Role Description:
Refinance Processors - Utah are responsible for coordinating refinance closings, ensuring smooth and successful transactions. This role requires excellent communication skills to work with lenders, borrowers, and other stakeholders while managing a pipeline of refinance transactions. The processor ensures compliance with all relevant regulations and internal policies.
Note: Candidates must hold an active Utah Resident Title Producer License.
Duties and responsibilities
Respond to customer and client inquiries received via phone, fax or emails in a timely fashion in a professional, courteous, pleasant and personable manner.
Review title for any outstanding deeds of trusts, judgments, and liens.
Obtain payoff information for all liens, confirm taxes owed, and run bankruptcy & Patriot Act searches on all current owners and borrowers. Order any surveys needed.
Prepare deeds, affidavits, estate documents, trust documents, and other state-specific documents as needed.
Schedule closings with borrowers; if out-of-area, locate and assign a notary using SnapDocs.
Confirm file balance and wire amounts; ensure invoices match checks before post-closing.
Prepare closing packages for customer signature (print or upload to notary).
Assist post-closing with recording and disbursement tasks.
Resolve short or rejected files by recovering owed funds and correcting issues.
Maintain strong relationships with agents, internal teams, management, and clients to support business growth.
Requirements:
Qualifications
High school diploma or equivalent required, additional education or training in real estate, finance, or a related field preferred.
Previous experience in real estate, title & escrow, or mortgage lending preferred.
Active Utah Resident Title Producer License required.
Strong attention to detail and organizational skills.
Excellent communication and interpersonal abilities.
Ability to multitask and prioritize tasks in a fast-paced environment.
Proficiency with relevant software and technology.
Knowledge of real estate laws and regulations, particularly related to refinance transactions.

What You'll Do:
Handle delicate and potentially high-value collectibles with the utmost care and attention.
Create package numbers for, scan, and sticker all incoming packages and keep all packages in order.
Organize receiving shelf and submissions based on shipping dates, shows, and priorities.
Open, separate, count, and check items in each submission.
Verify service type with payment and verify its eligibility.
Identify and classify items correctly.
Enter items into the grading system.
Create excel spreadsheets for all take-home and show submissions.
Work with the Sales Department for orders that have special deals and/or pricing.
Maintain color sticker inventory.
Research signers and cards by means of trade magazines, books, and the internet in order to enter item information accurately.
Keep the leadership team aware of all receiving system errors and/or issues and provide feedback regarding procedures and new program deployments.
Contact customers via email, mail and phone to quickly resolve problem orders .
Support the rest of the processing, sealing, authentication, sales, shipping teams, and Ops Manager with other duties and projects as assigned.
Some travel to national events may be required.
Who You Are:

Responsibilities:
Follow all safety regulations and report any unsafe conditions to Supervisor. Maintain assigned work area and equipment such as tape and label dispensers, scissors, “X-Acto”-type knives, rolling shear cutters, adhesive removers, measuring tools, data entry terminals, and scanning devices in a clean, orderly, and safe condition. Replace as needed.
Pull incoming totes of books down from top line. Accurately enter orders into tracking system, noting any special instructions indicated with orders. Review orders for processing specifications. Refer to proper instructions for clarification of procedures and quality standards or request information from appropriate supervisors. Inspect product for dirt, damage, or other defects. Clean, repair, or replace product as necessary. Correctly match and label product according to instructions and processing procedures. Reinforce product using protective covering as directed. Rework or repair product returned by Quality Assurance or the customer or as directed by management in an orderly and prompt manner. Place and record defective product in rejection area.
Move totes to holding line as needed to wait for replacement books or supplies. Complete proper documentation for orders not completed. Complete orders left unfinished by other personnel.

Required Skills:
* Excellent hand-eye coordination skills
* Ability to read, recognize, & follow applicable numbers/directives (verbal/written), including safety rules, operating instructions, racking locations, & procedural documents
* Able to follow policies & procedures that are written/verbally provided.
* Understand basic math skills to ensure inventory & order processing accuracy (Count, add, subtract, etc. numbers)
* Ability to perform duties independently, & as part of a team, with minimal supervision or guidance
* Frequent bending, lifting, walking, pushing, pulling of freight, standing for long periods of time & sometimes working in extreme temperatures
* Lift & stack cartons onto pallets and conveyors using proper lifting & operating procedures
* Safely utilize manually operated equipment (i.e. pallet jack, rolling conveyor, pick cart, totes, hand truck) to transport cartons or other items by means of pushing, pulling, lifting, or carrying
Experience:
* 1+ years of warehouse, distribution, logistics, or fulfillment experience helpful but not required
Preferred Qualifications:
* Experience working within an automated conveyor-based operation
* Experience with computer/barcode driven inventory management systems
* Prior knowledge of WMS functions
* Skilled using a RF scanner

Attaches spine labels to book or compact discs
Sorts cards and labels
Attaches Mylar/ Kapco covers to jackets
Performs Stamping, Theft ID
Performs Auditing
Essential Physical Demands:
Ability to walk and stand during the assigned shift as needed
Ability to lift in full range of motion up to 60lbs during the assigned shift - 10lbs or less continuously and 11-60lbs occasionally
Ability to push/pull in a warehouse environment up to 70lbs force to push occasionally
Ability to grip/grasp continuously during the assigned shift
Ability to bend, squat/kneel, twist/turn, climb, crawl, reach above shoulder, and type/keyboard frequently during the assigned shift
Ability to work designated shift including overtime as required, which could include time before or after the designated shift and/or weekends
Exposure to wide range of temperatures
