Key Responsibilities: Administrative Support: Provide high-level administrative support to the CEO, including calendar management, travel arrangements, and meeting coordination. Act as a liaison between the CEO and staff, ensuring effective communication across all levels. Read, understand, and ensure compliance with company policies, procedures, and state regulation Software & Systems Management: Proficient use of Microsoft Word, Excel, PowerPoint, and SharePoint for document preparation, data management, collaboration, and internal communication. Use Relias or other Learning Management Systems (LMS) to manage employee training, certifications, and compliance tracking. Manage and maintain content for the company's YouTube channel, including uploading videos, optimizing metadata, and tracking performance. Work with Electronic Record Systems to maintain and update confidential employee and financial records. Accounting & Financial Support: Assist with accounts payable functions, including invoice processing and vendor communications. Handle bank deposits and reconciliations, ensuring accuracy in financial transactions. Support the accounting team with basic QuickBooks Online tasks, including invoicing, expense tracking, and generating financial reports. Human Resources Support: Assist with onboarding and offboarding processes, including preparing new hire documentation and conducting exit interviews. Maintain employee files, ensuring compliance with company policies and legal requirements. Support employee resolution by assisting in the administration of employee issues and benefits. Manage and track employee benefits, such as health insurance and retirement plans. Familiarity with HR software to assist with personnel data management and compliance. Marketing Support: Assist in executing marketing strategies and initiatives that align with the company's goals and objectives. Work with leadership to develop content for digital marketing platforms and social media. Conduct market research and analyze competitor activity to support business growth. Utilize knowledge of branding, advertising, and digital marketing best practices to help maintain the company's public image. Business Support: Apply a solid understanding of business principles to assist in operational processes, decision-making, and resource management. Support the development of business strategies and goals, ensuring alignment with organizational objectives. Provide insight and recommendations on areas for operational improvement and efficiency. Qualifications: Proven experience in an executive assistant role or similar position. Strong proficiency with Microsoft Office Suite (Word, Excel, PowerPoint), SharePoint, and Relias or other Learning Management Systems. Familiarity with Electronic Record Systems for maintaining confidential files. In-depth knowledge of accounting principles (accounts payable, bank deposits, and reconciliation). Experience with QuickBooks Online is essential. Knowledge of human resources practices, including onboarding, offboarding, employee benefits, and compliance. Solid understanding of marketing principles, including content creation, digital marketing, social media, and market research. Familiarity with basic business principles, such as strategy development, operations, and resource management. Ability to read, understand, and apply company policies, state regulations, and other compliance-related materials. Strong attention to detail, deadline orientation, and ability to meet business deadlines effectively. Exceptional organizational skills with the ability to manage multiple projects, deadlines, and priorities.
