Will be placing about 120 orders per day from customers via email requests and clients calling in

Will put orders into ERP system, each order has codes ranging from 8-16 numbers

Must accurately input order and serial numbers (RMAs entered, return material authorization)

Receives and enters customer new equipment orders and/or service repair orders.

Researches inventory issues. May specialize in new equipment orders or service repair

Receives and processes orders for monitoring equipment and supplies from customers or sales force via phone, fax and e-mail. Follows up on orders to ensure that delivery dates are within customer driven criteria.

Initiates service repair orders in response to customer calls.

Enters service repair orders and return material authorizations into Company database.

Contacts shipper to arrange equipment pickup.

We are seeking an Order Entry Customer Service Specialist to become an integral part of our team! You will help coordinate incoming customer orders by comparing quotes and pricing--then input them into our system.

DUTIES
These essential functions indicate the general nature and level of work expected in this position. Assists customers with orders and information regarding orders. Accurately types customer orders in software CMS system. Answer phones in a friendly and professional manner. Acts as a liaison with customers with regards to product status, resolving issues and coordinating flow of information. Ensures timely response to customers regarding material delays and shortage issues, order acknowledgments, shipping information or other information relating to order entry. Exhibits professional and courteous telephone demeanor, technical accuracy and conformance to company policies and practices. Recommends corrective services to adjust customer concerns. Seeks to know customers and understands their method of doing business. Works within the sales team as a resource and to ensure work flow procedures are carried out expeditiously. Suggests improvements to systems and procedures. Communicates with design, planning, manufacturing, shipping and other sales and marketing staff to gather and share information. Able to respond to positively and professionally in the midst of difficult situations to co-workers and customers alike.

CUSTOMER SERVICE/ORDER ENTRY

We have a fun, fast paced and friendly atmospheric wine warehouse located in Yamhill County looking for additional customer service/order entry representatives. This person would be an integral part of the customer service team with multi-functional responsibilities that focus on filing customer claims and is a critical element for the company’s ability to meet the needs of their customers.

Job Responsibilities include:

  • Daily monitoring of emails and phone calls to fulfill customer requests regarding redirect of packages; return to sender packages; delay of delivery and call tag requests.
  • Prepare timely communication with end customer and client regarding all steps of the package process, to maintain the positive customer experience.
  • Proper filing of damage claims received from customer or UPS including research of packages and pricing details from client.
  • Call tag preparation on UPS machine.
  • Maintenance of claims log in “EXCEL” for an accurate payment to client.
  • Company liaison with claims and tracking personnel of UPS, FEDEX and GSO.
  • Prepare monthly reports that have requested shipping detail for all customers accessorial shipping charges
  • Filing of all claim’s paperwork, in customers file.
  • Other tasks that may be assigned by your supervisor.
  • Answers, screens, and directs incoming telephone calls.
  • Performs general clerical duties including but not limited to filing, photocopying, faxing, typing, and mailing.

Experience required will include:

  • Intermediate to advanced proficiency in Excel, Word, Access and Outlook
  • Minimum of 3 years’ experience in a fast-paced customer service environment
  • Knowledge of the wine industry highly desired
