The purpose of this position is to coordinate and provide administrative support of the HR Learning Program as directed by the HR Learning and Development Manager in support of staff who access HR Learning programs and resources. This position will carry-out moderately complex coordination and administrative activities in support of the HR Learning Program such as support of projects, program planning activities and rollouts, developing materials, evaluations, complex assignments, and implementation. In addition, the Learning Coordinator will administer, manage, and support the HR Learning program within the organization's learning management system (LMS) and serve as back-up organization administrator.
Responsibilities

* Coordinate and provide administrative support for all aspects of the learning program, new employee orientation and new manager orientation, including but not limited to, attending program planning meetings, classroom scheduling and set-up, virtual classroom set-up and production, catering orders, registration/enrollment, webpage updates, participant tracking, reporting, supply ordering, troubleshooting issues.
* Coordinate and provide administrative support for major activities or projects (e.g., major events, new program rollouts).
* Provide administrative support to schedule instructors or set-up coaching assignments with outside vendors (e.g., establishing contacts and vendor accounts).
* Organize, research, create, and update department and course materials, correspondence, website update, and teaching tools such as job aids and participant packets
* Generate and distribute marketing and advertising materials for the training program.
* Manage training classrooms and resources, including reservations requests, equipment/software needs, etc.
* Serve as HR learning program local administrator for the organization's learning management system (LMS).
* Serve as back-up administrator for the organization's learning management system (e.g., assist with support tickets during busy times, run reports, data loads, intake and onboard new training admins or projects, etc.).
* Manage program shared email boxes and calendar.
* Perform program data entry (e.g., learning management system completions, enrollments, training budget).
* Compile, analyze, and generate learning program data and reports.
* Monitor learning program budget, ensuring that all financial allocations and expenditures are in accordance with expected or projected costs.
* Provide staff customer relations coverage for the department and form a positive working relationship with departments, staff, and vendors.

Qualifications

MINIMUM QUALIFICATIONS:

* Bachelor's degree and 3 years of experience providing coordination and administrative support to a program or an equivalent combination of education and/or experience.
* Experience planning events or training programs.
* Proficiency in all Microsoft Office applications.
* Proficiency compiling and manipulating data in Excel and generating reports.
* Must have strong organizational and project management skills.
* Excellent interpersonal and teamwork skills with the ability to work and communicate with all levels of the organization as well as cross-functional team members.
* Excellent verbal and written communication skills. Highly effective at editing and proofreading department and training materials for distribution.
* Organized, detail-oriented, and self-motivated.
* Demonstrated experience handling multiple priorities and initiating problem solving.
* Demonstrated ability to do public speaking.

PREFERRED QUALIFICATIONS:

* Education or experience with adult education, instructional design, learning and development, or related field.
* Experience with learning management systems such as Cornerstone OnDemand.
* Demonstrated experience with SharePoint, Adobe Experience Manager or other content management systems.

This position is patient facing and/or requires access to Fred Hutch clinical facilities. As such, full COVID-19 vaccination is required as a condition of employment, without exception.
