Candidates must have a reachable score on the University at Albany Administrative Assistant 2 Exam List OR
Be a current NYS employee and have a current permanent appointment with 1 year of service as an Administrative Assistant 2, or in a title eligible to transfer to Administrative Assistant 2 OR
Be a former NYS employee eligible for reinstatement to the title of Administrative Assistant 2
May be filled from a mandatory reemployment list if one is in effect at the time of appointment.

Serves as a resource to deans, department chairs, center directors, faculty and administrative staff regarding the hiring and appointment process. Serves as a liaison between OAA and the Provost's Office.
**ESSENTIAL FUNCTIONS**
+ **Faculty appointments** : Exercising independent judgement, serves as spokesperson for interpreting and applying policies, regulations and bylaws and communicating instructions regarding Professional, non-doctoral and Research Assistant Professor appointments to deans, department chairs, administrators and faculty. Ensures regulations and policies for faculty recruitment and appointment processes are followed and maintained throughout the appointment process. Interprets the SMD Regulations of the Faculty and in a clear, concise manner, provides interpretations to SMD departments and centers (including time-allowed in rank, provisions for PT faculty, length of notification to faculty required if they will not be reappointed, etc).
+ Independently reviews and evaluates documentation required for faculty appointments, reappointments and promotions. Ensures accuracy and completeness. Coordinates and ensures appropriate finance approval as well as approval from the Vice Dean for The Office of Academic Affairs. Reviews and approves faculty business processes within my URHR, and positions integrated between URFaculty and my URHR, as well as appointment materials uploaded through the SMD PMR (Promotions and Reappointment Manager software).
+ Facilitates the review and approval for academic Assistant Professor faculty reappointments. Review materials, advise departments, seek Vice Dean approval, and update appointment data in SMD Faculty Roster.
+ Manages **coordination of the activities of the MEDSAC Steering Committee** (school-wide promotion and tenure committees), including scheduling meetings, confirm committee attendance, assuring quorum. Assemble associated materials for Provost and Board of Trustees approval, construct Provost actions for appointments one year of length of less, distribute Provost and BOT letters to department administrators and chairs.
+ Keeps process documentation for tasks related to MEDSAC Steering Committee and related actions and processes.

Typical Duties:
- Coordinates daily activities of assigned ophthalmic technicians and develop weekly technician schedules: Maintains presence on the clinical floor to ensure patient flow moves efficiently troubleshooting in all services as needed as needed.
- Oversight of ophthalmic technician training program to ensure staff is performing at required skill level.Includes: one-on-one training with technicians (e.g. conducting phoropter refractions and/or trial lens refractions, incorporation of faculty feedback on training opportunities, development of a faculty lecture series, provide guidance and oversight of the technician incentive program intended to promote achievement of certification levels (COA, COT, COMT), and collaboration with diagnostic services team on training & skill enhancement opportunities.
- Performs as a ophthalmic technician, in addition fills is able to float in and cover any specialty service when staffingshortages occur, specific duties would include interaction with patients and all others in the department to ensure that the patient and assigned faculty member needs are met.
- Chairs bi-monthly technician team meeting. Ensures appropriate follow-up items are addressed. Attends pertinent departmental meetings to address tech related items.Works with Faculty Practice Manager to assess/analyzes technician supply and demand for the department.
- Provides regular weekly feedback to Faculty Practice Manager about staffing concerns, performance issues, and opportunities for organizational improvements.
- Assists with recruitment and hiring process for ophthalmic technicians, and provides input regarding performance evaluations for technicians in conjunction with the Faculty Practice Manager.
- Keeps certification up to date in addition keeps abreast of current trends and developments in ophthalmic technical field.
Qualifications:
Bachelor's degree and 3 years of relevant experience with COA certification; or 5 years of relevant experience and COA certification, or an equivalent combination of education and experience with COA certification. Preferred COT certification.
