Office specialist job at Travis County
Performs entry-level clerical and administrative support tasks. Performs a variety of administrative work of a specialized nature in furtherance of department mission. Performs general office functions. Provides direction and information to the public on department and County procedures, regulations and policies.
DISTINGUISHING CHARACTERISTICS:
The OfficeSpecialist I position is classified within the Administrative Support job family. This classification is distinguished from the OfficeSpecialist II in that incumbents perform more entry level administrative duties than the OfficeSpecialist II position.
* Performs data entry of community service hours
* Responds to requests and questions from staff regarding community service hours. Follows up with external community service agencies as necessary to gather information to respond to requests.
* Tracks community service time sheets received and communicates with external agencies regarding any outstanding time sheets or questions pertaining to time sheets.
* Monitors various departmental email accounts and forwards reports/information received to the appropriate staff.
* May assist with site visits of community service agencies.
* May assist with maintaining and updating various departmental lists.
* May check in clients for community service opportunities and answers phone to assist callers as needed.
* Serves as back up for department mail courier.
* Performs other job-related duties as assigned
Education and Experience:
High School diploma or G.E.D. AND one year of responsible office/clerical experience, including the operation of computers and basic office equipment
Any combination of education and experience that has been achieved and is equivalent to the stated education and experience and required knowledge, skills, and abilities sufficient to successfully perform the duties and responsibilities of this job.

Knowledge of:
* General office/clerical practices, procedures, and methods.

* Establish and maintain effective working relationships with departmental clientele, representatives of outside agencies, other County employees and officials, and the general public.
Physical requirements include the ability to lift/carry up to 20-50 pounds occasionally, visual acuity, speech and hearing, hand and eye coordination, and manual dexterity necessary to operate a computer and office equipment. Subject to sitting, client/customer contact, standing, walking, vision to monitor, repetitive motion, stooping/kneeling, squatting, bending, and reaching to perform the essential functions.
Work Hours: 7:30 AM-4:30 PM, Monday-Friday. May work some holidays, some nights, some weekends

Essential Job Functions
Performs a variety of clerical duties in assigned department including maintaining personnel records and payroll, data entry, filing, distributing mail, answering telephones, and taking messages.
Types and proofreads reports, letters, memos, flyers, and statistical charts.
Responds to inquiries about department services and activities; assists visitors as necessary.
May prepare payroll and associated transactions and assists in compiling and maintaining personnel records (e.g. weekly earnings, absences, supervisory reports, change of status, terminations, and personnel requisitions).
Verifies and reviews correspondence for conformance with established policies and procedures.
Orders and maintains inventory of office supplies.
Coordinates, organizes, and maintains general office records.
Prepares routine reports and correspondence.
May research and compile data for special projects and reports.
Orders supplies and equipment; maintains petty cash fund.
Issues permits and collects associated fees.
Performs related duties and fulfills responsibilities as required.
Job Requirements
* High school diploma or GED equivalent (recognized by the Texas Education Agency or a regional accrediting agency).
* One (1) year experience in general clerical work.
Preferred Qualifications
Experience with clerical duties and modern office procedures
Experience operating a personal computer and utilizing rudimentary software.
Valid Class C Driver's License

Assists with the preparation and distribution of documents for City Commission meetings and other notices according to City procedures and applicable laws, as directed by the City Secretary and/or City Manager; prepares city agendas and meeting packets; prepares minutes shell; and conducts required website postings in compliance with the Open Meetings Act.
May attend meetings as assigned, take minutes and transcribe minutes into final form as needed.

Composes, reviews, and evaluates various documents, including correspondence, memorandums, ordinances, resolutions, proclamations, contracts, agreements, and oaths of office.
Assists with municipal election preparations and responds to inquiries from the public regarding voter information.
Records date stamp and distributes incoming and outgoing mail.
Prepares travel and makes hotel reservations for the City Secretary, City Manager and City Commission.
