General Responsibilities:
Responsible for answering the Agency's phone and greeting participants, visitors, and guests in a professional, friendly, and welcoming manner. Serves as the first point of contact for the Agency, supporting a safe, secure, and organized front lobby environment. Assists other departments with administrative tasks and overflow work as needed.

Maintains a clean, organized, and welcoming front desk and lobby area, including routine upkeep of surfaces, materials, and shared spaces, in accordance with Agency cleanliness, safety, and infection control standards.
Creates and maintains tax appointment schedule.

Requirements:

Qualifications:

Experience: A minimum of one (1) year of specialized experience equivalent to at least the next lower grade level that includes:

Job Title: Receptionist
Reports to: Office Manager
Work Schedule: Monday - Friday, 12:30 PM to 5:00 PM
Compensation: $15.11/ hr. plus comprehensive benefits package including 100% employer paid pension, generous time off and 14 paid holidays.
General Responsibilities:
Responsible for answering the Agency's phone and greeting participants, visitors, and guests in a professional, friendly, and welcoming manner. Serves as the first point of contact for the Agency, supporting a safe, secure, and organized front lobby environment. Assists other departments with administrative tasks and overflow work as needed.

Answers callers and provides basic information about Agency functions. Transfers calls to appropriate staff and take messages as needed.

Distributes printed material to callers and guests as needed.
Provides data entry and internet research support to other staff members. Performs clerical duties as needed.
Maintains and organizes front desk resources, including reference materials and procedures, to ensure consistent, accurate information and adherence to established front desk, safety, and security protocols during all front desk coverage.
Maintains a clean, organized, and welcoming front desk and lobby area, including routine upkeep of surfaces, materials, and shared spaces, in accordance with Agency cleanliness, safety, and infection control standards.
Creates and maintains tax appointment schedule.

Key Responsibilities
* Prepare and issue time and materials invoices accurately and on schedule, ensuring compliance with client contracts and company policies.
* Review project cost reports, labor hours, subcontractor charges, and materials usage to ensure completeness and accuracy prior to billing.
* Collaborate with project managers, estimators, and field supervisors to validate billable work and resolve any discrepancies.
* Maintain detailed supporting documentation for all billed amounts, including purchase orders, time sheets, material receipts, and subcontractor pay apps.
* Assist with month-end closing activities, including accruals, journal entries, and reconciliation of general ledger accounts.

Qualifications
