compliance functions within the department to ensure accurate and timely revenue capture. This role oversees the day-to-day operations of charge posting, coding accuracy, and workflow efficiency, ensuring adherence to documentation standards and regulatory requirements for CPT and ICD-9-CM/ICD-10-CM coding.
The supervisor provides guidance and oversight to Coders and Abstractors, reviews billing processes and performance, and collaborates with department leadership to identify and resolve revenue or compliance issues. They serve as a key liaison between physicians, administrative staff, and revenue cycle teams to communicate regulatory updates and maintain best practices.

Job Summary
The Alumni Relations Projects and Data Associate contributes to a variety of essential projects to support alumni, donor, and volunteer engagement. Reporting to the Senior Director of Alumni Relations, this position provides critical support as a communications projectmanager, events support, systems power-user, and general administrative support for the Alumni Relations team within the Law School's Office of External Affairs.
Responsibilities
Oversees the communications calendar for the Office of External Affairs in Asana, ensuring newsletters and event-related communications are deployed on schedule.
Runs weekly communications team meetings and collaborates on communications' development.
Serves as 'power user' and in-house expert for Marketo, our email deployment platform. Prepares, proofs, deploys, and coordinates various communications to promote programs and engage alumni.
Serves as in-house expert for Phoenix, the University's Donor Relationship Management System, with a special emphasis on extracting data for communications, analyzing event data, and maintaining constituent records.
Serves as in-house expert for event management platforms, including webform and Cvent event creation. Builds, tests, and publishes event registration pages.
Participates in regular entry of biographical and engagement data into Phoenix, including address updates, volunteer coding, and event attendance.
Manages Class Notes and 'In Memoriam' sections for the alumni magazine, published twice yearly. Oversees project schedule, serves as staff liaison to 80+ alumni volunteer correspondents, collects and edits submissions, and liaises with departmental partners.
Acts as a subject matter expert on technology platforms including event registration sites such as Cvent, alumni directory, Zoom, and texting platforms. Runs Zoom programs in meeting and webinar formats.
Prepares event briefings, agendas, collateral, and materials as needed. Supports virtual and in-person events, including Reunion Weekend, by assisting with invitations, event tracking, Zoom technical support, and needs day-of. Provides excellent customer service and solves problems for alumni and donors over the phone and email, including handling registration inquiries and questions or issues with the alumni directory platform.
Initiates, composes, and edits correspondence while using discretion and judgment with confidential information.
Continually assesses, recommends, and implements process improvement in team's usage of Asana, Marketo, Cvent, and other technology platforms.
Develops a network of professional contacts and provides advisory assistance to other offices that seek it.
Maintains guest lists and assists with mailing invitations and creating brochures for the event.
Compiles data to be used in event and program evaluation. Contributes to improvements by implementing ideas as they are identified, with general direction from others.
Performs other related work as needed.

High-quality weather forecasts help vulnerable populations adapt to increased weather uncertainty and extremes. Innovations, especially in AI, are driving a second revolution in weather forecasting. However, the benefits are yet to be realized in low- and middle-income countries (LMICs). The Human-Centered Weather Forecasts (HCF) initiative will bridge this gap, leveraging UChicago's interdisciplinary strengths as well as the Principal Investigators' track record engaging policymakers, funders, multilateral development banks, researchers, firms, and NGOs to transform access to this vital climate adaptation tool. HCF will a) develop novel techniques to produce forecasts tailored to the specific adaptation needs of farmers and individuals exposed to extreme heat; b) work with implementers to disseminate forecasts to 100 million people in LMICs; c) conduct rigorous testing to optimize dissemination and generate lessons to further scale these advances; d) strengthen global forecasting systems, including through benchmarking and validation; and (e) work to establish an ongoing initiative.
