Accounts Payable / Receptionist (Food & Beverage)

The Accounts Payable / Receptionist position requires a knowledge of company policies and procedures. Responsible for greeting customers and vendors, answering phones, mail and overnight shipments. Responsible for vendor payments and month end reports. Reconciliation of Company credit card transactions.

About The Role


Position serves as primary receptionist for branch; greets, directs and responds to customers in person and on the phone. Provides back up for additional duties for new accounts personnel and may be assigned to handle customer access to safe deposit boxes.


DUTIES AND RESPONSIBILITIES:

  • Answer incoming telephone calls, determine purpose of callers, and directly help customers with transfers and account information when possible or forwards call to appropriate personnel or department as necessary. Take and deliver messages or transfer calls to voice mail when appropriate personnel are unavailable. Greet customer, determine nature of business, and direct customer to appropriate personnel. Direct customers to various personnel to ensure referrals are distributed equally.
  • Perform daily tasks such as responding to customer account balance inquiries, reconciling customer statements, processing debit card requests, input check orders, complete customer research requests, check information on signature cards, and inputting new/changed information. May provide back-up to New Accounts.
  • Depending on location, may assist consumer/commercial lenders/processors by scanning financials and loan documents and reviewing/researching insurance requests.
  • Maintain knowledge of all bank products and services. Answer questions and sell the Bank's financial services and cross-selling products and services within the policies, objectives and guidelines established by the Bank. Promote the HPG program by performing related duties such as, but not limited to, distributing promotional materials, discussing program/gifts with customers, and actively participating in Big Day and other HPG activities within the branch.
  • Depending on location, may serves as safe deposit custodian and ensures adherence to established policies and procedures regarding access. Safe deposit customers are greeted in a timely and courteous manner. Safe deposit entrance cards are completed accurately. Customer signatures are verified. Identification is requested when appropriate. Safe deposit box entrance cards, contracts and history cards are maintained in an orderly and efficient manner. Safe deposit box guard keys are kept in a secure location with limited access to bank personnel only. Maintains record of paid and past-due deposit safe deposit boxes.
  • Receive, sort, and route incoming mail. Collect and deposit outgoing mail to appropriate location. Create and/or distribute memos, correspondence and other documents when necessary or requested. Print and/or mail any notices or checks that are generated within the department. Complete daily documentation and/or transaction reviews, for DDA, Time or Safe Deposit products as assigned. May open/close doors at opening/closing times. Maintain neatness of customer reception area and ensure coffee, water and supplies are available before lobby opens and throughout the day.


About You



QUALIFICATIONS:

  • High school degree or equivalent.
  • Six months to one year of similar or related experience to include customer service experience.


KNOWLEDGE, SKILL, ABILITY:

  • Working knowledge of banking products and services; general office practices and procedures.
  • Skill in areas related to operation of multi-line phone systems.
  • Appropriate and effective phone etiquette.
  • Operation of 10-key and proficient keyboarding skills.
  • Computer software applications, including MS Word, MS Excel, Internet and Ecommerce products.
  • Ability to effectively follow written and oral instructions; work well under pressure in fast-paced environment; work both independently and in a team environment.


WORK ENVIRONMENT:


Must be able to routinely perform work indoors in climate-controlled work environment with moderate noise.
