JOB PURPOSE Within PHINIA Aftermarket, warehouse operation services are generally outsourced to third parties and are managed via contractual agreements. There is a requirement for selecting providers, monitoring service provider performance, and addressing operational issues. The role is focused on contracts & processes with 3rd party providers offering services, principally based in Plainfield, IN for warehousing, inbound & outbound freight, packaging and associated services. The Warehouse Manager will be responsible for the budgeting and control of spend and reports to the North American Aftermarket Warehouse & Distribution Manager. KEY RESPONSIBILITIES Setting up a new provider In conjunction with logistics purchasing, manage the selection process of new services or changes to incumbent providers as required including full documentation of required activity and service levels. Develop and present business cases including recommended options to senior management and facilitate the final contractual agreements. Operational reviews & issues Facilitate and manage resolution of any operational issues directly between the operational teams at the provider and PHINIA; escalate to the NA Warehouse & Distribution Manager as required. Performance monitoring & improvement (in conjunction with NA W&D Manager) Update operational measures for daily review and publish contractual KPIs (as defined in the contract) on at least a monthly basis. Review these KPIs to ensure contractual standards are being met and support any additional measures generated internally to track performance. Ensure provider addresses any concerns raised by PHINIA's internal stakeholders and customers in a timely fashion, including root cause analysis and implementation of permanent corrective action. Work with the providers to identify & support implementation of process improvements with the objective of enhancing service & cost performance. Properly analyze and document the financial impacts & build into contract as appropriate. Cost improvement Support the NA AFM cost improvement program. Identify potential cost improvements across all areas of logistics spend (warehouse, freight, IT systems, inventory & packaging). Work with all stakeholders to evaluate and implement the identified improvements. Change Management For any changes in provider or change in the scope of a provider's services, support & present business cases & impact analysis. Work with the provider to ensure any changes are made on time, in budget & with minimal operational disruption. Provide project management support if needed. Conduct follows up reviews to ensure changes are delivered in line with agreed expectations. Inventory Control For warehouse providers holding PHINIA inventory, manage the execution of PHINIA Aftermarket's inventory cycle count process. Agree count plans with the provider, monitor progress, conduct reconciliations, and facilitate regular reports on count results and status. Review and approve all inventory adjustments in line with inventory policy & procedures. Perform root cause analysis and appropriate sign off for adjustments above defined thresholds. If an annual physical inventory is required, execute this with the provider in line with the PHINIA inventory policy. Process Audits Create and execute an annual plan to validate and audit service provider procedures, retaining evidence and any action plans that arise from each audit. Facilitate and support the execution of additional internal or external audits as required Invoice validation Validate all invoices to ensure each chargeable element in the contract is separately identified, review items on each invoice for occurrence and correct rates, and work with the finance team to prepare data and reports on cost performance of providers. Cross Functional Support The Warehouse Manager will play a key role in supporting the team's Business Analyst and Senior Logistics & Operations Specialist. Serve as a backup for these roles and actively contribute to daily operational planning. Responsibilities include coordinating inbound and outbound transportation activities, ensuring smooth execution of logistics processes, and maintaining continuity in critical functions when primary team members are unavailable. As the Warehouse Manager, you will play a critical role in supporting TSS Operations by ensuring the accurate, timely, and efficient flow of materials, tools, equipment, and vehicles to field service technicians who perform lifesaving and life-changing work.
