FUNCTION: This position is responsible for keeping track of all inventory and equipment, in-going and outgoing from our maintenance shops or supply storage areas as defined by location. Ensuring all inventory is up to date when tracking (including inventory counting processes to ensure shipment accuracy), organized, and adequately supplied in storage locations.
Reports To: Maintenance Supervisor, Assistant Maintenance Supervisor, Regional Maintenance Manager
PRIMARY RESPONSIBILITES:
Keeping track of all maintenance supplies, equipment, ingoing/outgoing deliveries and shipments.
Proper use of POR system as outlined by our ordering/purchasing program and reconciling orders and putting material/stock and equipment away in organized fashion.
Reporting discrepancies in inventory information and reporting lost or stolen materials upon discovery.
Digitally and/or manually manage inventory and create/generate inventory reports as needed.
Communicate needs to supervisor when stock is low, a shortage in in supply is occurring that might disrupt daily business needs, collaborating with management team to maintain adequate levels of supply and stock inventory.
Maintain and/or contribute to the organization and safety of any/all maintenance shops utilized.
Maintain cleanliness of uniform (if applicable) wear badge (if applicable) and present professional appearance.
Maintain key control as per company policy.
QUALIFICATIONS:
1. Minimum of one (1) year prior experience or related experience.
2. Pass background and drug screenings.
3. Must have reliable transportation as necessary to safely and effectively carry out the responsibilities listed above. Including active driver's insurance and a valid driver's license.

The role.
The Shipping Specialist is responsible for executing all daily shipping activities for motors and parts, ensuring accurate documentation, compliance with export regulations, proper coordination with freight carriers, and timely communication with internal and external partners. This role requires SAP skills, knowledge of export/import processes, and hazardous materials training to support domestic and international shipments.
1. Order Processing & Documentation
Process motor and Customer Service parts orders in SAP, including data entry, troubleshooting, and printing required documents.
Create and prepare Bills of Lading, packing lists, and shipping labels.
Attach documentation to shipments and ensure accuracy before release.
Process off‑line shipments via UPS, FedEx and DHL Express when required.
Provide daily shipping reports for motors and parts, including SAP-generated ship lists.
2. Export Shipping Duties
Manage shipments handled through freight forwarders.
Complete Letters of Instruction, commercial invoices, and packing lists; scan and send documents to forwarders.
Apply knowledge of Incoterms to determine cost responsibilities and billing.
Schedule trucking to freight forwarders at the appropriate port or airport.
Create off‑line invoices and packing lists when SAP-generated documents are not available.
Request Free Trade Agreement documentation from Corporate Compliance.
Support monthly audit requests for signed Bills of Lading.
3. Systems & Technical Tools
Use Nucleus (internal tool) to identify motor weights and dimensions for truck planning.
Use Tollgate (internal quality tool) to identify issues preventing delivery note creation.
Request billing hold releases from the Project Management group.
Serve as backup for distribution center shipping processes.
4. Communication & Email Management
Handle 40-50 daily email inquiries from partners regarding documentation, shipping status, and general shipping information.
5. Hazardous Materials Handling
Maintain DOT HazMat awareness training for handling limited quantities of hazardous materials.
Ensure compliance with regulations when shipping hazardous materials within the U.S.
6. Trucking & Logistics Coordination
Determine appropriate truck types or containers based on motor sizes and weights.
Identify when special permits are required.
Verify destination offloading capabilities such as crane or forklift availability.
Coordinate quotes for truck selection and scheduling with carriers.

Works with management in making decisions/suggestions on updating department processes, implementing changes, and creating SOP's.
Trains new Inventory Clerks.
Has a working knowledge of all systems used by the Inventory Department and can troubleshoot issues as needed.
Communicates and coordinates with Corporate to test, validate, and implement, and create SOPs for system changes as needed..
Performs related duties as assigned.
EXPERIENCE AND EDUCATIONAL REQUIREMENTS:
Requires completion of a high school diploma, general education degree (GED) or equivalent combination of experience and education. Normally requires two (2) to four (4) years of equivalent work experience.
MINIMUM SKILLS, KNOWLEDGE AND ABILITY REQUIREMENTS:
* Have experience and/or senior level knowledge of policies, procedures, safety rules, and DEA regulations and company policies/rules as related to Vendor and Customer Returns
* Ability to communicate effectively both orally and in writing
* Strong interpersonal skills, to include relationship building with team members and other departments.
* Strong organizational skills; attention to detail
* Strong analytical skills
* Ability to implement processes resulting in satisfactory audit practices
* Strong decision making skills
* Excellent problem solving skills; ability to resolve inventory issues effectively and efficiently across multiple operating departments with persistence and superior follow-up.
* Working knowledge of Microsoft Office Suite, with focus on Excel and Word.

The Inventory Planning Clerk 1 performs basic administrative, clerical, operational, customer support, and computational tasks.
Location: This is an onsite role. 9843 Windisch Rd, West Chester Township, OH 45069.
Shift: This position will work four 10-hour shifts Monday-Friday from 6am to 4:30pm. We will assign an off day based on our business need.
$1,000 sign- on bonus: 50% payable at hire and 50% payable at 180 days.
The Inventory Planning Clerk:
Develops and executes replenishment strategies
Conducts physical inventories and leads cycle counts.
Analyzes and, when able, corrects cycle count discrepancies.
Audits incoming and outgoing shipments to assure quality and accuracy.
Compiles and documents all transactions for data entry.
Decisions are limited to defined parameters around work expectations, quality standards, priorities, and timing, The inventory planning clerk works under close supervision and/or within established policies, practices, and guidelines with minimal opportunity for deviation.

The compensation range below reflects a good faith estimate of starting base pay for full time (40 hours per week) employment at the time of posting.
