Job Title: Regional Operations Manager, US East Region


Slalom is seeking a Regional Operations Manager to join our Global Services Operations team. This energetic, connected team supports our growing in-market Office Operations teams through change management, communications, event management, onboarding, coaching, and general office management. Office Operations at Slalom consist of five primary functions: Recognition/Culture, Office/Facilities Management, Onboarding, Executive Administration, and Events. This role balances the needs of individuals and markets within the United States Eastern Region with the goals of Global Teams.


Who you are:


This individual focuses on the support, growth, and development of a varying group of local market Office Operational teams and leadership teams across several markets including, but not limited to: Atlanta, Boston, Hartford, WestCo, New Jersey, New York City, Philadelphia, Washington D.C., Public Sector, Charlotte, Raleigh, South Florida, and Tampa. In addition, this person will build relationships with teammates/leaders (where applicable) within operations across the organization to advise on relevant execution of Office Operations best practices.


What You'll Do:

  • Host community-building and informational virtual experiences for U.S. Eastern Region Office Operations
  • Coach in-market Office Operations teams varying in size (1 to 5+) in all areas of Office Operations including office administration, reception expectations, executive support, day-of event execution, venue/vendor negotiations, budgeting, menu planning, vendor coordination, on-site event setup, etc.
  • Consult with regional Office Operations teams to ensure operational efficiency and quality service
  • Review Office Operations ways of working locally and region-wide to ensure cross-cultural relevance and and best ways
  • Serve as a steward and expert of Slalom culture programs for local markets in effort to continue to be a "Best Place to Work"
  • Partner with East Region Chief of Staff on regional projects of specialized nature (i.e. Quarterly Regional GM Meeting)
  • Drive Office Operations initiatives and hiring market launches in the region in partnership with in-market Talent Acquisition/Recruiting; act as temporary, in-market Office Operations support in the event a market is without a teammate to ensure business continuity (may include large-scale event planning/event execution and unexpected travel)
  • Support the strategy and execution of the biennial Office Operations Summit: "OpsCon"
  • With support from the Manager, Operations and team, implement key initiatives on behalf of the Global Services Operations team

Qualifications:

  • Strong background leading [office] operations, project management, and event management in a high-paced environment (in-person, hybrid, and remote)
  • Willingness and ability to travel within region at minimum 25%, including 1-2 week-long visits to Seattle, Washington (as safe to do so)
  • Proven ability to effectively communicate and influence within all levels of an organization, including senior leadership

Job Title: Regional Administrator/Office Manager

Reports to: Operations Director

Location: Los Angeles

Pay: $22/hr

Performance Requirements

Includes the following, other duties may be assigned.

+ Supports the regional offices for all administrative tasks. Provides direct support to the regional leadership. Position would be split with the LA and Santa Clarita offices, with the possibility of expanding to an office in Camarillo.

+ Current schedule is two days at the Los Angeles office, two days at the Santa Clarita office, and one day work from home. Hours are 8 a.m. to 4:30 p.m.

+ Front Desk coverage, providing a high level of customer service to all visitors as you will be the first point of contact.

+ Preparation of monthly chargebacks

+ Issuing of Payment Authorization Forms which include items ordered for portfolio properties

+ Processing of P-Card Authorization Forms to Corporate

+ Monitor and schedule maintenance of all office equipment

+ Monitor and control of office keys and access cards including the distribution of these items to new hires

+ Check all printers/copiers to ensure they are stocked each morning

+ Maintenance and distribution of client access cards/keys should the Assistant Community Manager be absent

+ Interfacing with building management company and Facilities Department

+ Submission of office-related bills to corporate for processing

+ Coordination of vendor visits, Meet & Greet, Lunch & Learns with supervisors' approval

+ Submission of Workplace Hazard Report and staff seating chart monthly

+ Facilitate Iron Mountain requests and database

+ Willing to take on additional assignments based on business needs. May be requested to work overtime from time to time.

+ Greet and welcome new staff to team and schedule time with them to review the systems for support that will be provided.

+ Update FSR Connect task module based on written request from Supervisor.

+ Link and unlink associates and associations in Connect, Smart Webs & South Data

+ Run errands as requested by direct supervisor or other members of leadership team, which requires dependable transportation, vehicle insurance and valid driver's license.

+ Coordination of conference room reservations for Board and staff meetings

+ Input Copitrak sheets once per month

+ Coordinating and notifying associates of in-house meetings on behalf of the managers

+ Exhibit professionalism

+ Ability to support associations in an ACM capacity function as needed.

+ Serve as “quarterback” during ACM absences (sick, vacation, vacancy, etc.)

+ Take client calls and manage work order process, violations, vendors and client issues

+ Update and generate requested reports for board packets

+ Adherence to FirstService principles and Core Values

+ Understanding of FirstService Residential's management contracts and roles

+ Receiving assessment payments from walk-in homeowners and issuing receipts

+ Process mail each day and coordinating GLS

+ Process Staples orders for office supplies

+ File documents

+ Manage and coordinate office calendar, birthdays and anniversaries
