  • Mauna Kea Resort Catering & Conference Services Manager

    Primary Responsibilities: Meet with clients to determine details and write proposals for the functions or events booked at the resort. Insure pricing structure is in line with cost effectiveness and meet the client or group’s needs. Timely response to inquires from clients or potential clients; upsell services and food and beverage. Insure group or function charges are properly billed. Complete all required forms and distribute to the appropriate departments. Attend function meetings. Oversee set-up and function to assure client satisfaction.Essential Duties: Meet with clients; finalize the bookings; write proposals and contracts; upsell to maximize revenue. Oversee banquet functions to ensure set-up, entertainment, and food preparation is according to resort standards, client’s satisfaction and negotiated arrangements. Assist in developing new and creative ideas for theme parties; décor, menu and entertainment. Approve and monitor function space booking during peak times; maximize all available function space. Assist in preparing a marketing plan to solicit annual accounts and secure business in the local market. Current on trends in food and beverage; understand operational department abilities. Respond to inquires and develop them into definite bookings. Interface with other department managers to maintain open communications Insure billing details and/or master accounts are settled to the satisfaction of the guest and the hotel Review financial aspects of all proposals and contracts to insure profitability for the resort. May entertain clients to sell or secure business; do tours of the facilities. Attend function meetings to insure effective communication with other departments to meet or exceed a clients needs. Respond immediately to client’s concerns, and all other written or verbal inquires. Knowledgeable in local liquor laws and county ordinances to assure compliance by the resort. Assist other manager’s in the department as needed.Perform other related duties as assigned or required. Other Duties: Requisition office supplies. Keep office and work area neat and tidy. Working Conditions: Normal office conditions Indoor and outdoor function space in various weather conditions. Travel between hotels on the resort. Work Hours: Must be able to work schedule set by manager. Must be able to work long and irregular hours. Must be able to work in excess of 40 hours per week. Equipment Use: Proficient in the use of the computer and with the resort’s word, spreadsheet and catering software. Ability to use various office equipment including but not limited to calculators, photocopiers and facsimile machines. Ability to use a telephone. Mental and Physical Demands: Ability to prioritize and organize workload to ensure deadlines is met. Able to manage stressful and challenging situations. Sits at a desk to perform most of the essential functions of the position. Must be able to stand and walk the property to oversee functions throughout the resort, meet with clients and give tours. Communication Demands: Must be able to effectively communicate in person, over the phone or in writing, with guests, employees and vendors. Ability to do presentations to small groups. Ability to negotiate contracts. Minimum Qualification Requirements: 3 years related work experience.
