What You'll Do:
The Unit Coordinator I provides administrative and clerical support of clinical services. This position oversees the individual registration process, insurance verification, answering phones, general office projects, tracking of unit census and coordination with clinical staff to ensure efficient functioning of the unit.
Registers individuals for services, including verification of Medicaid eligibility, enrollment with a health plan, and/or confirmation of other third-party insurers. Collects appropriate authorizations and release of information documents. Schedules appointments (if applicable).
Works collaboratively with the clinical team and communicates any concerns regarding an individual's presentation (psychiatric or medical) to the appropriate discipline.
Greets and receives visitors. Maintains security by following procedures, monitoring logbook, issuing visitor badges.
Oversees episode of care in Electronic Health Record (EHR) with accuracy and efficiency.
Coordinates the discharge of individuals with other inpatient facilities and within the EHR.
Obtains clinical records/documents as requested. Communicates information to physicians, nurses, and clinical team members. Coordinates with other providers to assist with the discharge and/or transfers.

The Medical Front Desk Receptionist provides essential administrative support to the office, healthcare providers, and patients in a fast-paced medical practice. This role is responsible for a wide range of tasks, including patient service, appointment scheduling, data entry, electronic health record (EHR) management, and patient education. Front Desk Receptionist Essential Functions/Responsibilities (other duties may be assigned):
Greet patients upon arrival and address questions and concerns
Answer incoming calls, provide information, transfer calls, and take messages as needed
Schedule appointments and manage multiple provider calendars
Register new patients and update existing patient demographics and financial information
Facilitate patient flow by notifying providers of arrivals, monitoring delays, and communicating updates to patients and staff
Maintain and update patient records through data entry, faxing, and scanning
Collect payments, including deductibles, coinsurance, balances, copays, and sales of OTC items
Review and update accounts receivable/payable changes since prior visits
Maintain an accurate log of orthotics received; contact patients for follow-ups and schedule appointments accordingly
Monitor office supply inventory, place orders, and coordinate equipment maintenance and service
Verify insurance eligibility, referrals, and authorizations in preparation for next-day appointments
Prepare and process daily reports, deposit slips, and upload financial records to shared files
Review billing claims and denials; gather required information from providers or patients to resolve issues

Front Desk Receptionist Required Skills and Experience:
High School Diploma or GED equivalent
2+ years of administrative support experience in a medical environment preferred
Knowledge of health insurance processes, including pre-authorization, insurance verification, medical terminology, CPT codes and ICD-9/ ICD-10 coding preferred
Excellent customer service and interpersonal skills
Ability to establish and maintain effective working relationships with patients, coworkers, and the public
Strong communication, multi-tasking, and problem-solving skills

ESSENTIAL DUTIES AND RESPONSIBILITIES

Answers multiline phones, routing calls appropriately, and placing calls for patients all in an efficient, courteous manner.
Coordinates new admissions by preparing patients chart, securing patients belongings and updating all relevant unit documents.
Processes patient discharges by breaking down chart, creating and faxing discharge packets to appropriate parties and updating all relevant unit documents.
Maintains daily census log by recording admissions and discharges to provide source of information for statistical reporting.
Sends daily report to NSBHO regarding daily census.
Greets and assists visitors and vendors in a professional manner.
Maintains open charts by ensuring all signatures are completed, paperwork is updated and available.
Communicates with Snohomish County Mental Health to coordinate medication notices and notifications of patient admits and discharges.
Requests records from patients' outside providers including past hospitalizations.
Prepares information packets for referrals to Western State Hospital and other facilities.
Assists with direct care to meet the safety needs of patients and the facility. Assists patients with hygiene and clothing items. Triages patient requests and refers to the appropriate staff person and de-escalates patients as needed.
Assists with inventory and putting supplies away when they are delivered.
Communicates regularly with facilities department regarding any maintenance issues.
Performs filing, photocopying, data entry, word processing, mail processing and general support as needed.
Participates in regularly scheduled supervision and team meetings.
Remains compliant with required trainings and certifications.
Behaves in an ethical and professional manner consistent with agency policy, state law, and licensing entities if applicable.

EDUCATION / EXPERIENCE / CERTIFICATIONS / LICENSES

Current First Aid & CPR certification and Food Handlers permit, or ability to obtain within 90 days of hire.

The employee will be working in an acute care facility and must be able to physically participate in managing aggressive behavior from patients.
