Overview:
The Senior Executive Assistant will serve as the direct administrative assistant to the Dean of the School of Music, aiding the Dean in the performance of all functions. These functions include communicating with all levels of personnel, faculty, and students; planning and organizing meetings attended or convened by the Dean's Office; maintaining the Dean's Office calendar of activities; and arranging for the most efficient use of the Dean's time, including making travel arrangements.
Responsibilities:
1. Maintains and updates the Dean's calendar of activities and travel itineraries.
2. Develops and maintains file systems to ensure proper handling, storage and access to information in the Dean's Office, including methods for maintaining and distributing confidential and restricted information.
3. Assists the Dean's office in the end-to-end process of planning, execution and distribution of School Prizes and Awards for students and external recipients, which includes the process of submissions and gathering information needed for payments.
4. Assists the Office of the Dean in the search process for new faculty hires. This includes assisting the Project Administrator managing Interfolio system from beginning to end and overseeing the recruiting to promotion process while following guidelines set by the Office of Faculty Affairs Services (OFAS).
5. Assists the Dean's Office in all functions related to faculty administration, including, but not limited to, preparing faculty compensation forms, collecting necessary documentation, completing required forms and documents to be submitted to both Provosts' office and OFAS, and entering extra compensation amounts into Workday as applicable
6. Assists in annual process of updating faculty salaries, with a focus on completing forms submitted to faculty administrative services and corresponding data entry into Workday, including updated salary information, and strong attention to detail for accuracy
7. Assists the Office of the Dean in the invitation and processes surrounding guest artists, performers, and lecturers, including forms, documentation, and communications. The Executive Assistant will be the primary resource for questions and information. Plans and executes both domestic and international travel of visiting faculty or guests. Oversees and plans all elements of travel for guests, including hotels, flights and ground transportation. Communicates plans and sends itineraries. Track all expenses. Distributes information to visitors regarding payment options, reviews forms for business office regarding payments, answers questions, and sends instructions as needed.
8. Coordinates and assists with international travel for visiting guests and new faculty hires, including the procurement of travel documents, visas, and other necessary paperwork. Coordinates information input into the OISS system, and assists in review of required documents. Acts as a partner with OISS to ascertain what documents are required in a timely manner.
9. Records and maintains all expenses on behalf of the Office of the Dean, including meticulous record-keeping and entry into Workday.
10. Coordinates large-scale event planning, including Convocation, Commencement, Honors Banquet, faculty and staff meetings and functions.
11. Performs other related duties as assigned by the Dean in support of the Dean, Director of Special Projects, and the School of Music.

Overview
Reporting to the Senior Associate Dean for Academic Affairs, the Associate Dean for Spiritual Formation oversees all YDS initiatives related to student spiritual formation including denominational programs, worship, and programming intended to develop students' faith and self-growth. The associate dean oversees curricular internship programs and community volunteer opportunities for students as part of their development. The student portfolio and review process is managed by the associate dean as a way of tracking and monitoring student growth. The associate dean partners with the registrar and degree program directors on data collection including job placement statistics and on the degree assessment program. The associate dean works closely with the MDIV Integrative Seminars and the Integrative Seminar faculty. The associate dean stewards resources in support of spiritual formation including staffing, space, and budgets. The associate dean may be asked to assume additional responsibilities based on circumstances and needs.
Denomination Programs
Recruit and supervise the directors of Black Church Studies, Lay Catholic Studies, Lutheran Studies, Methodist Studies, and Reformed Studies programs. Ensure that the appropriate courses are offered for the fulfillment of the denomination certificate programs. Support programming to foster formation within denominations. Collaborate with the formation directors from ANS and BDS to ensure alignment with spiritual formation program goals and to foster collaboration across denominations.
Worship
Supervise the heads of Marquand chapel and ensure spiritually meaningful and academically enriching worship services. Ensure that all worship spaces are programmed appropriately for student development. Foster collaboration among denomination leaders and chapel staff.
Internships
Hire and supervise the directors of the internship program. Ensure continued placement opportunities for our students and help to develop new partnerships. Support the creation of volunteer opportunities in the New Haven community for our students.
Evaluation and Assessment
Maintain the online portfolio process and supervise the student employees who manage the software. Meet with all students to review their individual progress on meeting their vocational goals. Connect the online portfolios to the work being done in the integrative seminars. Convene mid-degree consultations with all M.Div. students in their second year of study. Collect employment data on each graduating class. Collaborate with the registrar and degree program directors on the annual degree assessment process.
Outreach to New Haven Area Faith Communities
Nurture connections between YDS and the religious communities in the New Haven area, welcoming clergy and leaders to campus, and helping students connect with appropriate faith communities for their own needs and vocational hopes. Develop formalized programs to support religious congregations.

Yale University seeks a creative religious leader to serve as Associate University Chaplain, Co-Pastor of the University Church in Yale, and Director of Christian Life. Overview
The Associate Production Manager plays a key role as part of a dedicated and fast-paced production department, supporting all events and program production activity at the Center. Principal Responsibilities

The Grants Administrator is the primary source of expertise to ensure that proposals meet sponsor requirements, regulatory compliance requirements, University, School, Federal and State policies and regulations governing sponsored research, and that proposals are submitted correctly and according to appropriate deadlines.
2. Cultivate and maintain strong working partnerships and effective communications with faculty, Principal Investigators, sponsors, OSP, and other key stakeholders. Guide faculty and staff through changes in sponsor requirements.
3. Play a key role in the development and continuous improvement of the grants management process. Review and analyze client interactions, current processes and submission quality. Make recommendations for and participate in the implementation of changes as appropriate.
4. Provide direction, training and assistance to Principal Investigators and department staff in the development of proposals, including but not limited to budgeting, interpretation of sponsor terms and policies, and University policies and procedures. 6. Review terms and conditions on proposal solicitations and award documents. Collaborate with OSP to negotiate terms as necessary for interdisciplinary, complex and non-standard proposals and partner with OSP to facilitate agreements, including subcontracts, clinical trials and State agreements to ensure conformity with University policies. Approves and submits grant proposals in accordance with delegated authority.
7. Analyze and understand complex information from multiple sources including funding opportunity announcements, funding interest matches, and submission procedures in order to transmit proposals to OSP that result in a high first pass rate. Obtain and communicate information on sponsor electronic research processes and procedures.
8. Keep abreast of laws, regulations, external and internal policies and procedures governing the administration of grants and contracts. Ensure that key personnel are compliant with regulatory, University and other training mandates.
9. Partner with OSP in working with sponsors on matters of proposal submission.

Overview
The Portfolio & Grant Analyst will be responsible for the financial management, proposal development and stewardship of a portfolio of grants and contracts for the MD/PhD program, its students, and its faculty. The Analyst will also oversee the reconciliation of external fellowships, grants, and department accounts; prepare budgets and expenditure projections for program director, associate directors, and YSM financial operations review; and maintain and analyze data pertaining to proposal development and grant awards.
Reporting to the Associate Director for Program Administration, MD/PhD Program, the position is responsible for submitting annual progress reports and competitive renewals of the Medical Scientist Training Program T32 (NIH) and BioMed SURF Amgen program funding, as well approximately 25-30 fellowship applications for each of the 3 yearly NIH deadlines. Plan, organize and prioritize actions across multiple awards and investigators' portfolios. Ensure appropriate charging of expenses and integration of data. Advise and counsel principal investigators on financial issues and recommend alternative spending strategies, manage renewals, extensions and closeouts of grants, including final financial reporting to the sponsor.
Analyze and negotiate budgets, contracts, and terms and conditions of research proposals.
Work with the Director and Associate Director for Program Development and Assessment to collect data, organize materials and prepare annual non-competitive reports and competing renewals (which occur every 5 years) for T32 funding and other funding program applications. Interpret agency requirements for data collection and collaborate with relevant faculty and departments for information.

In 1971, Yale University established Yale Health to provide health services to its faculty, staff and students through a multidisciplinary health maintenance organization located on campus. Our state-of-the-art facility at 55 Lock Street, is where our members receive most of their care from our 150+ providers. Yale Student Health (SH) provides primary care to all 6000 undergraduate, and 7500 graduate/professional students and their spouses. We work closely with Mental Health and Counseling, consisting of over 30 clinicians, Acute Care, and the Infirmary and Hospital rounding teams. We also collaborate with our patient educator, SHARE (Sexual Harassment and Assault Response and Education), and a team of nutritionists. Advanced Practice Practitioners in the Department of Student Health are expected to provide patient-centered, culturally sensitive care using evidence-based medicine. Yale Young Global Scholars (YYGS, ******************************* is the premier summer academic enrichment and leadership development program of its kind for talented high school students from around the world, and is administered by the Office of International Affairs (OIA) at Yale. Enrolling approximately 2,000 high school students through a highly competitive application process, YYGS participants represent more than 150 countries and all 50+ U.S. states & territories. The program offers nine (9) sessions on Yale's campus in STEM, social science, and cross disciplinary fields. The program features inspiring Yale lectures, and over 150 dedicated undergraduate, graduate, and professional school student instructors leading small group discussions, teaching their own unique seminars, and supervising collaborative projects. Reporting to the YYGS Director, the Assistant Director of Administration is responsible for a range of core administrative functions of this program, including (but not limited to) overseeing all hiring processes (such as temporary/seasonal staff, application reviewers, student workers, and routine FTE needs), completing reviews of all domestic need-based financial aid requests from students and providing recommended packages and installment payment plans, timely and thorough processing of all expenses (such as marketing and CBO/NGO partner invoices, purchase orders, spend authorizations, and cash deposits), setting up faculty extra compensation arrangements as honorarium payments to Yale faculty who serve as YYGS Lecturers, processing FlyWire refunds as needed, planning for and managing large supply orders (e.g., YYGS swag, office needs), and completing monthly reconciliations to ensure accurate budgeting is maintained. * Serve as a trusted advisor and subject-matter expert for leadership, providing insights and recommendations on sourcing trends, risk mitigation, responsible purchasing, best-in-class approach, and supply chain resilience.
* Support the development of robust systems, processes, and reporting tools that strengthen transparency, decision support, and operational excellence across the hospitality portfolio.
* Represent Yale Hospitality in cross-campus committees, vendor meetings, and professional networks.
* Engage with Procurement counterparts at peer institutions for best practice sharing and collaborative purchasing opportunities.

Ethical, Sustainable & Responsible Sourcing
* Ensure the Yale Hospitality procurement program reinforces Yale's commitments to sustainability, social equity, fair labor practices, local partnerships, and alignment with ethical sourcing frameworks.
* Maintain familiarity with third-party accreditation, sustainable purchasing programs (e.g., AASHE STARS), and evolving industry standards.
* Guide internal and external stakeholders in understanding Yale's supply chain structure and responsible sourcing practices.
Required Qualifications
* Bachelor's degree in Supply Chain, Business Administration, Hospitality Management, or related field; master's degree preferred.
* 8-10+ years of progressive procurement, sourcing, or supply chain leadership experience, preferably within hospitality, higher education, large multi-unit dining, or similarly complex environments.
* Demonstrated success managing $10M+ in spend, with strong expertise in food and beverage procurement.
* Proven experience drafting, negotiating, and administering complex contracts; familiarity with legal, regulatory, and compliance frameworks.
* Strong analytical and financial skills, with fluency in forecasting, modeling, cost control, and data-driven decision-making.
* Exceptional communication, stakeholder management, and relationship-building skills with demonstrated success influencing in a matrixed environment.
* Leadership experience working with cross-functional teams and external partners.
* Familiarity with e-procurement platforms, ERP systems, and category management methodologies.

Autonomously analyzes and segments spend to determine priorities, savings opportunities and build a demand profile for sourcing. 11.
