Position: Association Manager - COA and HOA
Location: Columbus, OH
Pay Rate: $58,000 - $62,000 annually, plus bonus potential
Schedule: Monday through Friday, 8:30am - 5:30pm, with occasional evening hours for Board meetings
Skills and Qualifications You Will Need:
* Minimum of 1 year of COA or HOA management experience
* Strong financial acumen, with the ability to prepare budgets and report on monthly financials
* Familiarity with Board meetings, including knowledge of related procedures and decorum
* Flexible schedule to accommodate evening Board meetings
* Proficient in Microsoft 365 (Outlook, Word, Excel, PowerPoint) and Yardi software
* Strong administrative and organizational skills
* Excellent verbal and written communication skills

* CMCA certification or willingness to become certified

What You Will Do as an Association Manager:
* Serve as the primary coordinator, ensuring efforts fully meet and exceed contractual property management obligations.
* Assist the Boards in establishing short and long-term goals and with preparation of the annual budget.
* Secure bids for Board approval and schedule and oversee contracted services to ensure cost and quality effectiveness.
* Evaluate the necessity for significant repairs and/or services, providing recommendations to the Board.
* Inspect properties weekly for maintenance or landscaping needs, policy violations, and safety matters.
* Prepare violation and enforcement letters at the discretion of the Boards.
* Attend all regularly scheduled Board meetings and collaborate with Association committees to coordinate contracted services.

Counsel (and document) maintenance employees to improve their work and work attitudes.
Establish schedules and assign personnel routine maintenance tasks.
Make certain that the community has maintenance coverage at all times, in case of emergencies or emergency work requests. Able to be on emergency “on call” status to respond to emergency work orders.
Perform all duties with the highest consideration for safety, and train and be responsible for all staff members to do so as well.
Conduct monthly safety meetings with staff and document topics discussed. Emphasize safety with all new employees.
Continually inspect buildings, grounds, and common areas to identify needed preventative maintenance, to ensure that the buildings and common areas are clean, grounds are being properly maintained and to identify current and potential safety hazards.
Maintain a clean, safe, and well-organized shop and equipment storage area in compliance with all OSHA regulations, i.e., maintain Hazard Communication Program, SDS, State and Federal posters and posting OSHA summary forms.
Perform necessary maintenance and repairs in apartments with work orders.
Strive to see that all work orders are completed within 24 hours.
Turn vacant apartments into units ready for occupancy following Drucker + Falk guidelines.
Schedule contractors for maintenance related work. Secure bids and proposals as directed.
Use contract labor whenever it becomes cost effective, following approval by the Property Manager or Regional Property Manager.
Strictly follow established budgetary guidelines.
Follow all Drucker + Falk purchasing directives and procedures.
Maintain operating manuals, warranty records and other materials pertaining to general inventory and parts replacement and availability.
Keep abreast of developments in the field, including new products and new and less expensive ways of making repairs
Always maintain the highest standards of resident relations.
Complete and return Monthly Preventative Maintenance Sheets.
Monitor all O & M Programs (i.e., Asbestos, Lead Based Paint and Mold & Fungi) in place on the community to ensure that all O & M Specialists, Consultants, Contractors and/or employees are notified of the presence of these substances when work to be performed may involve the disturbance of these substances. Ensure that all such work is performed following the established O & M program.
The Maintenance Superintendent is also responsible for maintaining all record keeping and reports relating to these O&M programs to ensure that the property is in full compliance.
Must be accurate in all phases of technical work.
Performs other duties as assigned.

The Property Manager will be responsible, under the direction of the Regional Property Manager, for all phases of the operation of a property. This includes, but is not limited to, general administration and maintenance as well as direction and control of personnel and resources with the goal that the property is maintained at all times in good physical condition with a stabilized fiscal operation
Responsibilities include the following
Train and be responsible for work performed by all staff members under their supervision.
Hire and terminate employees in accordance with Drucker + Falk LLC policy.
Perform written evaluations of employees and make recommendations for salary increases and/ or advancement.
Maintain accurate payroll records as required by the company, and adhere to payroll policies and cutoff dates.
Adhere to all Drucker + Falk LLC policies contained in the Reference Library.
Assist in leasing apartments
Prepare process and sign all leases and related forms.
Assist in collection of rents and handle delinquency matters.
Maintain necessary records of all financial transactions for the property.
Adhere to all appropriate Drucker + Falk, LLC accounting policies, including but not limited to use of account numbers, daily income requirements, expense requirements, accounts payable system, and other monthly items and special accounting items.
Prepare daily bank deposits.
Purchase necessary office supplies in accordance with Drucker + Falk, LLC company policy.
Supervise outside contractors working on the property.
Handle all details for move-ins and move-outs, with special attention to apartment inspection check-ins and check-outs.
Ensure that residents are provided with a clean, well maintained community.
Work within the budget and notify the Regional Property Manager of any possible variations.
Resolve any resident complaints.
Report accident and emergency situations to the Regional Property Manager immediately, and prepare the proper reports.
Ensure that all maintenance requests are handled on an immediate basis, if possible and that all residents are notified if there must be a delay.
Continually inspect property and improvements, recording deficiencies and taking the necessary action, within budgetary allocations.
Establish schedules and assign personnel for routine maintenance and emergency coverage.
Establish schedules and assign personnel for office coverage and assisting residents as needed.
Perform all aspects of marketing the apartment community.
Work directly with the Regional Property Manager in preparing the annual operating budget for the property.
Maintain courteous and continuous communication with employees, residents, applicants, and vendors.
Travel is required. Reasonable or limited use of your vehicle is required from time to time.
Performs other duties as assigned.

Includes staff in planning, decision-making, facilitating and process improvement; Takes responsibility for employee's activities; Provides regular performance feedback; Develops employee's skills and encourages growth; Solicits and applies feedback from employees, residents and owners.
Education and/or Experience
One or more of the following:

2 year Associates Degree
7 years general, Full Time business experience

The Maintenance/Service Technician reports directly to the Service Manager and is responsible for performing make-ready repairs to all vacant units prior to move-in. HVAC certified preferred.
Essential Duties and ResponsibilitiesPerform repairs to make-ready units in a timely manner.Is responsible for 24 hour on-call, as scheduled by the Service Manager, respond to on-call paging. • 608 Refrigerant Certification preferred, but not requires. Will train if necessary.

-Required to be on call.
-Duties performed both inside and outside, even in extreme temperatures of below 32 degrees and above 100 degrees.

High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
