The TRS shall, from time-to-time, be asked to assist with internal audits of communities within MMA's portfolio (assessing operations at currently-managed sites), participate in so-called 'due diligence' teams (for the purpose of assessing the compliance-related viability of potential new acquisitions) and/or reviewing files at communities within the portfolio for other purposes (e.g. acquisition/rehabilitation scenarios). Such assignments shall be made by the Director, Internal Auditing under the direction of the Vice President of Administration and other leadership team members.
This responsibility requires organization and great attention to detail. The TRS may, on a daily basis, conduct interviews, process paperwork, interact with various compliance teammates, other Michael's teammates, residents and agency specialists. The Traveling Recertification Specialist must be able to track and monitor multiple tasks, all within specific time constraints.

What We're Looking For in a Senior Travel Coordinator?
Provide administrative and project management support to the USAMRIID CONUS/OCONUS Travel Program and administrative assistant support to the S-8 Division.. The Contractor may be expected to travel to various consulates to obtain visa documents. Approximate number of trips is approximately 8 times per year.
Able to perform the following specific tasks in support of the Travel Program and be the “Travel Helpdesk” person as it relates to travel USAMRIID Travel Coordinator/Administrative Assistant correspondence, and will assist with all travel questions, arrangements, and coordination inside and outside of the Institute to include the HQ, USAMRDC, Department of State, embassies, and other offices as required to execute the mission.
Be point of contact at USAMRIID for all associated Defense Threat Reduction Agency CONUS/OCONUS travel and will prepare travel related documents, requests, reservations, etc., as required to execute the mission.
Take responsibility for tracking and forecasting travel in accordance with Army/MEDCOM/HQ, USAMRDC guidance. Provide forecast and follow up to ensure requests meet the mandated suspense dates for approval. Stay abreast of any changes to the requirements and will ensure the USAMRIID Comptroller, USAMRIID Defense Travel Administrator, and Budget Office is apprised of any changes/updates. Information will be made readily available to Institute staff and continuously updated as needed. Monitor and process travel requests/questions sent to the electronic “travel mailbox” on a daily basis.
Will maintain, update, and provide the weekly “conference” slide to USAMRIID Operations for the Division Chief meeting. The slide will have the latest USAMRIID information on current CONUS/OCONUS travel.
Ability to manage and prepare/review travel authorizations and vouchers according to JTFR, Army, MEDCOM, USAMRMC, and RIID policy/guidance for all travel. Work closely with USAMRIID Operations Office and ensure OCONUS travel requests are routed through Operations for review/approval. All correspondence submitted for approval to USAMRDC will meet the required suspense date as indicated in the travel matrix. When a conference is attended by personnel from several divisions, occupant will work with division personnel to identify central POC to submit a group request.
Will work with division administrative assistants on a daily basis as it relates to travel correspondence. Log all travel correspondence to track through approval process and ensure the division administrative assistants are kept updated on the status of the document(s). Maintain templates for travel correspondence and ensure the most current version is updated on a shared drive under “Travel.”
Be responsible for training newly assigned administrative personnel on travel correspondence and requirements.
Be responsible for communicating with the Institute the upcoming conferences along with the submission due date.
Provide administrative assistant support to the S-8 Division.
Prepare and manage all administrative correspondence for the S-8 Division. Ensure all incoming correspondence/ documents are logged and tracked and staff appropriately within the S-8 Division.
Be responsible for disseminating information to the S-8 Division personnel based on the guidance provided by the Chief, S-8 Division.
Assist with managing the calendar of the Chief, S-8 Division.
Act as the S-8 Division timekeeper and shall send out bi-weekly reminders to certifiers.
Assist in ordering in the GFEBS and DMLSS electronic systems as needed.

Position Overview

Essential Duties and Responsibilities:
* Leasing and processing applications following on-site client policies and procedures
* Assist with move-ins/move-outs
* Complete Annual and Interim recertifications, including:
* Scheduling and administering resident interviews
* Coordinating on-site data collections and processing of resident information
* Scheduling resident recertification interviews
* Insuring proper calculation of income, assets, rent levels, etc.
* Coordinating apartment inspections for recertification's
* Maintaining resident files in accordance with company policy & regulatory agency policy
* Assisting office staff on other tasks, including collection of rents and social activities
* Rehabilitation, brand new lease-ups, and re-syndication processes
* Assisting management to prepare for state audits
* Additional tasks, duties and responsibilities assigned as needed
Requirements:
* Impeccable customer service skills
* Strong verbal and written communication skills
* Must have a minimum three (3) years recertification experience with a preference for professional certification(s) such as Certified Occupancy Specialist (COS), Tax Credit Specialist (TCS), or any of the industry HUD and LIHTC designations required- Section 8 or Public Housing is acceptable
* Have the ability to multi-task within time constraints
* Must have excellent attention to detail and ability to work independently
* Proficient in Word, Excel, Outlook, Property Management Software and Internet literate
* Have a full understanding of the requirements for HUD and LIHTC programs
* Prior LIHTC recertification experience is necessary
* Strong understanding of the HUD 4350, experience with the 236 program and their CPO
* Section 8 experience A MUST
* Tax Credit experience A MUST
* Public Housing experience A MUST
* Bilingual English/Spanish is desired

Job Duties
The Department of Behavioral Health and Developmental Services (DBHDS) is seeking a highly motivated individual to ensure that the DBHDS Developmental Disabilities waivers' service authorization system maintains all standards of accountability, proficiency and responsiveness to the users of the system which results in the alignment of needs and resources of all the individual's receiving waiver funded services. Incumbent will be responsible for the review of Individual Support Plans, Individual Service Packages, Planning Calendars, and Service Authorizations for the waivers for individuals with developmental disabilities, assuring that all criteria are met from when the process initiates with the case manager/support coordinator through to the authorization of a service. This includes, but is not limited to, discussing appropriate service alternatives with support coordinators/case managers and their supervisors to include the provision of needed training and technical assistance; problem solving to ensure individuals receive the appropriate services according to their assessed needs; and communicating the results of the review process to CSBs, private providers and the VA Medicaid Management Information System. This is a Richmond Central Office position and while there may be an opportunity to telework the expectation is that the selected candidate will be working in the Richmond Central Office location. This position will support NOVA counties & cities such as: Alexandria, Arlington, Fairfax, Loudoun, & Prince William. This position may require frequent state travel.
Additional responsibilities include:
• Performing clinical review and/or authorization of waiver and EPSDT services for individuals with developmental disabilities for all new and revised service plans, as appropriate.
• Utilizing knowledge of authorization procedures and interpretation of Medicaid regulations, policies, and procedures.
• Accurately entering service authorization information into the Waiver Management System/Virginia Medicaid Management Information System (VAMMIS).
• Providing service authorization related consultation and training to assigned Community Services Boards/private providers of case management services.
• Analyzing trends and problem areas within localities; providing recommendations and assistance to other DDS staff regarding technical support, training, and the development of guidance materials.
• Abiding by all legal and regulatory standards promulgated by state, federal and professional regulatory organizations and will engage in conduct that is professional and ethical at all times, to the best of my knowledge and understanding.
Minimum Qualifications
• Knowledge of professional standards of supports and services for individuals with developmental disabilities (DD), including knowledge of best practices.
• Knowledge of the health care needs of persons with disabilities (physical, cognitive, emotional), health and social service programs and issues, community resources, state and federal DD regulations, negotiation techniques, problem resolution, medical terminology, and medical standards of treatment.
• Ability to work with electronic information systems.
• Demonstrated ability to organize and prioritize work assignments, and to communicate effectively orally and in writing.
• Ability to research and identify changes in program requirements and policies and to interpret state and federal regulations.
• Ability to use a range of computer programs and data base applications such as Word, Excel, and the Internet.
Additional Considerations
• Experience in social, behavioral science, education, or related human services field.
• Understanding of best practices in developmental disability (DD) services or understanding of how best practices are adopted and ability to translate experiences and training within the DD system.
