Job Description
The Medical Secretary II performs all secretarial functions to include but not limited to answering phones, taking messages, scheduling appointments, maintaining files, edit and proofread materials, distributing correspondence. The Medical Secretary II is responsible for monitoring patient check in and check out and performing other duties as assigned.

Protects the privacy and confidentiality of patients and employees. Addresses patients, families, visitors, co-workers and physicians with courtesy and respect. Respects patients' rights by addressing patient
by name and maintaining confidentiality. Collaborates with the patient, significant others, and ancillary departments to become a multidisciplinary health care team whose goal is to provide care that is continuous and well-coordinated. Accurately maintains charts, files, and identification numbers. Obtains, verifies and documents required patient information.
PATIENT SUPPORT:
Responsible for patient check-in and discharge, scheduling.
PRIMARY CARE OFFICE REGISTRATION:
Facilitates an efficient and professional registration process through the attainment of demographic and financial information, via face-to-face registration, that is pertinent to appropriate reimbursement and statistical analysis. Responsible for entering information accurately in both the Medical Records and Patient Billing systems. Ensures completion and accuracy of all registration forms and documents and schedules follow-up visits into proper systems. Prints daily clinic schedules, prepares new patient information packets, answers telephone and triages calls/questions as appropriate. Collects physician practice authorizations, enter appropriate information in both registration/billing systems. Instructs patients to obtain referrals as needed. Assists with follow up directly with referring physician office as needed. Explains general policies related to registration, co-payments, referrals, pre-authorizations, and deductibles as well as policies related to physician billing and different specialty services within UMSJMG

JOB SUMMARY
The unit secretary is an integral member of the patient care team assisting with the continuum from admission to discharge. He/She also completes general receptionist duties. These duties include but are not limited to greeting patients and families, answering the phones and patient call lights. The unit secretary is also responsible for accurate order entry and maintaining the patient chart. He/She will also maintain appropriate amounts of forms needed for unit. The candidate must have the successful completion of medical terminology test.

* Consistently correctly assigns patient history number immediately upon check-in.
* Consistently stamps laboratory test requisitions, history sheets, encounter forms, and professional fee sheets with patient's name according to departmental guidelines.
* Interviews patients and/or family members via telephone, prior to the scheduled appointment according to departmental guidelines.
* Consistently greets and interviews patient and family members to obtain or verify complete and accurate registration information.
* Accurately describes procedures to new patients according to departmental guidelines.
Minimum of High school diploma or equivalent required.
Knowledge of business, insurance and/or medical terminology and an excellent command of English grammar and spelling.
EPIC Certification through Johns Hopkins training will be required prior to starting the temporary assignment.

Department: Medical Oncology
Schedule:
* Monday - Friday
* 8:00am - 4:30pm
Pay Rate: $22-$23
* Answer and triage incoming calls; document and route messages in EPIC.
* Schedule and coordinate chemotherapy/infusion, provider follow‑ups, diagnostics (CT, ultrasound, EKG, labs), procedures, specialist consults, and admissions; resolve conflicts.
* Register and pre‑register patients; verify demographics and insurance; obtain authorizations/pre‑certifications; maintain accurate records in EPIC, IDX, OCIS, and related systems.
* Provide test/procedure prep instructions; ensure timely transmission/scanning of orders, consents, and clinical documentation.
* Confirm appointments, manage cancellations, and optimize provider schedules (e.g., backfill and urgent add‑ons).
* Assist patients and families with questions and issue resolution; coordinate transportation when needed.
* Maintain provider calendars/templates and department room schedules.
* Process incoming faxes and support special projects; collect time‑of‑service payments when applicable.
* Education: High school diploma or GED required; two years of college or equivalent work experience preferred
* Experience: Three years of progressively responsible medical office experience required (additional education may substitute for up to one year of experience)
* Knowledge of medical terminology
* Strong verbal and written communication skills
* Ability to stand, walk, sit, or bend for extended periods
