SUMMARY: Shows and leases apartments or townhouses to prospective tenants. Assists with other office-related duties as necessary to contribute to the property's overall performance.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following: Other duties or tasks may be assigned as required. Management may modify, change or add to the duties of this description at any time without notice.
* Interviews prospective residents and records information to ascertain needs and qualifications.
* Accompanies prospects to model or available units and discusses size and layout of rooms, available facilities, such as swimming pool and saunas, location of area amenities, services available, and terms of lease.
* Follows-up with prospect through thank you note, phone calls, etc.
* Ensures compliance and adherence to Fair Housing laws.
* Refers prospects to other Thies & Talle Properties as appropriate.
* Enters prospect and applicant information into Property Management software. Uses system reports to monitor closing ratios, upselling opportunities, etc.
* Completes lease form or agreement and collects rent deposit(s).
* Collects monthly rents.
* Receives service requests.
* Maintains emergency telephone numbers.
* Prevents solicitors from contacting residents on the property.
* Schedules move-ins and move-outs.
* Maintains an up-to-date resident file on every unit.
* Monitors leasing process and attend employment training when required.
* Provides other administrative and support assistance as needed by site office and Property Manager.
SECONDARY DUTIES AND RESPONSIBILITIES include the following:
* Acts as a liaison between residents and community services.
* Prepares and distributes notices and newsletters.
* Helps residents and applicants with their paperwork.
* Notifies residents of important events.
* Assists with resident functions.
* Files documentation in resident files.
SUPERVISORY RELATIONSHIPS: To perform this position successfully, an individual must be able to work within the following supervisory relationships:
The Leasing Specialist reports to the Property Manager. The Leasing Specialist does not supervise other employees.
Job Requirements
QUALIFICATION REQUIREMENTS: To perform this position successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
Education and Experience: Must have experience promptly responding to customer's needs. Knowledge of computers and office equipment is necessary. Must have excellent verbal and written communication skills. Experience in sales and working with people from diverse religious, cultural, and economic backgrounds is desirable.
Language Skills: Ability to read, analyze, and complete documentation required by city, county, state or federal agencies. Must be able to communicate through speaking, listening, and writing effectively with residents and outside agencies.
Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure. Must be able to calculate figures and amounts such as discounts, interest, commission and percentages. Accounting and/or bookkeeping skills are a plus.
Reasoning Ability: Needs to be able to assess a situation based upon available date and information and make timely and appropriate decisions.
Other Skills/Abilities/Specifications: This job requires self-motivation and the ability to work independently. Must be able to prioritize job duties. Time management is essential. Ability to maintain confidentiality is required. Contributes to building a positive team spirit.
PUNCTUALITY AND ATTENDANCE: Regular attendance, reliability, and punctuality are needed to be available to meet with applicants, current residents, and outside vendors during regularly scheduled office hours. The success of the property and maintaining resident satisfaction and filling apartments requires staff to be available at the convenience of applicants and residents. Most buildings or apartment communities managed by Management have small staffs and employees must be able to assist other employees in job duties and be available to respond to occasional property or tenant emergencies.

Position Description:

Essential Functions:
Greet, pre-qualify, build rapport, follow up and close the lease with prospects for phone, email and site visit traffic
Responsible for community and apartment tours, handling objections and selling features and benefits of the neighborhood and the property
Understand and implement site s leasing criteria in order to pre-qualify and process applicants
Ensure that rental applications are processed in a timely manner and work with relevant staff to ensure that the verification process is completed in a timely manner
Process appropriate denial/ineligible letters in a timely manner and in accordance with TCB policy
Maintain accurate, up-to-date waiting and transfer lists (if applicable), including purging by TCB policy
Maintain prospect, applicant and resident data, utilizing TCB standardized forms from guest cards to lease files and entering data from these forms into site logs as required
Compile reports with traffic/leasing information, work order information and area info as needed for upper management
Conduct rent comp studies quarterly or as required by the Property Manager
Assist in developing marketing plans including events, internet ads, print ads, outreach, marketing copy, order marketing materials, placing ads and submitting for approval to TCB s marketing department
Collect application fees and deposits as applicable
Responsible for completing the lease package for each rental, including renewals as applicable, renewal notices and questionnaires.
Complete all follow up including prospects within 24 hours of initial contact/visit and new resident follow up within 30 days after move-in
Schedule and perform move-in orientations and inspections and maintain resident handbook
Responsible for the appeal of the rental office show unit and all made-ready vacants
Schedule leasing office hours in order to meet the expected results, including evenings, weekends and holidays
Understand and adhere to the AFHMP (Affirmative Fair Housing Marketing Plan), as applicable.
Ability to maintain professional conduct in all situations.

SUMMARY
Leasing Consultants are responsible for the performance of all activities related to apartment rentals, move-ins, and lease renewals. The incumbent interacts directly with prospective and current residents to achieve maximum occupancy. This includes generating and handling traffic, leasing apartments, qualifying prospects, preparing lease documentation, and completing move-in paperwork and procedures. ESSENTIAL JOB DUTIES
Answer incoming phone inquiries regarding available apartments. Provide all information requested and encourage the prospect to schedule an appointment to visit the property
When a prospect visits the property, provide them with a tour of available apartments that meet their needs
Inform the prospect on the advantages of renting from Bigos Management
Maintain working knowledge of the competition in the area by utilizing only public information (i.e. property websites & internet searches)
Follow-up, via telephone, with prospects who have not made a decision and continue to sell the Bigos Management property
Qualify all prospective renters using company approved procedures
Move-in new renters, discuss lease and apartment complex rules, and conduct move-in inspection. Move-out departing renters to include conducting a move-out inspection
Follow-up with residents on renewal of their lease
Other duties as assigned by Property Manager
QUALIFICATIONS
Education and Experience:
High school diploma or GED required
1-2 years customer service and/or sales experience required
Previous leasing experience preferred
Skills and Abilities:
Fluent in English with strong written and verbal communication skills
Ability to use tact, diplomacy and a clear, courteous manner when dealing with co-workers and the public.
Organizational and time management skills
Basic computer literacy (email, web applications)
Real Estate Licenses must not be active while working in this role
Physical Demands:
Must possess mobility to work in a standard office setting and to use standard office equipment, including a computer; strength to lift and carry items weighing up to 10 pounds; vision to read printed material and a computer screen; and hearing and speech to communicate in-person and over the telephone. Must be able to quickly and easily navigate the property/building as required to meet the job functions, including climbing stairs and walking the hallways and common areas.

Schedule: Monday through Saturday, from 9:00 a.m. to 6:00 p.m. with one weekday off and Sundays off.

Providing superior customer service
Assist in complete market surveys
Show, lease and move in prospective community members
Update unit availability daily
Process rental applications
Process maintenance request
Receive collections in accordance with Trinity's standards
Clerical and phone support
Maintain all community members files, ensuring completeness and accuracy of all file documentation
Maintain a calendar of scheduled move-ins, ensuring all move-in appointments are completed, all apartments are inspected to ensure all apartments are move-in ready to the Trinity's standards
Demonstrate ability to resolve resident complaints and direct pertinent issues and matters to Supervisor
Conduct community member's move-out unit walks
Additional tasks or duties assigned by Supervisor

Physical Demands:
The employee will be regularly required to sit; stand; walk; reach using feet, legs, back, arms and hands; talk and hear. The employee may occasionally be required to climb. The employee will be required to work at a personal computer and talk on the phone for extended periods of time. Must possess the ability to detect auditory and/or visual alarms and be available to work extended/flexible hours and weekends, as needed.
Attendance/Travel:
This position is a full time position and may require the availability to work some nights, weekends, and occasional holidays. Regular attendance and active participation/planning at company functions and events.

Education:
High school education or equivalent is required
Ability to fluently read and write English, accurately perform intermediate mathematical functions and use all on-site resident management software functions
Professional Experience:
One year of experience in a service industry is preferred
