    The Administrative Assistant (AA) will support the Chief Operating Officer (COO) and Operations team. This position could become an entry-level position for other Operations roles. Responsibilities include managing correspondence, which is often confidential, preparing documents and presentations, screening incoming phone calls and mail, and communicating on behalf of the COO. Acting as "gatekeeper", the Admin Assistant will handle more complicated special projects such as coordination of complex meeting schedules and travel arrangements. In keeping with these duties, Admin Assistants are required to develop an acute understanding of the Executives' work style and requirements to anticipate their needs and customize their support. With this understanding, they'll be able to decide which scheduled events, meetings, and requests are most appropriate for the allocation of the COO's time. The Admin Assistant is expected to accept the delegation of less consequent executive tasks, to perform those tasks with minimal disruption to the COO, to actively listen and resolve problems, and to anticipate and meet the challenges of a fast-paced environment. ESSENTIAL ADMINISTRATIVE ASSISTANT JOB FUNCTIONS * Assist the Executive team and other department leaders with day-to-day administrative tasks, projects, and planning administrative functions - calendar management, travel arrangements, and expense reports. * Follow-up on all incoming communications * Screen and process phone calls, emails, and mail as directed * Review, track, and code invoices and budgets for the department, including estimating accruals and preparing budget reports. * Audits cost center budgets, ensuring proper account assignment and processing * Arrange meetings and manage department functional meetings, outings, celebration events, etc. * Consolidate, edit, and distribute various department correspondence, reports, and presentations. * Act as a trusted partner to the Executive team and other department leaders. * Input C-Suite-level Expense Reports * Assist in processing and sending out gift card orders * Assist in RSC initiatives, planning, and meetings * Assist Executive Admin Assistant in day-to-day responsibilities and needs ESSENTIAL OPERATIONS SUPPORT JOB FUNCTIONS * Work with the YUM! Staples representative in managing Restaurant level accounts, and orders and maintaining approved items * Update and manage the District Manager's Planner and approved vacations * Coordinate and set up monthly P&L call schedules and supporting print materials * Support in the coordination of the in-person Director and District Manager Meetings * Support with booking travel arrangements for District managers and the Director of Operations (DO) * Support the maintenance of the Operations Services inbox and follow up * Update DO Call notes and coordinate action items * Support with employee recognition program by updating the Habit Highlights slideshow and troubleshooting missing awards * Support in ordering special request uniform items * Support in ordering items from 3rd party vendors for Operation Services tests and initiatives * Engage with external partners and vendors at various levels to coordinate meetings and connections, representing The Habit with professionalism and positivity SKILLS AND KNOWLEDGE REQUIREMENTS * Customer-focused support with excellent interpersonal and communication skills * Highly organized with the ability to manage and prioritize multiple deliverable commitments and correspondences in support of the operations team's daily activities successfully in a fast-paced environment * Accuracy, attention to detail, and excellent proofreading/editing skills * Possess a high degree of integrity when dealing with confidential and sensitive information * Able to work with individuals at all levels of the organization * Proficient in Word, Excel, PowerPoint, and Outlook COMPENSATION: $43,900 - $56,760 (Varies based on Skills & Experience) annually + bonus eligibility.
