Job Summary:
The Riverside Hawks seek an experienced and polished Executive Assistant to support the Executive Director. The ideal candidate will be capable of multitasking and appropriately handling confidential information while anticipating the needs of the Director of Operations office. This individual must possess superior interpersonal and communication skills, both written and oral, and demonstrate exceptional organizational abilities. Additionally, the candidate will manage QuickBooks and help maintain financial budgets.
Job Responsibilities:
Administrative Support:
Maintain high discretion and confidentiality when handling sensitive or personal matters.
Screen incoming calls, determine the priority level, and use caution in dispensing information.
Serve as the front office liaison between the Executive Director and all senior staff.
Interact regularly and build relationships with staff across various teams.
Prepare background materials, reports, and meeting minutes; transcribe and proofread text and publications.
Schedule internal and external meetings; adjust and prioritize last-minute changes, including logistics such as conference rooms, events, and catering.
Assist the Executive Director in preparing all materials needed for our Board Meetings.
Financial Management:
Execute financial duties, including program expenses, processing purchase orders, invoices, and business/travel expense reimbursements.
Work with the Director of Operations to enter, manage, and update all transactions in QuickBooks, including accounts payables and receivables, and manage team sheets and financial reporting.
Assist in preparing financial reports and presentations for board meetings and stakeholders.
Conduct weekly audits of the League Apps and Team Sideline platform to ensure all necessary documentation is submitted and team fees are processed.
Responsible for tracking and monitoring all Gala and General Donations.
Sending Thank You and Acknowledgment Letters to donors.
Program Support:
Assist with travel arrangements, including hotel, airfare, and bus bookings for program needs.
Help facilitate fundraising and program development initiatives, including monthly newsletters and board meetings.
General Programming:
Work with our Director of Operations to organize and analyze collected data in League Apps and Team Sideline to synthesize program population statistics.
Assist with other programmatic initiatives and special projects
Assist with travel, Hotel, Airfare, Buses, and different program needs.
Assist with upkeeping Team sheets as needed
Provide support for special projects as needed. (i.e., Gala Support, Graduation Celebration, Riverside Invitational, NYC Academic Elite, Tryouts, and other events as they arise)
Fundraising/Development Support:
Work with our Director of Operations to assist with Fundraising and Program Development initiatives.
Assist with our monthly newsletters
Help facilitate our board meetings and coordinate and execute special fundraising events.
Assist the Director of Operations with Grant Research and Tracking.
Academic Programming:
Work with the Director of Operations to ensure compliance and execution of Academic and Community programming initiatives.
Experience and Education Requirements:
Bachelor's Degree with a minimum of 5 years of relevant work experience (Required)

2. Chain of Command:
Your immediate point of contact is the Security Supervisor.
In the absence of a Supervisor, report to the FLSD on duty.

3. Professional Conduct:
Cell phone use is prohibited while on active duty.

Security officers must remain alert, respectful, and courteous-especially during worship services, events, and guest interactions.
4. Policy Compliance:
All officers must comply with the Riverside Church Employee Handbook, which will be provided upon onboarding.

Description and pay-scale:
The Riverside Choir is a diverse semi-professional group of 40+ singers, ranging in ability from volunteer and avocational to fully professional, and offers various positions on a sliding scale of compensation of $80-$150/service. A high level of musicianship, experience, confidence, sense of pitch, and proficient music reading is expected. The ability to blend chorally and sing comfortably with limited vibrato is essential. Schedule:
The usual Sunday schedule is a 9:00am rehearsal for an 11:00am service, every week from mid-September to mid-June, with additional services around Christmas and Easter. Major holiday attendance is expected. There is a once monthly Thursday evening rehearsal, and occasional other weeknight rehearsals as required. Small groups on a rotating basis sing through the summer months. “Music at Riverside” presents 2-3 choral concerts per season.

Oversee office supply inventory, equipment maintenance, and document distribution within the Property Management suite.
Serve as liaison between the Property Management, Security, and Finance Departments for scheduling and information sharing.
Assist in onboarding and orientation for new departmental staff or vendors.
Qualifications and Experience Requirements:
Education: Bachelor's degree preferred; Associate's degree and equivalent experience accepted.
Experience: Minimum of 3 years of administrative experience, preferably in facilities, construction, or property management.
Skills:
Strong proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
Experience with work order or project management systems (e.g., Smartsheet, FMX, or similar).
Excellent written and verbal communication skills.
Ability to manage confidential information with professionalism and discretion.
Strong attention to detail, organization, and time management.
Familiarity with compliance and sustainability initiatives a plus (LL97, energy benchmarking, etc.).

The Riverside Church is seeking adults who can be church school teachers and other volunteers with our children and youth, to share the stories and values of our faith with creativity, authenticity, and joy, and will help to show them how they are loved by God and called to love their neighbors, too. These positions are unpaid, but you will gain the satisfaction of helping to shape the next disciples of our church. All volunteers must follow our Safe Sanctuary policy, including a background check and boundary training. Classroom Curriculum, materials, and mentoring for new teachers will be provided. Job Summary:
Abides by all Safe Sanctuary policies of the Riverside Church at all times.
Complete CPR course
Engage with children ages 4-12 years in organized activities during Church School, i.e., age-appropriate songs, stories, lessons, crafts, etc.
Responsible for providing age-appropriate care which includes: escorting to the bathroom, maintaining a safe environment, or sitting with and cheerfully interacting with children through games, stories, play and prayer. Universal precautions should always be used while time of body fluids.
Ensures safety of the classroom environment, i.e., cleaning products and medications stored out of reach of children, outlet covers on electrical outlets, etc.
Collaborate with other Church School teachers and the Minister of Children & Families.
Report any issues or concerns regarding children and fellow Church School Teachers to the Minister of Children & Families.
Participate in all workshops and trainings as presented by the Minister of Children & Families.
Church School Teachers are expected to work holidays that fall on Sunday and may be asked to work additional hours during busy times, i.e., Holy week.
Additionally, the Church School Teacher will also perform other related duties as assigned.
