The Project Administrator will steward administrative project management tasks across all service lines, from First Notice of Loss (FNOL) through close-out and invoicing by maintaining an accurate Work-in-Progress (WIP) board, ensuring complete and compliant documentation, supporting estimating based on scope and photos, coordinating business hours schedules and dispatch, and providing professional customer service to all stakeholders.
Primary Responsibilities
FNOL Intake, Customer Service, and Dispatch
Promptly receive, screen, and enter all lead calls and job referrals (FNOLs) into relevant systems with complete, accurate details.
Answer phones, route inquiries, and greet visitors in a professional manner; resolve routine issues and escalate as needed.
Dispatch and track leads/referrals to the appropriate operational teams to ensure rapid response and clear handoffs.
Monitor logistical progress of referrals and active jobs to meet customer expectations and program requirements.
WIP Management, Scheduling, and Coordination
Maintain an accurate, up-to-date WIP board for all active leads and projects.
Collaborate with RMs and CMs to coordinate the daily production schedule and on-call schedule; confirm resources, sequencing, and timing.
Review WIP trends to identify bottlenecks or gaps; surface issues early and recommend practical fixes.
Job File Documentation, Estimating Support, and Compliance
Communicate daily with RMs, RSs and CMs to ensure all required documentation is captured on site at point of task (photos, readings, notes, signatures).
Verify estimates based on documented scope and photos; verify that all work performed is captured for billing.
Audit job files daily for accuracy and completeness against internal SOPs and program requirements.
Complete job file reports for all assigned projects.
Review timestamps and other datapoints to ensure accurate reporting and KPMs.
Prepare files for final upload and audit; perform internal audits to confirm estimate, scope, and file compliance.
Monitor and ensure all client/program requirements are followed; maintain timely internal and external communications.
Close-Out and Invoicing Support
Execute all job close-out activities, including documentation checks, status updates, and tasking to the billing/accounting team.
Coordinate with accounting to support accurate, timely invoicing and resolve documentation questions quickly.
General Office Duties
Maintain organized digital and physical records; perform light filing as needed.
Assist other departments as assigned to meet business needs.
Education And Experience Requirements
High school diploma or GED required.
Prior receptionist/office, dispatch, or estimating experience preferred.
Exceptional customer service, strong administrative skills, and clear verbal and written communication required.
Proficiency with common office software and digital tools; strong general tech skills, ability to learn industry platforms quickly.
Experience in restoration, construction, or insurance is a plus. (Familiarity with estimating and job-management systems preferred.)
Physical And Work Environment Requirements
Office-based, largely sedentary role. Occasional filing and lifting of file boxes; may require opening cabinets and using a step stool.
Normal Working Hours, Additional Hours, And Travel
Full-time, Monday-Friday, start time at 7:30am (just prior to business open), concluding at 5:30pm (just after business close)
Longer or flexible hours may be required based on business needs. Minimal travel.

**Job Description**
**TYPICAL JOB DUTIES AND RESPONSIBILITIES:**
**Saturday and Sunday, 8 hours each day, 2pm - 10:30pm - 2nd Shift**
+ Sweep, mop, and wash floors, and other surfaces (inside buildings).
+ Use light and heavy (commercial type) floor (buffers) and shampoo machines including attachments.
+ Vacuum rugs in offices and public areas. Spot clean daily and shampoo when directed rugs. Clean and dust furniture, exhibit cases, pictures, chairs, door trim, light fixtures, and all other horizontal surfaces including periodic high dusting.
+ Wash windowsills; glass in interior doors, partition, and specified windows.
+ Wash glass and trim at entrance doors, interior/exterior- Wash/spot clean interior walls as appropriate daily.
+ Clean bathrooms and restock paper supplies daily. Standard bathroom procedures are to damp wipe glass surfaces, empty waste baskets, service soap and toilet paper dispensers, dust sills, clean tile walls, shelves, stall partitions, sweep/mop/scrub floors, etc.
+ Monitors possible defects such as clogged urinals and lights out, and reports to supervisors.
+ Collect building trash daily placing it in approved container and place in designated collection area for subsequent removal.
+ Replace liners in waste baskets and trash containers per specs.
+ Sweep or shovel snow from steps and walkways at building entrances and connecting walkways/sidewalks as directed.
+ Performs periodic work: High dusting, leather and wood surface, polishing, wall washing.
+ Any and all other duties as assigned.
**REQUIREMENTS:**
+ Basic cleaning responsibilities requires no previous experience
+ Must be able to take direction, to work with minimal supervision, and to function cooperatively as part of a team
+ Ability to use cleaning tools and equipment.
+ Use a portable vacuum cleaner - back pack style.
+ Requires attention to detail, a pride in delivering excellent service, organization, and high levels of energy and endurance.

The company will not pay less than minimum wage for this role.
The compensation for the position is: $17.87 - $18.00

As a Reconstruction Manager with SERVPRO of Camarillo, you will be responsible for ensuring the highest quality of service is provided to all customers and clients! In this role, you will manage a wide range of functions on all reconstruction projects.
Key Responsibilities
Oversee operations of all re-construction projects and ensure customer and client satisfaction
Manage the construction team
Ensure project schedules are in place and monitor completion schedules and budgetary requirements
Ensure all work performed complies with the plans, specifications, local codes, and requirements of the scope of work.
Ensure proper documentation of each project including photos, contracts, change orders, etc.
Perform end-of-day/end-of-job debrief with other superintendents
Position Requirements
High school diploma/GED
Previous construction management experience (4 or more years)
Project Management Professional (PMP) certification preferred
Excellent organizational and leadership skills
Ability to meet established production goals and maintain profitability
Effective written and oral communication
Skills/Physical Demands/Competencies
Exposure to extreme conditions such as heat
Ability to walk and/or stand for long periods of times (i.e., driving, sitting, climbing)
Ability to climb ladders and work at ceiling heights
Exposure to noise levels at jobsites that can be loud
Ability to successfully complete a background check subject to applicable law
