Under the supervision of the Assistant Director for Operations & Impact, the Program & Events Manager works closely with faculty, senior leadership, and staff to plan and coordinate key aspects of ongoing projects, programs, and initiatives of the Atlantic Fellows for Equity in Brain Health Program. Key responsibilities include managing and executing complex, high-visibility events and meetings involving influential partners and members of the campus community. Regular international travel is expected. This role will also provide administrative support and project management for operational activities, will coordinate activities of the Advisory Boards, and will support scheduling and other administrative tasks for the Director and Assistant Directors.
The final salary and offer components are subject to additional approvals based on UC policy.
Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.
The salary range for this position is $78,900 - $167,300 (Annual Rate).

Bachelor's degree and a minimum of 3 years of relevant experience.

Primary responsibilities include:
* Design, plan, implement, and coordinate customized events.
* Serve as a member of the Event Operations team and contribute to a wide variety of functional areas, including decisions around scheduling, event logistics, and facilities.
* Consult with stakeholders to determine event objectives and requirements.
* Inspect event facilities to ensure they meet the event needs.
* Procure and coordinate vendor services. Negotiate vendor contracts to minimize liability and risk.
* Communicate with visiting entities such as vendors, alumni, and program participants for assigned events.
* Research and provide recommendations to optimize event locations and evaluate alternatives and availability.
* Resolve calendar conflicts. Generate analytical reports and summaries.
* Utilize and maintain complex venue reservation system/database in Mazevo and other event planning software.

The Hilbert Museum Office and Events Coordinator provides general office clerical and administrative support and visitor services coordination and is responsible for the coordination and support for events held at or planned by the museum. The Inclement Weather Shelter Event Coordinator serves in a highly visible capacity, providing support and oversight for the temporary Inclement Weather Shelter during severe weather events. This role involves coordinating logistics, ensuring compliance with safety protocols, and collaborating with local agencies to support unhoused individuals. The coordinator ensures the shelter operates efficiently and provides a safe and welcoming environment. This is an as-needed position, where the schedule will be determined based on specific events or projects, with no regular or set hours.
Essential Functions/Responsibilities

Provide logistical support for inclement weather shelter events on the San Mateo County Event Center campus.
Facilitate the daily check-in and check-out procedures of guests.
Proactively work to ensure that clients have a positive experience.
Ensure safety and security within the shelter and respond to emergency situations, as necessary.
Monitor load in, event, and load out to be sure rules are followed and approved event plans and floor plans are enforced.
Troubleshoot facility and personnel issues as they arise.
Continually survey grounds, parking lots, and areas in use by clients during events for any negative impact.
Assure rapid emergency response when/if required.
Oversee service contractors (ie: janitorial, security, etc.); confirming hours worked and delegating tasks as necessary.
Document the activities of the day, via written notes/reports.
Oversee the unlocking/locking of event spaces as required.
Perform additional duties as assigned.
Qualifications

The Inclement Weather Shelter Event Coordinator serves in a highly visible capacity, providing support and oversight for the temporary Inclement Weather Shelter during severe weather events. This role involves coordinating logistics, ensuring compliance with safety protocols, and collaborating with local agencies to support unhoused individuals. The coordinator ensures the shelter operates efficiently and provides a safe and welcoming environment. This is an as-needed position, where the schedule will be determined based on specific events or projects, with no regular or set hours.
Essential Functions/Responsibilities
Essential and other important responsibilities and duties may include but are not limited to the following:
Provide logistical support for inclement weather shelter events on the San Mateo County Event Center campus.
Facilitate the daily check-in and check-out procedures of guests.
Proactively work to ensure that clients have a positive experience.
Ensure safety and security within the shelter and respond to emergency situations, as necessary.
Monitor load in, event, and load out to be sure rules are followed and approved event plans and floor plans are enforced.
Troubleshoot facility and personnel issues as they arise.
Continually survey grounds, parking lots, and areas in use by clients during events for any negative impact.
Assure rapid emergency response when/if required.
Oversee service contractors (ie: janitorial, security, etc.); confirming hours worked and delegating tasks as necessary.
Document the activities of the day, via written notes/reports.
Oversee the unlocking/locking of event spaces as required.
Perform additional duties as assigned.
Qualifications
Excellent customer service skills.
Organized, detail-oriented; demonstrated maturity in judgment and actions.
Excellent verbal communication skills; tact and diplomacy in dealing with people and handling difficult situations.
Basic computer skills are required.
Remains calm under pressure; has the ability to direct staff, guests, and vendors in a levelheaded manner in an emergency situation.
Requires being punctual, responsible, reliable, and dependable to fulfill job obligations.
Bilingual English/Spanish, spoken and written - enough for instructions and basic communications, (Fluency strongly preferred)
CPR Certification a plus.
Must be available to work evenings, weekends, and holidays.
Experience
At least 2 years of experience working in a non-profit, social work, or human services setting. Prefer experience providing services to individuals experiencing homelessness. Volunteer experience, customer service experience, and transferable skills will be considered.

Position Summary:
Under general direction and supervision, the Event Coordinator will assist in planning and executing events such as professional and collegiate sports, ancillary functions, internal meetings, press conferences, fundraisers and ceremonies. This position is expected to coordinate all event details including budget preparation and staff management, and continually research new event trends. This position reports directly to Vice President of Event Services.
Essential Functions:
Provide support and coordination for event operations and event management to meet the expectations of event owners, production, and venue management.
Work closely with Event Managers on projects pertaining to event production.
Maintain positive rapport and form strong client and tenant relationships.
Anticipate production, logistical and operational obstacles and appropriate solutions.
Implement and enforce facility rules, regulations, policies and procedures.
Gather and communicate all event requirements to various departments.
Prepare and distribute detailed production notes for each event and schedule production meetings with the venue department heads (including but not limited to operations, security, food & beverage, and guest services).
Manage, maintain and organize event binders and files, which include all pertinent event information
Schedule and facilitate meetings with department heads to coordinate event logistics.
Required Qualifications:
High School Diploma or its equivalency.
2-4 years of Event planning or special events, preferably sporting events, concerts and event production.
Extremely well organized and detail oriented, even when under pressure.
Intermediate working knowledge of MS Office (Word, Excel, PowerPoint, and Access) with the ability to learn required business systems.
Ability to maintain an impeccable professional appearance.
Strong ability to manage one's own time and prioritize tasks when given clearly defined goals and objectives.
Ability to maintain confidentiality and use upmost discretion when privy to sensitive information.
