Overview Willow Valley Communities is hiring a Part Time Concierge (front desk) Team Member to be the first point of contact for Residents, vendors and the guests of Willow Valley Communities. Responsible for acknowledging emergency phone calls and/or alarms in the Simplex system and for dispatching the appropriate Team Members to respond to emergencies. Facilitates communication between Team Members during such emergencies through the conclusion of event. Facilitates communication with the Manager on Duty and Maintenance Team Member on Call Team Leaders and various department Team Members as necessary. Responsible to follow guest room check in/out procedures and to create guest room reservations upon request. Responsible to read and familiarize self with transportation schedules, make transportation reservations and facilitate communication for WVC transportation service. Responsible to submit maintenance requests for WVC property and Residents. Responsible to submit IT service for WVC computers and phones. A working knowledge of Microsoft Office software and the ability to learn software, databases and web applications is required. Responsible to receive, sort and route USPS mail, in house mail, packages and floral deliveries. Responsible to have a working knowledge of and operate the copier and fax machines and ensure machines are equipped with supplies. Responsible to ensure the safe is locked and secured. Takes payments for services and reconcile daily cash box receipts. General typing is required. Responsible to type memos, letters, schedules, correspondence, reports and other documents as requested. Responsible to know procedures for daily functions of the Concierge Desk. Performs clerical tasks such as copying, fax/scanning and collating. Maintains daily documentation of all training activities and submits completed training paperwork at the end of the training or probationary period. * Conducts random housekeeping audits twice per month for each staff member to ensure quality standards are consistently met. * Addresses resident, guest, and staff suggestions or concerns, ensuring timely follow-through until each matter is resolved or implemented.
