Job Title: ASC Front Desk Receptionist/Scheduler Reports To: ASC Business Office Manager This position serves as the Front Desk Receptionist for our Ambulatory Surgery Center (ASC). The Front Desk Receptionist/Scheduler is responsible for delivering exceptional customer service to patients and ensuring a smooth and welcoming experience within the center. In addition to patient-facing duties, this role also manages medical records to ensure compliance with regulatory standards and is responsible for closing patient charts accurately and efficiently. Essential Job Functions: Welcomes all individuals entering the ASC suite with a professional and positive demeanor. Checks in patients promptly and offers assistance to both patients and their family members. Communicates any concerns that may affect the schedule flow to the RN staff. Coordinates and schedules surgical procedures on a daily basis. Prepares surgical charts by accurately entering patient information, including consent forms, history and physicals (H&P), lab results, EKGs, and pathology slips. Generates charge sheets for each case. Collects labs, EKGs, and history and physicals (H&P), and organizes them in the Anesthesia folder for review as needed for scheduled cases. Creates file folders for each complete case. Inserts operative notes and pathology reports into the corresponding charts upon receipt, and files completed charts accordingly. Monitors medical records to ensure regulatory and documentation compliance. Closes and finalizes patient charts in a timely manner. Maintains confidentiality in all areas concerning business, patient privacy and patient records. Safeguard computer passwords. Maintain the electronic as well as the necessary physical security for the operation of the ASC, which will include computer access and physical access to the ASC suite. Works in conjunction with support staff, OR Techs, RNs, MDs as an active member of the Team and adheres to ASC Policies and Procedures. Provides secretarial support for the ASC including managing the telephone systems. Accurately and efficiently utilizes phone, computers, fax, copy machines, and labelers. Anticipates supply needs and maintains an organized supply inventory. Accurately stores and retrieves departmental data through the use of computers utilizing word processing software, some preformatted databases and spreadsheets. Maintains computer files of departmental billings, forms, letters, minutes, reports and statistical data for tracking and reporting purposes, and print out Infection Reports. Communicates with physician's offices in a professional manner. Communicates problems or issues with Manager, RN staff, ASC Administrator and/or Materials Management regarding bookings. Reviews OR schedule with the ASC Administrator to assure accurate times are allowed for each booking. Reports any schedule changes to appropriate staff members i.e. booking times, procedure changes, cancellations. Gathers and enters data for Patient Satisfaction Survey. Job Title: DME/Orthopedic Technician Reports to: Clinical Operations Manager This is a Full-Time position, Monday-Friday within the hours of 7am-7pm, under general supervision, assists physicians with care and treatment of orthopedic patients, including, but not limited to casting, splinting, DME bracing, and the application of traction. DME fitting includes and is not limited to fitting, refitting, custom measurement, education, billing, collection of co-ins/Deductible and patient satisfaction. The ideal candidate will validate compliance, insurance verification, and follow up on DME orders. He or she will communicate with the patient care staff, patients and families regarding durable medical equipment issues or concerns. They will look to help facilitate patient flow with rooming/patient intakes as needed. Principal Duties and Responsibilities : Assists physicians with patient care and flow during office hours; properly fits and applies pre-operative braces, crutches, and other soft goods; prepares and applies casts, splints, and orthopedic durable medical equipment; changes dressings; removes sutures, casts, and splints. Educate patients on insurance plans and provisions, financial responsibility, and collection of patient portion and follows compliance guidelines. Responsible for recording the details in the patient's medical record as well as completing all of the necessary documentation in order for the billing department to submit the DME claim to the patient's insurance carrier. Assists physicians as needed with orthopedic procedures, including wound care, aspirations, fracture reductions, etc; instructs proper care for patients in casts, splints, or traction devices, as well as the use of orthopedic durable medical equipment. Maintains clean and well-stocked cast, DME fitting, and exam rooms; orders supplies, or equipment as needed for these rooms, and rotates stock when DME orders come in. Manages DME inventory at their location and reports any concerns for stock and maintains adequate supplies for casts/splints/wound care. Remains current with orthopedic trends, care, and supplies; performs other duties as assigned. Job Title: Associate Athletic Trainer Reports to: Manager of Athletic Training Services Secondary Oversite: DME/OrthoTech Manager, Team Physician, and School Athletics Director The Associate Athletic Trainer is responsible for offering athletic training services a local high school in Rhode Island. The Associate Athletic Trainer will act as a representative of University Orthopedics while providing daily treatments and coverage of athletic games and practices for the school. The Associate Athletic Trainer will also work 10 hours per week in the University Orthopedics DME/Orthopedic Technician department, responsible for fitting, refitting, custom measurement, education, billing, collection of co-ins/deductible, inventory management and patient satisfaction. May be responsible for assisting the physicians with care and treatment with acute orthopedic injuries by applying/removing/reapplying casts/splints and wound care as needed. Essential Job Functions: School Responsibilities (30 hours/week) Act as a representative of University Orthopedics and the standards valued therein. Work with the athletic director to plans for providing athletic training coverage at interscholastic athletic events identified in Athletic Training Program Coverage Policy. Establish and maintain a budget for athletic training supplies/equipment Establish daily hours of operation for the athletic training facility. Develop comprehensive venue and condition specific emergency action plans. Establish a working relationship with a designated team physician and community physicians. Work in accordance with standing orders and team physician recommendations. Establish a working relationship with school nursing staff. Complete (school systems) policies training to include Blood Borne Pathogens Exposure Control Plan training and comply with the regulations therein. Maintain adequate medical records on all injuries and rehabilitation procedures. Coordinate physical examinations and medical referrals for student-athletes to determine their ability to practice and compete. Work in conjunction with coaches and/or strength and conditioning staff to ensure safety in the design and implementation of fitness, nutrition, and conditioning programs customized to meet individual student-athlete needs. Develop coach's professional development for CPR/AED, Concussion, Heat Illness, Sudden Cardiac Death, Anaphylaxis, Sickle Cell, etc. DME/OT Responsibilities (10 hours/week) Provides direct patient care by fitting and instructing DME products to patients pre-operatively, post-operatively, or during a scheduled office visit. Educate patients on insurance plans and provisions, financial responsibility, and collection of patient portion. Assist staff and physicians in problem solving in regard to type of brace and fitting that best suits the patient and their situation. Reports any abnormalities in the forms to the DME Manager Responsible for recording the details in the patient's medical record as well as completing all of the necessary documentation in order for the billing department to submit the DME claim to the patient's insurance carrier. Interfaces with billing department on issues relating to DME bills, resolves identified problems in a timely manner. Applies, removes, reapplies any prescribed casts/splints by UOI providers Provides appropriate wound care based on provider prescription re: Sutures, Staples, Dressings. Adheres to all Federal and State regulations, agency policies and protocols relating to the DME functions. Job Title: Radiologic Technologist Reports To: Diagnostic Imaging Manager Full Time - 40 hours per week Under the general supervision of the Diagnostic Imaging Supervisor and/or Lead technologist, this position will perform X-Ray examination procedures requested by University Orthopedics (UOI) providers. The work in this position contributes to patient's overall successful interaction within the office. Exceptional people skills are needed. Must have flexible availability to cover additional locations or shifts if needed. Essential Job Functions: Ensure equipment is functioning properly and report any malfunctions to the lead technologist. Properly Identify and prepare patients for radiologic procedures and performs x-ray exams following established protocols and procedures for patient care and safety.
