Serves as a liaison between the Chair, Faculty, and Department Administrators (DAs).

Compiles and ensures accurate regulatory compliance of necessary data collected from various sources.
Works with Principal Investigator to compile and submit the entire grant according to established agency/university guidelines.
Prepares and reviews all agency forms for submission.
Enters grant budgeting documents on line, as needed.
Obtains PI and institutional signatures for proposal submissions.
Initiates subaward setup through SUBS system (new process/system). Uploads pre-award documents and hands it off to Post-award to enter fund number.
Coordinates with the Post-award unit and OSRS to ensure timely implementation of contracts and subcontracts by examining and supplying the necessary requirements in the SUBS system.
Award Management
Provides internal notice of award (NOA), including sponsor award documents, to SPA and PI, noting any special terms and conditions as well as committed effort.
Monitors and works with PI to submit annual agency reports (e.g., Research Performance Progress Reports/RPPRs).
Teams with the Post-Award unit on revised budgets.
Oversees and coordinates the proper transfer of PI grants and contracts into WashU.

Coordinates the necessary support with internal and external requests for grant-related information (i.e. current biosketches, trainee information, and human/animal protocol approvals, other support).
Research Reporting
Tracks and maintains online database of grants submitted, awarded, rejected, etc.
Grant Closeout
Serves as responsible for closure of sponsored projects accounts.
Submits final progress report and invention statement (if applicable) to the appropriate agency.
Follows up with PI and facilitates submission of delinquent final technical, outcomes, patent, and property reports.

Advise and interact with the College of Engineering and Computer Science (CECS), IAI faculty, and their departmental administrators on interpretation of sponsor guidelines, forms, regulations & policies related to proposals & budgetary requirements.
Prepare sponsor forms, including budgetary, application forms, and ancillary submission documents for inclusion with the proposal submission, as well as internal administrative forms, as appropriate. Reviews and ensures accuracy of approved cost share requirements, including the source, amount, and authorized signatures of committed cost share, wherever necessary.
Ensure that research proposals, related documents routed through the University routing system, special considerations (i.e., budget, cost share, release time, indirect reduction, space and renovation needs, etc.) are reviewed and approved by appropriate University officials (Chairs, Dean/Director, VP, etc.).
Act as a liaison between the Office of Research (OR), departments, faculty members of CECS/IAI/AMPAC, collaborators, and sponsors with all aspects of sponsored research proposal /administration, and negotiation of sponsored research agreements, including but not limited to grants, contracts, NDAs, and MOUs.
Prepare multi-institutional proposals; communicate with sponsored research departments at other institutions in multi-university proposals; pay specific attention to the appropriate sponsor format of the proposals and budget.
Facilitate follow-through of proposals and award just-in-time requests to make changes/corrections to award documents, as appropriate.

PURPOSE
The Business Coordinator II (Departmental Grant Coordinator), under general supervision, provides post-award administrative and financial management support to faculty and researchers within the College of Engineering and Computer Science. The position oversees all financial, personnel, budgetary, and procurement activities related to sponsored project accounts. Serves as the primary liaison between principal investigators (PIs) and the University's research, finance, and administrative offices to ensure effective, compliant, and timely management of externally funded awards.
RESPONSIBILITIES
Operation: 60%
Oversees financial and operational management of all sponsored project accounts in compliance with federal, state, sponsor, and institutional policies.

Job Description
Responsible for developing communication that enhances the visibility and reputation of Texas State University by promoting and publicizing its programs and initiatives.
Job Duties
* Research Content Creation - Develop clear, engaging stories and press releases highlighting research discoveries, grants, and scholarly activities. Tailor content to diverse platforms (e.g., websites, newsletters, social media, reports).
* Faculty and Stakeholder Engagement - Collaborate with faculty, students, research centers, and administrators to identify newsworthy content and develop communication plans.
* Research Promotion Strategy - Align content with federal research priorities, SB17 guidelines, and strategic goals. Develop collateral to support external funding proposals and public engagement.
* Digital Media Content Development - Produce photography, video, and multimedia content to complement research narratives.
* Editorial Calendar and Asset Management - Maintain content calendars, digital asset libraries, and source tracking systems for recurring features.
* Media Relations Support - Draft media advisories and talking points; support press briefings, special events, and announcements related to major research milestones.
* Web, SEO, and Social Content Optimization - Use SEO techniques and analytics to maximize digital reach of research content.

The Contract and Grant Administrator pursues, negotiates, and administers sponsored programs; oversees the post-award process; reviews and processes agreements (both financial and non-financial); negotiates contract terms; informs faculty and college personnel of special contractual requirements; ensuring compliance with University guidelines; and providing training to University personnel on grants and contracts administration. Duties are performed at various levels within the defined title.
Work location is Stephenville, Texas with normal in-office work hours of Monday to Friday from 8am to 5pm or as work requirements indicate which may include afterhours.
Essential Job Duties
Assist in post-award process for sponsored programs; monitor deadlines.
Assist in preparing initial and revised budgets.
Assist with the preparation of non-disclosure agreements.
Assist with the preparation of sub-awards.
Monitor agreements for compliance with contractual requirements.
Advise faculty in interpreting and adhering to sponsor and University guidelines.
Monitor appropriateness of expenditures on awards and sub-awards
Correspond with sponsors and sub-recipients regarding performance issues.
Process modifications to existing agreements
Assist faculty with the preparation and submission of reports.
Assist in closing-out awards and sub-awards.
Required Education and Experience:
Bachelor's degree in applicable field or equivalent combination of education and experience.
Five years of related experience
Knowledge Skills and Abilities
Knowledge of word processing, spreadsheet, and database applications.
Ability to multitask and work cooperatively with others.
Strong verbal and written communication skills.
Ability to present information clearly and concisely.
Supervision of Others

Salary: Commensurate with experience
Salary Range:
The target base annual salary range is $49,000 up to $68,330.50 and may be negotiable based on funding availability and candidate experience/skillset in relation to the minimum requirements of this position.
