Job Title: Temp, Receptionist A little bit about our team: You will be a part of the Nashville based Workplace Experience team designed to imagine, create, and maintain innovative workplace facilities to accommodate the needs of our ever changing business. We host a variety of physical and virtual events, both live and recorded, including artist performances, interviews, panel discussions, executive addresses, and company conferences. Your role: The receptionist is the first point of contact for visitors and callers to the organization. They provide administrative support across the organization and ensure efficient handling of all front desk duties. Here you'll get to: Greeting Visitors: Welcome visitors in a professional and courteous manner, directing them to the appropriate person or department. Answering Calls: Manage incoming calls, routing them to the appropriate individuals or taking messages as needed. A little bit about our team: Distribution Operations is responsible for all physical supply chain processes across the entirety of product lines under WMX Distribution. The department's core focus is to work cohesively with all WMG divisions and departments globally, as well as outside vendors, carriers, and label partners, to ensure that the highest quality of products are distributed to customers in a timely manner. Key functions shared by the Distribution Operations team include inventory management, manufacturing, order fulfillment, compliance, and logistics. Your role: The D2C (Direct to Consumer) Inventory Manager is the supply chain liaison between Merch Production and label personnel for all WEA distributed labels. You are at the forefront of product market integration, responsible for coordinating with internal and external teams to ensure our newest releases are readily available on street date. In addition, you are responsible for assisting the department Director with product identification for non-compliant inbound goods to ensure New Release “Merch” products are identified and received within WMX Requirements. This role holds the critical link between physical goods and Ecommerce platforms. Here you'll get to: Manage finished goods inventories for D2C New Release Merch products by assigning and monitoring Purchase Orders and analyzing Sales vs. Inventory Reports. Manage dropship invoicing of all retail (merch) accounts that are shipped direct-from-print vendors and ensure Internal Audit and SOX requirements are met Collaborate with the Compliance Director on specialty retail customer requirements. Check all preorders twice weekly (in Cart.com system) to confirm proper set up, stock availability and order drops. Work with the EComm team to correct any issues and bump release dates as necessary. Verify audio product street dates and releases are aligned with retail dates. Request Inventory Cycle Counts for audit and research purposes. The ideal candidate is a highly organized, service-oriented multi-tasker who will also assist the administration team with varied tasks, including fundamental song setup in our publishing systems. Here you'll get to: Assist Designated Members of the A&R Team. Assist with Onboarding Songwriters and maintaining their marketing materials & bios. Coordinate events for staff and writers under direction from the Events/Camps Team. Coordinate travel & bus trips for writers. Book Travel & T&E Reports for A&R reps & various accounts. Coordinate one or more yearly Teams w/A&R (Events/Camps, Bus, Retreat) - this would include handling budget/billbacks depending on which team you are on for that year. Assist with confirming and scheduling internal writer rooms and external writing sessions. Confirm all co-writes for designated A&R Reps' rosters and ensure that all necessary details are placed recorded correctly in writer calendars. Assist with booking studios for visiting WC writers . Communicate with reception and security team about all visiting writers and guests. Assist with writer camps, including coordinating sessions and studios. Attend songwriter/artist shows in the community, both to identify potential talent to discuss with the A&R team, and to support WCM's signed songwriters and artists. Assisting A&R with Catalog organization and creating playlists. Be present for all company-sponsored events to work as directed (which may include partner company events). Generates writer and catalog song listings. As needed, assist with office aesthetics/furnishings. Assist with applications, selection, calendar, and booking for Songwriting Intern. Coordinating weekly and monthly with other A&R Coordinators during office hours to always physically have someone in the building. Design and/or coordinate design for eblasts/plaques/banners/social posts/ads and order plaques for #1 parties, banners for #1 songs, and/or notable writer moments. Distribute writer plaques at parties/events and organize #1 banners to distribute to writers. Track Mediabase and Billboard charts for WC controlled #1 songs. Facilitate and act as the point person for Warner Chappell Nashville social media platforms (IG, FB, Twitter, etc) and post highlights on a day-to-day basis. Maintain #1 song budget budget versus actual (plaques, special gifts, #1 parties, banners, design costs, Aircheck ads, MusicRow ads, etc.). Lead delivery of e-blasts for #1 songs and notable writer events/moments. Performs a number of varied A&R-related tasks in conjunction with the administration team (approximately one day weekly), which include: setting up sch A and new songs in our publishing system (Tango), securing and uploading audio files for internal creative systems (Arrow and GLS), gathering and documenting information related to weekly new releases, entering PA form information from the US Copyright office into Tango and other miscellaneous projects. About you: Minimum of two (2) years of responsible administrative experience preferably in a music publishing or related business. The U.S. Legal Shared Services organization (or “LSS”) consists of three departments: Audit, Legal, and Publishing. Employees of the Center of Excellence provide services to all of WMG's U.S. record labels, Warner Chappell Music Publishing, WEA Corp. and Alternative Distribution Alliance (WMG's distribution companies), and WMG's other U.S. business units. The Audit Department is responsible for handling all incoming audits arising from the artist recording agreements, joint venture and participation agreements, publishing license agreements, and union collective bargaining agreements to which WMG's U.S. record labels are a party. Members of the Department work closely with employees in the Business Affairs, Finance, Production, Operations, New Media, and Marketing departments of each label client to fulfill the above-referenced responsibilities for the recordings and record those labels release. Your role: This position will run all aspects of the audit process, including, without limitation, tracking audit notifications, reviewing and analyzing the claims contained in the audit reports we receive, making recommendations to the relevant WMG internal label clients regarding how to respond to those claims, facilitating settlement negotiations between the party auditing and WMG's internal label clients, and ensuring that any internal accounting entries related to the audit process are made accurately and promptly. This role holds the critical link between physical goods and Ecommerce platforms. **Here you'll get** **to:** + Manage finished goods inventories for D2C New Release Merch products by assigning and monitoring Purchase Orders and analyzing Sales vs. Inventory Reports. + Manage dropship invoicing of all retail (merch) accounts that are shipped direct-from-print vendors and ensure Internal Audit and SOX requirements are met + Collaborate with the Compliance Director on specialty retail customer requirements. + Check all preorders twice weekly (in Cart.com system) to confirm proper set up, stock availability and order drops.
