JOB SUMMARY:

The Dispatcher schedules and dispatch drivers and equipment as needed to meet customer needs. Coordinate and set up daily dispatch routes for multiple USALCO plant locations. Monitors electronic logging system of drivers and makes corrections when needed. Coordinates breakdown of trucks and trailers with USALCO mechanics and outside repair vendors. Works with plant employees to make sure product is available and that trucks our loaded correctly with correct product. Monitor driver compliance with hour of service regulations, qualification requirements and pre/post trip inspection reports.
ROLES AND RESPONSIBILITIES:
1. Follow all company policies and objectives in a safe and courteous manner.
2. Strive to continuously improve the driver to dispatch and customer service experience.
3. Coordinate and set up daily dispatch routes for all drivers in multiple plants.
4. Modified/change dispatching during shift to accommodate changing customer deliveries.
5. Exceed Customer Service Interface responsibilities:
o Assisting with resolution of customer delivery issues and customer complaints in a timely manner
o Maintain accurate customer information in USALCO databases and software programs
o Process return product from customer back into the plant.
6. Ability to coach drivers on the safe loading and unloading of trailers.
7. Knowledge and compliance with Department of Transportation Regulations directly affecting our Drivers.
8. Understanding chemical related products that USALCO manufactures.
9. Monitor Electronic logging and assist with troubleshooting errors by drivers.
10. Help maintain Driver Qualification records.
11. Help maintain trailer and truck maintenance and truck repairs. Contact Roadside repair for service on equipment.
12. Monitor and report on Driver performance.
13. Equipment checks on trailers in yard.
14. Must be able to work overtime as needed.
15. Perform other duties as assigned in support of business goals and objectives.

Preferred Chemical/HAZMAT field dispatching.
Minimum of Intermediate Proficiency in Microsoft Excel, Word & PowerPoint

WHAT YOU'LL BE DOING:
Our HVAC Dispatcher is the bridge between our customers and technicians, providing professional customer service and coordinating various logistics to deliver smooth, efficient, and high-quality support! Adaptability, collaboration, and attention to detail will be crucial as you:
Work from 8 AM - 5 PM OR 7 AM - 4 PM and participate in an after-hours/weekend dispatching rotation
Manage a high volume of incoming phone calls and speak with customers
Schedule appointments for electrical, maintenance, installation, repair, and emergency/after-hours service
Maintain accurate records in the WEX system
Strategically dispatch technicians to jobs based on availability, location, urgency, and skill set
Coordinate with managers, techs, and warehouse teams to support efficiency
Maintain open communication between techs and customers and provide timely job updates
Resolve scheduling conflicts and address problems as they arise
HVAC DISPATCHER QUALIFICATIONS:
Experience in a dispatch, call center, or relevant customer service role
Strong computer skills with the ability to quickly learn dispatch and WEX software
Professional verbal and written communication skills
Strong organizational skills
Ability to multitask, manage time effectively, and stay calm under pressure
Dependable work ethic and punctual attendance
High school degree or equivalent
Preferred:
Dispatch experience in a trade industry
Emergency/after-hours dispatching experience
Familiarity with scheduling software
General electrical/HVAC knowledge

The Scheduling Dispatcher will be responsible for the operational and administrative support functions. The Scheduling Dispatcher takes calls from clients and determines the necessary service logistics, communicates, and manages associated workflows, schedules Agents, tracks and reports assignment/project outcomes, and assists internal and external stakeholders in the successful delivery and execution of security-related services
Responsibilities

Ensure deadlines are met for scheduling, dispatching, and audits.
Track and report outcomes of schedules and other metrics assigned.
Process and prioritize emergency and non-emergency requests for assistance and respond accordingly.
Operate a variety of communications equipment including radio consoles, telephones, and computer systems.
Comprehend and execute new operational technologies placed within the workspace.
Enter, update, and retrieve information from multiple computer systems.
Process and maintain a wide variety of files, logs, reports, and forms (soft and hard copy).
Draft incident reports based upon events.
Maintain in-depth knowledge of and adhere to the emergency procedures, dispatching procedures, and executive response procedures.
Perform metrics tracking, data entry, and electronic reporting.
Support all department and Company goals and objectives.
Maintain the highest level of professional appearance and demeanor.
All other duties, as assigned.
Qualifications
High School Diploma or GED with relevant experience in customer service and/or security related experience.
Sound judgment and decision-making ability.

Effective written and verbal skills at all levels within the organization and external client representatives.
