JOB SUMMARY
The Administrative Assistant (Admin Assistant III), provides high-level administrative support to the Associate Vice President(s) and other members of the University Advancement team. Primary responsibilities include scheduling appointments and managing calendars; preparing complex documents of a highly confidential nature; leading or participating in special, repetitive, and on-going projects; managing correspondence; providing internal and external customer service; and reconciling/approving expenses. This position serves as the primary manager of the Minneapolis office for University Advancement, managing requests related to the workspace and supporting the team. Work direction for the role will be provided by the Associate Vice President(s) and project requests will come from members of the University Advancement team. This is a full-time in-person position located on the Minneapolis campus.
ESSENTIAL FUNCTIONS
1. Manage the Associate Vice President(s)'s calendar for all activities, meetings, reservations, and travel; coordinate and prepare materials for meetings the Associate Vice President(s) attends or leads including agendas, minutes, reports, presentations, online research, room reservations, and catering requests. Manage expense reporting. Assure the preparation and proper recording of call reports for development work involving the Associate Vice President(s). Manage small constituent and team gatherings.
Support the Associate Vice President(s) in scheduling large group and recurring meetings, prepare materials for meetings. Manage expense reporting. Support committees and projects as requested.
Prepare letters, donor acknowledgements, e-mail correspondence, memos, presentations, and other documents as needed; complete writing projects; transcribe and prepare clean text; edit and proof correspondence, proposals, and summaries.
Assist Associate Vice President(s) with initiative and projects as requested; manage procedures and processes, including purchases and payments, requests for services, and managing department rosters for subscriptions; reconcile and approve expenditures; oversee and implement change in office operations; ensure equipment, materials and space are used effectively.
2. Manage University Advancement on-boarding, off-boarding, office move requests, organization chart updates, phone list updates, training/professional membership access and other staffing and facilities-related processes.
3. Manage the Minneapolis University Advancement Office ensuring the space is well-organized, professional, and welcoming for team members and external guests. Order supplies. Manage office contracts and equipment.
4. Provide project support to members of the University Advancement team.
5. Provide seamless back-up to the Executive Assistant to the Vice President of University Advancement position. Maintain excellent working relationships with all members of the University Advancement staff, the internal university community, and donors; assist with fostering a team dynamic within the advancement office.
6. Other duties as required.

The Coordinator works closely with the campus Community to ensure Campus Stores has a presence on applicable events.
ESSENTIAL FUNCTIONS

The Center for Microgrid Research:
The Center for Microgrid Research is in the midst of an exciting growth phase with more than $25 Million grants from the National Science Foundation (NSF), Department of Defense (DOD), and Minnesota Department of Commerce. In the next year, it is anticipated that the CMR team will grow to more than 10 full-time staff and 15 student researchers. Through the awards, the Center's infrastructure is expanding in capability and size. The microgrid's on-site generation capacity is increasing to more than 1.5 MW to feed power to 5 buildings on campus, covering more than 400,000 sq. ft. of space. The expanded microgrid will be made up of 2 smaller microgrids and have 4 points of connection with the local utility resulting in a unique networked-microgrids layout. The research and development infrastructure is growing to include state-of-the-art Hardware-in-the-loop (HIL) testbeds for controller-HIL, power-HIL, and power-system-HIL. Research findings developed and prototyped on the HIL testbeds will be immediately applied to the real-world microgrid for real-world case studies and experiments. Moreover, the CMR's industry partnership network is rapidly broadening. As an example, the CMR is a founding member of the Minnesota Cleantech Consortium which includes 3M, Cummins, Xcel Energy, Connexus, Great Plains Institute, and many others.

JOB SUMMARY
Reporting to the Director of Development, College of Arts and Sciences, the Assistant Director of Development plays a critical role in helping to ensure the success of St. Thomas's ten-year fundraising campaign by engaging and inspiring constituents and building a pipeline of major gift prospects. The ADD is responsible for securing gifts from prospects with capacity of $25,000 and above, by identifying, cultivating, and soliciting prospects, including alumni, parents, friends, and prospects currently unaffiliated with St. Thomas. The ADD will work with the College of Arts and Sciences and other schools/colleges as assigned, as well as other University Advancement departments to help develop and activate unit engagement plans to engage and identify new prospects.
ESSENTIAL FUNCTIONS
Fundraising: Portfolio management, prospect identification, cultivation, solicitation, stewardship, and referral (90%). The Assistant Director of Development will qualify, cultivate, and solicit prospects with capacity greater than $25,000, through the following activities:
1. Portfolio Management:
· Working with Prospect Development to identify prospects with capacity for gifts greater than $25,000.
· Maintain a balanced portfolio of prospects across the stages of qualification, cultivation, solicitation, and stewardship. Work with Prospect Development to continually refresh portfolio and implement strategies to move prospects through the cultivation cycle toward solicitation.
2. Prospect identification, qualification, cultivation, solicitation, and stewardship:
· Conduct regular outreach to qualify prospects through face-to-face visits and other substantive contacts and confirm gift capacity. The ADD will be required to meet a specified metric of visits/substantive contacts per year.
· Solicit a subset of prospects in portfolio annually for gifts based on capacity. Performance metrics will be established each year.
· Collaborate with Donor Relations to develop and implement appropriate stewardship programs for gifts and prospects above the $25,000 level.
· Mine prioritized unit-level prospect pools developed by Prospect Development for qualification outreach. Seek referrals from prospects, donors, and event attendees.
3. Engagement Plan activation
· Assist the Director of Development in developing and implementing an annual engagement plan to engage current and prospective prospects and donors.
· Proactively ensure that events and communications pieces are regularly scheduled throughout the year with appropriate post-event follow-up.
· Working with UA events staff, assume responsibility for logistics associated with meetings and events.
· Work with the Engagement Center to develop high-touch and mass engagement strategies to increase prospect engagement with the university and cultivate gifts.
4. Institutional knowledge, reporting, planning, and administrative work:
· Submit an annual plan outlining proposed solicitations and strategies for each fiscal year.
· Gain familiarity with university and unit fundraising priorities to facilitate meaningful donor discussions. Continually refresh knowledge through reading/research, attendance at university and unit functions, and team and one-one meetings with colleagues.
· Enter timely reports on all donor outreach attempts and contacts, including detailed reports on face-to face visits and other substantive contacts using the donor database, (Salesforce).
· Plan and organize local travel schedule, prepare reports for supervisor and UA leadership as needed, and maintain accurate record of work-related expenditures.
QUALIFICATIONS
Minimum Qualifications
Bachelor's Degree
One year of experience in fundraising or a related field such as sales, marketing, or public relations that focus on cultivating relationships and soliciting individual or business prospects.
This position requires local travel and attendance at some evening and weekend events. Therefore, this position requires a DMV background check.
An equivalent combination of education and experience from which comparable knowledge and skills have been acquired may be substituted.
