GENERAL DESCRIPTION:
A skilled clerical and technical position responsible for providing office support functions related to the County's Engineering and Traffic Operations activities, including receiving input from the public, issuing related work orders, and maintaining administrative control mechanisms.
ESSENTIAL JOB FUNCTIONS:
The following statements describe the principal functions of the job and its scope of responsibility but should not be considered an all-inclusive list of work requirements. Individuals may perform other duties as assigned.
Responsible for the maintenance of the development files, the tracking and the filing system.
Performs routine clerical functions including typing, work-processing, filing and operations of other office equipment.
Schedules meetings as required.
Coordinates the preparation of plans, maps, drawings, and specifications with CADD personnel for a variety of civil engineering projects for the engineering Division.
Prepare agenda items as required.
Aids the Public Works Specialists with customers and answers questions when knowledgeable.
Receives complaints and issues work orders regarding maintenance of County maintained roads, lakes, parks and boat ramps.
Prepares and implements managerial reports tracking hours, monies, vehicle maintenance, materials, open purchase orders, etc.
Assists project manager with projects of varying size and complexity as assigned.
Maintains a professional and safe unit and work area adhering to established safety policies and the image desired for the organization.
Consistently follows Board policies and procedures.
Responds productively to change and performs all other related tasks as directed.
KNOWLEDGE, SKILLS AND ABILITIES:
Knowledge of and the ability to efficiently operate office equipment, including typewriter, copier, computer (P.C.), adding machine, etc.
Knowledge and ability to prepare correspondence, use spreadsheets, and various PC software to carry out administrative duties.
Able to learn technical information related to Public Works projects to answer basic questions from concerned citizens.
Able to operate effectively in an environment of constant interruption.
Must have good communication skills with the ability to speak English fluently.
Ability to use good judgment and make independent decisions.
Ability to plan and schedule the work of others.
Ability to maintain effective working relationships with co-workers, managers, supervisors, directors, elected officials, vendors, and the general public.
PHYSICAL SKILLS:
The person in this position: Must be able to remain in a stationary position for 50% of the time. Must be able to frequently position self to reach files and other office items located on low shelves or the floor. Must be able to inspect and assess daily email and postal mail correspondence. Frequently communicates with the public, vendors, co-workers, managers, directors, Administration, and the Board of County Commissioners. Must be able to exchange accurate information in these situations. Frequently operates various types of office equipment to include, but not limited to a computer and copy machine. Occasionally ascends/descends stairs. Rarely moves materials and office equipment weighing up to 25 lbs. Constantly works in an indoor environment. Rarely works in inclement outdoor weather conditions. Rarely operates motor vehicle for up to four (4) hours continuously or intermittently.
MINIMUM QUALIFICATIONS:
EDUCATION AND EXPERIENCE:
Five (5) years of clerical experience, preferably in an automated and computer-interactive environment.
LICENSES, CERTIFICATIONS, OR REGISTRATIONS:
Must possess and maintain a valid Florida Driver License.
OTHER JOB-RELATED REQUIREMENTS:
Disaster Essential.
