You will be responsible for managing inbound calls, scheduling appointments, and coordinating referrals while supporting smooth daily clinic operations. Responsibilities include: Serve as a primary point of contact for patients via phone, providing a professional and welcoming experience Answer and triage incoming calls, schedule new and existing patient appointments, and coordinate referrals Take accurate, concise phone messages and route them appropriately to clinical or administrative staff Enter and maintain complete and accurate patient demographics, appointment details, and referral information Review patient charts to ensure required documentation is received, completed, and properly filed Communicate clearly with patients regarding appointment details, next steps, and referral status Monitor call volume and patient needs to support efficient clinic flow and timely follow-up Distribute incoming faxes, reports, and correspondence to patient records in a timely manner Ensure all phone messages, faxes, and internal communications are addressed promptly and accurately Collaborate with clinical and administrative teams to support daily operations as needed Treat all patients with professionalism, empathy, and respect at all times Perform additional administrative duties as assigned by management Qualifications Education & Experience High school diploma or GED required 1-3 years of recent experience as a Medical Receptionist or front desk professional in a clinical or surgical setting preferred Prior experience in dermatology strongly preferred Skills & Abilities Strong customer service and verbal/written communication skills Knowledge of HIPAA privacy and confidentiality standards Ability to multitask and prioritize in a fast-paced clinical environment Excellent organizational and time management skills Detail-oriented with strong follow-through Comfortable managing a multi-line phone system and high call volume Proficient with standard office equipment (computer, fax, copier, scanner) Intermediate computer skills, including experience working in an EMR/EHR system Fluent in English Ability to accurately sort, file, and maintain records alphabetically and numerically Ability to travel to and provide coverage at other local offices as needed Physical Requirements: Sitting, some standing, stooping and reaching.
