FUNCTION:
The Executive Assistant (EA) provides high-level administrative and operational support to the Chief of Staff, the broader C-suite, and other senior leaders ensuring seamless communication, operational efficiency, and proactive support across the executive leadership team. ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:
Administrative Support:
Manage and prioritize calendars for the CEO, Chief of Staff, and other C-suite executives, including scheduling meetings and resolving conflicts.
Draft, proofread, and edit emails, reports, presentations, and other communications on behalf of executive leadership.
Coordinate domestic travel arrangements, including flights, accommodations, and itineraries for the executive team.
Monitor and organize executive email inboxes, draft responses, and ensure timely follow-up.
Prepare briefing materials and meeting documents for executive engagements.
Reconcile and submit expense reports for the CEO, Chief of Staff, and other C-suite members.
Support cross-functional communication and alignment between executive leadership and internal stakeholders.
Contribute to department and organizational initiatives as needed, demonstrating flexibility and a solutions-oriented mindset.
Board Liaison Support
Assist in coordinating logistics for Board and Committee meetings, including scheduling, agenda preparation, and meeting space arrangements.
Support the development and distribution of Board materials, including presentations and reports.
Serve as a point of contact for Board members regarding scheduling and communications.
Liaise with external consultants supporting Board development and effectiveness.
Maintain a high level of professionalism and confidentiality in all interactions with Board members and external stakeholders.
Meeting and Event Coordination and Support
Plan and coordinate small-scale meetings and events, such as board meetings, meetings with consultants/vendors, and team gatherings.
Manage virtual and in-person meeting logistics, including scheduling, developing agendas, capturing meeting minutes, tracking attendance, reserving meeting spaces, A/V setup, catering, and guest access.
Document detailed meeting minutes for substance and dissemination, accurately capturing decisions and actions.
Coordinate with vendors, suppliers, and other stakeholders to ensure successful event execution.
Office Management
Oversee office supplies and equipment, ensuring a well-stocked and functional workspace.
Maintain filing systems (digital and physical) for executive documents, contracts, and confidential materials.
Assist with onboarding new employees and maintaining office policies and procedures.
Serve as a point of contact for internal and external visitors to the executive suite, ensuring a welcoming and secure experience.
Support other administrative tasks as needed to ensure the smooth operation of the office.
Qualifications:
Proven experience as an Executive Assistant, Administrative Assistant, or similar role.
Demonstrated experience coordinating high-level meetings and events, both virtual and in-person.
Excellent organizational and time-management skills.
Strong written and verbal communication skills.
Proficiency in Microsoft Office Suite (Teams, Word, Excel, PowerPoint, Outlook).
Ability to handle sensitive information with discretion and confidentiality.
Capacity to work independently, anticipate needs, and solve problems proactively.

FUNCTION:
The Commercial Banking Assistant supports the Manager, Commercial Banking Operations in various administrative and operational tasks to ensure the smooth functioning of the commercial lending department. ESSENTIAL DUTIES AND RESONSIBILITIES:

Administrative Support
Assist in preparing loan closing documentation using Laser Pro for small business loan closings.
Gather new account documents for opening business accounts and coordinate with lenders and the Commercial Banking Manager.
Review entity documentation to understand business structure and authorized signers.
Perform pre-closing quality review to ensure documents match internal approval and commitment letters.
Coordinate pre- and post-closing follow-up items with closing attorneys, borrowers, lenders, and internal counsel to ensure completeness.
Oversee the department's wire transfer procedures.
Loan Closing Support
Perform preliminary loan closing requirements such as ordering appraisals, environmental reports, credit reports, flood certifications, UCC searches, secretary of state reports, Lexis Nexis, or other reports.
Assist department head with tracking annual reviews, financial statements, policy exception reporting, risk rating changes, past due payments, etc.
Prepare loan closing packaging to include clearing of exceptions and maintenance of files.
Provide administrative support to the lending team for all new Loan Closings.
Reporting and Data Management
Maintain multiple tracking processes and reports such as ticklers, annual reviews, and commercial lending pipeline.
Assist in department reporting including Tableau, Sageworks Business Intelligence, and core Finastra reports.
Monitor insurance for Commercial Borrowers and request forced placed insurance when necessary.
Participate in proactive team efforts to achieve departmental and company goals.
Administrate, monitor, and report progress in the sales pipeline.
Create and maintain accurate credit files.
Relationship Management
Provide guidance for procedures related to Commercial Lending.
Develop and manage relationships with key internal and external stakeholders to ensure operational success.
Other Duties:
May be asked to provide coverage in other WCU branches or departments.

Vendor and Audit Management
Perform annual vendor due diligence for Commercial vendors and document and review via Wolfpac or other risk software.
Maintain appropriate documentation of Commercial Vendors.
Provide information and documentation for audit reviews by gathering, analyzing, and summarizing data as needed.
Attend external audit meetings with outside auditors, loan review consultants, FHLB, and examiners as requested by the Commercial Lending Manager.
Education:
High School Diploma or Equivalent Required.
Experience:
Minimum of 5 years of experience in Banking or Financial Services.
Additional Qualifications for Senior Commercial Lending Assistant:
Minimum of 2 years of experience in a Commercial Lending Assistant, or equivalent role, at a Financial Institution.

ESSENTIAL JOB FUNCTIONS
Facilitates personal and business account opening and assists members with support and maintenance on existing account relationships, with a focus on delivering exceptional member service.

Oversees all aspects of branch operations to ensure positive, consistent, and welcoming member experience. This includes responsibility for overall branch facility maintenance, cleanliness and upholding of IC's brand standards.
Performs all duties in accordance with prescribed regulatory compliance guidelines and Credit Union policies and procedures. Uses established protocols and controls to ensure security and privacy is always maintained.
Supports the advancement and development of branch team members by coaching, reviewing, and providing on the job training. Takes ownership of individual professional development by participating in internal/external trainings and leadership programs.
Serves as an enthusiastic champion of all things brand and corporate culture. Models and supports the delivery of IC's Mission, Vision, and Core Values, with a focus on team member engagement and member experience.
