The Maintenance Dispatch Coordinator receives, records, and distributes work orders to service crews upon customers' requests for service. The Maintenance Dispatch Coordinator will be required to work shift work that includes nights, weekends, and holidays.


Responsibilities


Receive, record, and distribute work orders to service crews upon customers' requests for:


Repairs and services on Government mobile and stationary equipment


Records information, such as:


Name


Address


Article to be repaired


Service to be rendered


Prepare work order and detailed notes


Distribute order to the service crew


Schedule service calls and dispatch service crew. All information is recorded in a Government program entitled Maximo.


Call or write the customer to ensure satisfactory performance of service


Keep a record of service calls and work orders


Dispatch orders and relay messages and special instructions to mobile crews and other departments using radio or cellular telephone equipment.


Other duties as assigned.


Qualifications


High school diploma or GED equivalent


Associates degree preferred


2+ years experience in a general Help Desk or Customer Service position, preferably in a maintenance environment


Experience with HTEE is preferred


Must have a valid driver’s license


Must pass a CBP Background Investigation


The position requires a COVID vaccination or an approved accommodation/exemption for a disability/medical condition or religious belief


Knowledge, Skills and Abilities:


Strong organizational skills


Ability to prioritize and multi-task


Proficient in Microsoft Office Suite, i.e Word, Excel, and PowerPoint


Ability to work shift work that includes nights, weekends, and holiday

JOB SUMMARY: The Heavy Haul Dispatch Coordinator assists Heavy Haul Dispatchers by coordinating and dispatching trucks and Heavy Haul Drivers for timely equipment pickup and delivery for customers in a profitable manner, while providing excellent customer service.
ESSENTIAL FUNCTIONS:


Safety


+ Actively cares, promotes, manages, and advocates safety at Western States. As a team member in the organization, it is critical to ensure all employees, vendors, and clients have a safe work environment while adhering to all applicable safety policies, procedures and standards.


+ Ability to complete Job Hazard Analysis (JHA’s) prior to any job-related tasks according to WSECO’s policy and standards.


+ Maintains clean/clutter free personal work areas to ensure safe environments for all WSECO employees.


+ Adhering to required personal protective equipment (PPE) as identified in safety policy.


Heavy Haul Dispatch Support


+ Invoices customer for Heavy Haul services.


+ Codes incoming transport invoices and forwards to Accounts Payable for payment.


+ Obtains annual permits for Heavy Haul Fleet.


+ Maintains all driver certifications and coordinates required refresher training.


+ Provides technical support to drivers.


+ Coordinates onboarding process for new drivers.


+ Provides administrative support as assigned by Heavy Haul Dispatch.


+ Adheres to all customer care standards.


+ Performs other duties as assigned.


SKILLS, KNOWLEDGE, AND ABILITIES:


+ Basic knowledge of Caterpillar equipment and diesel trucks and trailers.


+ Proven skills in written and verbal communications, planning, organizing, leadership and interpersonal relationship building.


+ Experience using computers, including Microsoft Office applications.


+ General knowledge of DOT legal requirements.


+ Basic knowledge of permitting and scheduling process.


+ Ability to organize and multi-task.


+ Ability to set and manage priorities.


+ Ability to develop and maintain effective working relationships with others.


+ Ability to work overtime without notice.


+ Consistent attendance.


EDUCATION AND EXPERIENCE:


+ Proof of high school diploma or General Education Degree (GED).


+ One-year related office experience required, dispatching heavy haul trucks or industry experience preferred


+ Six months in invoice processing and scheduling preferred.


+ Must be able to communicate (speak, read, comprehend, write in English).


PHYSICAL CHARACTERISTICS:


+ Ability to stand for long periods of time along with walking, sitting, repetitive climbing stairs, reaching (including but not limited to above-shoulder reaching), repetitive bending, stooping, pushing, pulling, leaning and twisting.


+ Ability to lift up to 25 lbs. in accordance with Western States’ Lifting Policy to include amount and approach.


+ Must be able to meet all safety requirements for applicable safety policies.
