Job Description SummaryThe Program Coordinator provides administrative management of the daily functions for the College of Arts & Humanities Living Learning Programs (LLPs) in the areas of programmatic support, finance, procurement, travel, and event coordination. Duties include but are not limited to: management of administrative and programmatic activities; budgeting and account reconciliations; processing day-to-day financial transactions; procurement requests to include the departmental purchasing card; coordinating all faculty, staff, and guest travel; and coordination of administrative and event logistics. Coordinates and organizes non-academic aspects of the LLP programs, provides support for new initiatives, and is responsible for tracking student progress. As the Coordinator will be responsible for working with the ARHU LLP Directors on behalf of the Associate Dean, the incumbent will need to be able to manage a multi-layered workflow, take the initiative to resolve issues, and provide creative solutions to support the work of the LLPs. The coordinator will have to possess the agency to successfully navigate the complexities of working with the ARHU Dean's Office, Office of Undergraduate Studies, Honors College, and College Park Scholars.
Physical Demands: Typical office environment. May occasionally need to carry light boxes and arrange furniture for events with assistance. May need to do errands around campus. May infrequently be required to attend evening or weekend events.
Preferences:
Bachelor's degree in a related field
Working experience in higher education, specifically at UMD, is strongly preferred.
Prior experience working with the State of Maryland / knowledge of State policies.
Working knowledge of university software tools and/or systems such as PCMS, Shell Shop, KR,
Workday, Zoom, Student award system, SIS, and others.
Knowledge of UMD's procurement policies and procedures. Experience working in higher education.

Job Duties
Duties & Responsibilities:
1. Serves as an alternative VA School Certifying Official reporting to the Assistant Registrar of Veterans Engagement and by processing certifications and offering case management support to all student veterans, their family members, and sponsors based on their approved benefit entitlement. Incumbent will coordinate and collaborate with other SCOs on tasks for the day and troubleshoot concerns consistently. Respond to email inquiries and send correspondence using all office tools, programs, and products related to students' benefits, campus enrollment details, and processing certifications
2. Serves as a on-campus representative, external point of contact, and advocate for the veteran student population towards campus staff, faculty, academic and student service advisors, the Department of Defense, Department of Veterans Affairs, and Maryland State Approving Agency (MHEC).
3. Accepts, coordinates, processes, and maintains certification documentation in accordance with State and Federal guidelines to include participation in compliance audits, risk based surveys, and catalog and system updates/coding, 85/15 compliance, SAP and VA/DoD MOUs while administering timely reports, reviews, presentations, hosting and conducting meetings, consultations, interviews and collaborations with sponsors, and partnerships internally and externally.
4. Exercises independent judgment to maintain compliance and confidentiality using an accurate filing system and protection mechanisms for student veterans' PII and other documentation transmissions in and out of the department or university. Also maintaining knowledge and best practices of university policy as it relates to FERPA and other VA/DoD MOUs or agreements. Including access to confidential information and external portals such as Enrollment Manager, Army Ignited, Tungsten, Air Force Portal, and all other systems developed to facilitate the certification and funding processes.
5. Utilize university systems such as Banner, Starfish, Degree Works, Schedule Planner, Apex, Argos, DocuSign, Smartsheet, and all Microsoft & Google products. Utilize Rainbow, EAB Navigate, Canvas, Canva, and all other systems and tools required relative to processing military educational funding and enhancing the productivity of the veterans program in alignment with the VES & university strategic plan. They will assist with training and instructing student staff on the usage of tools necessary to perform job tasks in compliance with the university and VA systems restrictions and requirements.
6. Assists with the organization of and participates in and attends all mandatory trainings, orientations, information sessions, webinars, seminars, or other compliance regulations connected to providing military educational benefits or funding, to include university-issued funding. They will also assist with providing direction on resources to include the monitoring and issuing of departmental scholarships, grants, or other internal funding opportunities available to the student veteran cohorts.
7. Serves as the liaison for the student with university stakeholders, providing and interpreting policy standards/regulations for all educational benefits provided to eligible and non-eligible beneficiaries. Accepts, coordinates, processes, and maintains certification documentation and provides responses to inquiries from our BE One Stop, while administering information for action or direction. Provide consultations, interviews, and orientations to any potential and continuing student veterans, spouses, dependents, or survivors. Attend university-wide and external recruitment events, while interpreting the law and offering best practice information that matches the students' needs with potential services, such as counseling, disability services, employment opportunities, and academic requirements.
Requested Minimum Qualifications
Education:
Bachelor's Degree in any discipline from an accredited college or university.
Experience:
Five (5) years of experience working in a student-centered environment. 2-3 years of experience in a customer service environment is a must. Special preference for working with the military population. Prior or current military experience, along with working at an Institution of Higher Learning, is preferred. Exposure and experience with a military student population is also preferred, but not required.
Ability for occasional travel in and out of state. The ability to complete all mandatory yearly training requirements and serve as a representative in the absence of the Assistant Director.
