Job DescriptionMoms In Motion has an opening for a Database Assistant

The Database Assistant is responsible for assisting the Technology Solutions Manager and assumes the
role of database solution support. This position is full-time, Monday - Friday, 8 AM - 5 PM, and fully remote.


Key responsibilities include but are not limited to:
  • Database support; Coordinates and monitors all work tickets between the Technology Department and database
    contractor. Resolves production issues. Tests completed tickets.
  • Technology projects
  • Technical support; Communicates with users via phone, chat, email, and/or a support ticketing system to determine
    team member requests. Responds to communication within 1 hour.
  • Metrics reporting and communication
  • Develops and maintains various forms of training documentation and materials.
  • Must have a home workspace with a computer and reliable internet

Receives, reviews, and enters data related to prospects, donors, and gifts into the Salesforce database according to established department procedures and standards. Produces and distributes thank you letters/tax receipts to donors, and files related documents or paperwork. This is an entry-level position with opportunities for growth and advancement.
Reports To: Ken Tran, CRM Coordinator

Essential Functions:

· Accurate entering of donations and related donor information into Salesforce or other systems as assigned.

· Produce and mail thank you letters/tax receipts to donors within two weeks from the date donation are received.

· Generate basic Salesforce reports and queries in a timely manner.

· Protect and maintain the confidentiality of donor information.

· Scanning or photographing backup valuation documentation for gifts in kind valued at $1,000 or more.

· Retention and storage of received data and source documents.

· Contacting donors or preparers of source documents to resolve questions, inconsistencies, or missing data.

· Working with Finance to ensure donor information is properly recorded across all systems and databases.

· Assisting with research for updating donor information.

· Compliance with company policies and procedures.

· Other duties as assigned.

Knowledge, Skill and Experience:

· Have a working knowledge of data entry and/or database systems. Work experience in these fields may be beneficial: accounting, admissions, computers, data entry, libraries, medical coding/billing, personnel and/or records management.

· Communicate efficiently and effectively both verbally and in writing.

· Fluency in English is required with the ability to proofread work.

· Perform work with strong attention to detail.

· Handle multiple tasks and meet deadlines. Perform routine daily tasks.

· Follow instructions provided in verbal or written format.

· Ability to type at an average speed of 40 wpm.

· Be proficient in Word, Excel and Outlook.

· Ability to perform mail merges between Microsoft Word and Excel.

· Knowledge of Salesforce is preferred, but not required.

· Interact and maintain good working relationships with individuals of varying backgrounds.

Physical Requirements:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is frequently required to stand; sit; reach with hands and arms; and talk or hear. The employee is occasionally required to walk and use hands to finger, handle, or feel. The employee must frequently lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
