Job Summary:
The Medical Staff Scheduling Specialist works to ensure accurate, efficient, and well-coordinated provider scheduling and staffing operations across the organization. This role is responsible for building, maintaining, and adjusting provider schedules for all clinical areas-including Clinic, Hospital, Rehab, Emergency Department, and call coverage-while ensuring schedule compatibility with patient access needs and operational workflows. Track and monitor provider vacation and education time utilization, ensuring accurate records and compliance with established guidelines.
Block provider schedules for approved time off and ensure timely communication of schedule changes to impacted departments.
Respond to provider shift call-ins by initiating appropriate follow-up actions, including coordination with leadership and affected departments to maintain coverage and continuity of care.
Create, maintain, and update physician and rehabilitation provider scheduling templates within Epic, including recurring schedules, modifiers, and other configuration updates to support accurate scheduling.
Process bi-weekly provider payroll, including collection, review, and submission of timesheets in accordance with payroll deadlines and requirements.
Develop and maintain provider call schedules and ensure on-call assignments are accurately updated and communicated via the intranet and other designated platforms.
Build, manage, and optimize provider scheduling templates in the Epic EHR, supporting workflow efficiency, accurate documentation, and access optimization.
Collaborate with nursing, surgery, patient access, recruitment, clinic leadership, and other stakeholders to ensure provider schedules are accurate, timely, and aligned with operational and staffing needs.
Perform other duties as assigned, consistent with the scope and responsibilities of the position.

This paid internship program provides interns the opportunity to develop technical skills, build confidence in their abilities, and better prepare them for their future in Respiratory Therapy. The internship rotation is intended to help prepare for national certification and future employment at Grand Itasca upon successful completion of the internship program!

Student to Hire Opportunity! Offering to multiple candidates!
There are two program options:
1st year Respiratory Therapy program:
Successful completion of first semester of Respiratory Therapy program.
Must be enrolled and completing second semester of Respiratory Therapy program.
Work as Respiratory Therapy Assistant a minimum of 32-48 hours per month (2 weekends).
Work towards obtaining Basic Life Support certification as eligible.
2nd year Respiratory Therapy Program:
Enrolled and completing second year of Respiratory Therapy program.
Work as a Respiratory Therapy Intern a minimum of 32-48 hours per month (2 weekends).
Must have BLS certification.
Upon graduation, Interns will transition into a benefit eligible Respiratory Therapist position!
Minimum qualifications:
Enrolled Respiratory Therapy student, with one semester of successful completed coursework, and intent to complete Respiratory Therapy program.
Ability to work a minimum of 32-48 hours per month (2 weekends).
Basic Life Support certified or obtain within 4 months.
Good interpersonal communication skills.
Demonstrated ability to follow and adhere to Grand Itasca Clinic and Hospital policies, vision, mission and values.
Maintains reliable and consistent attendance.
*This position provides one flat hourly rate, with regular reviews to ensure competitiveness with the market.
