Job Responsibilities:
Responds to incoming leads through AutoNation and third-party websites, by phone, internet and walk-in traffic
Utilizes all available resources to identify and engage private parties looking to sell their vehicle
Set up appointments with potential customers to visit the dealership for an appraisal
Executes the AutoNation We'll Buy Your Car Same-Day Payment process

Job Description

The Business Solution Specialist II is an administrative role responsible for managing communication and transaction support between Manheim, commercial clients, and buyers. This role ensures accurate gate pass verification, timely client assistance, and adherence to company policies. Key duties include maintaining Smartsheet tracking, updating vehicle notes, generating buyer gate releases, and managing shared communication channels. The position requires strong problem-solving skills, collaboration with internal teams, and consistent achievement of KPIs while following established SOPs. Additional responsibilities include handling PSI resolutions, supporting title-related workflows, and performing related tasks as assigned by leadership.
Efficiently manage communication between Manheim and Commercial clients and their buyers by utilizing various tools and platforms to cross-reference, research and report on gate pass information.
Foster effective and regular communication with internal and external clients such as employees at Manheim physical sites, clients and security teams and promptly escalate any concerns to management for thorough review.
Respond efficiently to client inquiries related to transactions while providing quality service and effective problem resolution in accordance with all company policies and procedures.
Maintain basic Smartsheet spreadsheets for tracking verification and communication workflows for Gate Passes and other client assistance.
Efficiently manage vehicle notes by reviewing, entering, and updating them in the system, while also monitoring shared email boxes and Teams channels to promptly research and respond to requests.

Perform various clerical and administrative duties relating to vehicle recon fulfillment.
Receive in bound vehicle and registration information from customers requesting reconditioning services for their units.
Perform data entry and verify customer vehicle information is accurately recorded in the system and that vehicles are properly tagged with a work order.
Evaluate reconditioning needs and provide timely and accurate quotes.
Perform walk around of the units and evaluate cosmetic reconditioning needed.
Estimate cost for cosmetic repairs and discuss with customer to gain approval. Record the outcome in the appropriate tools.
Coordinate with the reconditioning shop areas for vehicle repairs and post charges to appropriate account in a timely manner.
Create and maintain charges associated with reconditioning fees related to these accounts.
Perform a check for recalls on all units and note the results in the appropriate tool.
Work with P&P and Accounting staff to ensure payment for billings or accounts receivable are received timely and posted as well as contact customers for reconciliation of discrepancies, when required.
Build deep service relationships with customers.
Manage customer's expectations of recon fulfillment activities through proactive communications.
Respond to customer inquiries relating to assigned customer vehicles, provide quality service, and assist in resolving problems.
Be knowledgeable of customer account agreements, vehicle files, verification of title information, records of the completion of reconditioning work, and other required information.
Enter all pertinent information into AS400 and other tools for approved work requested by customer.
Utilize the AS400/VCF systems to monitor and track vehicle repairs.
Communicate and schedule repairs/enhancements with Recon Shop management.
Monitor vehicle through reconditioning fulfillment process to ensure timeline commitment is met.
Review completed work ensuring customer quality standards are achieved and/or exceeded.
Soft sell additional services to dealers upon delivery of existing work.
Follow up with customer to confirm completion and satisfaction.
Work with finance/local management to ensure customers are charged and A/R is timely collected.

The Used Car Buyer will have a primary responsibility of executing a process which involves prospecting, appraising, and presenting offers to current vehicle owners with the goal of purchasing their vehicles from multiple sources for resale.

* Responsible for continuous improvement efforts relating to the safety and efficient movement of vehicles in and out of their assigned zone area.
* Move vehicles and stage them in a safe arrangement to their proper work destinations to eliminate multiple drop-off points and less than full loads.
* Confirm that all vehicles can operate safely and engage service and tow teams when inoperable vehicles are found.
* Label vehicles with the sale and routing labels to maintain accurate movements and eliminate the need for crew leaders to print and label staged units before transport.
* Communicate with crew leaders and managers regarding the status of inventory levels within the defined move area and make the decision of what is a priority.
