The Medical Records Specialist is responsible for providing support to the Health Information Management department and outpatient sites by organizing, evaluating and processing medical records requests. Must be able to compile, process, and maintain medical records of patients in a manner consistent with medical, administrative, ethical, legal, and regulatory requirements of the healthcare system. Responsible for processing both phone and faxed requests for medical records, to include printing images from PACS, gathering reports, completing documentation for all incoming and outgoing films/CDs. Position assists in answering incoming calls for a high volume phone queue. Responsible for working with patients and provider offices to complete necessary release for information documentation in accordance to department protocols and HIPAA standards. Works with patients to ensure records are prepared in a timely manner for pick up and release. This position must be able to meet and support the workflow demands of a fast paced, customer focused service environment in a clinic setting.

Schedule: This will be a 1.0 FTE 40 hour per week role. Monday - Friday, 8AM - 4:30PM.
Pay and Benefits:

Essential Job Functions:
* Retrieve patient medical records for physicians, technologists, other medical personnel, and patients.
* Utilize electronic systems in order to obtain prior images and reports for a patients upcoming visit. (PACS, EMS, EPIC, Emix)
* Protect the security and confidentiality of medical records to ensure that HIPAA compliance is maintained.
* Answers high volume phone calls in a timely manner to meet department call expectations.
* Handles Release of Information (ROI) according to state and HIPAA guidelines.
* Maintain- continuity of work operations by documenting and communicating actions, irregularities, and continuing needs.
* Prepares paperwork for image interpretation with a high degree of accuracy, to include locating previous examinations and reports, locating outside priors for scheduled appointments when necessary.
* Prepare and update EMR/film jackets, day sheets, and other documents, when needed, to appropriate departments timely.
* Review records for completeness and accuracy according to company policy and state and HIPAA guidelines.
* Utilizes appropriate systems for the tracking of medical record discs, reports, films, and all other medical records.
* Push digital images electronically via PACS systems.
* When appropriate, maintain e-mix system by pushing and purging studies per expected process.
* Keep physicians, technologists, or other medical personnel informed by communicating availability or unavailability of records.
* Resolves medical record discrepancies by collecting and analyzing information.
* Deliver emergent cases to nearby offices, when required (see courier job description).*
* Set up attorney requests. Coordinate cases with HIM/Legal teams.
* Where appropriate, receive, sort, and deliver all incoming mail. Include courier and interoffice deliveries as needed.
* Where appropriate, manage the postage machine ensuring adequate funds are available.
* Coordinate supply needs with management and Purchasing department.

Qualifications:
Education/Work Experience
* High school diploma or GED required, Associates degree preferred.
* Previous imaging medical records experience preferred.
* Minimum 1 year of recent, related experience, or equivalent combination of education, training, and experience.
* Familiar with medical terminology, and able to understand it.
* Current BLS certification required.

Mobile Mammo NW is the South Puget Sound's first dedicated Mobile Mammography Program started by the TRA Medical Imaging Foundation and operated by TRA Medical Imaging.
The Mobile Mammography Modality Specialist for MobileMammo NW, operated by TRA Medical Imaging, serves as the primary clinical and technical authority for the organization's clinical mobile breast imaging program, ensuring the delivery of safe, high-quality mammography services within a mobile clinic environment across South Puget Sound and surrounding communities.
This role is responsible for performing advanced screening mammography while overseeing the technical integrity and operational performance of the mobile unit, ensuring strict adherence to MQSA, ACR, FDA, and Washington State regulatory requirements. The Modality Specialist maintains accountability for imaging quality, patient safety, radiation protection, infection control, equipment functionality, and documentation compliance in alignment with MobileMammo NW standards and TRA Medical Imaging policies.
Operating in a dynamic mobile setting, this position ensures the unit remains inspection-ready at all times, manages quality control protocols, supports mobile workflow efficiency, and ensures proper setup, calibration, and maintenance of mammography equipment at each service location. The Modality Specialist functions as the lead expert for mobile screening mammography within the mobile program, providing clinical guidance and technical oversight to supporting technologists while collaborating closely with TRA operational leadership, scheduling teams, and community partners.

Mammography Tech Lead Responsibilities
Develop and mentor technical staff, guiding them with expert knowledge and support.
Responsible for workflows, protocol development and changes for MM throughout TRA.
Act as primary contact for the radiologist relating to quality of images, protocol changes/enhancements and technical staff skill development.
Provide expert knowledge to other departments, providers and patients when questions arise as they relate to the MMNW y.
Ensure compliance with all regulations related to the safe and lawful operation of MM imaging services for the organization, including ACR, state inspections, annual Corwin evaluations, radiation safety or any other regulatory requirements.
Responsible for staff scheduling, and coordinating PTO and low census with the support of management
Work from multiple locations as needed, i.e., MMNW coach, outpatient sites, and corporate office.

Mammography Technologist Responsibilities
The MM Specialist will also travel regularly on the MMNW coach working as a mammography technologist. They will also work as a Mammography Technologist at various TRA Medical Imaging and Diagnostic Imaging NW sites when the mobile mammo coach is not operating.
Prepares patients for radiologic exams with thorough explanations of the procedures and clear instructions.
Obtains a thorough patient history as it relates to the exam to be completed.
Accurately implements the orders of the referring physician, producing radiographs with minimum patient exposure and repeatability.
Presents high quality radiographs and pertinent patient history to radiologist for interpretation.
Performs necessary computer functions associated with patient exam
Responsible for keeping work area and patient exam areas neat and stocked with appropriate supplies; and participating in orientation and in-service training for personnel.

Job Summary:
This job is responsible for providing support to technologists and other clinical site staff as needed and displays a high level of customer service skills, multi-tasking skills, and is a strong team player. The Medical Assistant (MA) demonstrates significant familiarity with standard concepts, practices and procedures within an imaging center including but not limited to interviewing patients, measuring and recording information in patient charts, and preparing and maintaining examination and treatment areas. This position relies on instructions and pre-established guidelines to perform the functions of the job as established by practice medical and administrative leadership. The MA works under immediate supervision and assumes other responsibilities as assigned by the Site Operations Supervisor and other clinical leadership.

Diagnostic Radiology Positions
* Proactively seek opportunities to assist technologists, within scope of practice, with the following patient-oriented tasks:

Job Summary:
TRA medical Imaging is looking for multiple breast imaging specialists to join our Mammo Technologist team. As a Mammography Technologist you will perform mammographic functions in accordance with ARRT/ACR standards and ethics. The Mammo Tech complies with company policies and procedures to include regulatory changes and prescribed safety standards with the needs of the patient and physician in mind. Shift Schedule: We are looking for a Per Diem US Tech who will be expected to work a minimum of 2 shifts per month. This schedule will include shifts on Monday - Friday on a variable schedule from 6:45AM - 5PM.

Identify Patient/Family Needs
* Explain procedural process (who, what, why, & how long of the procedure).This can be started as a pre procedure phone call prior to the day of the exam.
* Inform families of waiting areas
* Update families of procedural progress, causes of delays
* Use of sedation and recovery process.
* Assess patient's level of understanding
* Make sure arrangements have been made for interpreter, if needed, to enhance understanding.

Job Summary:
This job is responsible for providing support to technologists and other clinical site staff as needed and displays a high level of customer service skills, multi-tasking skills, and is a strong team player. The Medical Assistant (MA) demonstrates significant familiarity with standard concepts, practices and procedures within an imaging center including but not limited to interviewing patients, measuring and recording information in patient charts, and preparing and maintaining examination and treatment areas. Job Summary:
This job is responsible for performing CT functions in accordance with ARRT standards and ethics. The CT Technologist complies with company policies and procedures to include regulatory changes and prescribed safety standards with the needs of the patient and physician in mind. CT Technologist performs duties under the general supervision of Site Manager and Radiologist.
Essential Job Functions:
Prepares patients for CT exams with thorough explanations of the procedures and clear instructions.
Obtains a thorough patient history as it related to the exam to be completed.
Accurately implements the orders of the referring physician, producing images with minimum repeatability.
Performs IV punctures.
Performs necessary computer functions associated with patient exam. (PACS)
Keeps work area and patient exam areas neat and stocked with appropriate supplies.
Participates in orientation and in-service training for personnel.
Be prepared to assist the radiologist in the completion of intricate CT examinations including a range of tissue biopsies and fluid drainages.
Accurately compiles all patient information to include reconfirms patient identification and verifies the procedure requested; verifies the patient's pregnancy status when appropriate; determines whether the patient has been appropriately prepared for the procedure and assesses factors that may contraindicate the procedure, such as medications, insufficient patient preparation or artifacts.
Keeps area stocked with necessary materials to perform procedures without depleting supply.
Coordinates hospital patient examinations by communicating with patient's nurse about exam appointment time, medication, transportation, etc., without incident.
Assists the Radiologist in reviewing the completed study as is applicable.
Understands patient flow of the department, can perform patient scheduling when required, understands the functions of coding and charging of examinations, files examinations properly.
Evaluates lab values, as applicable, prior to administering contrast media and beginning interventional procedures.
Reviews the patient's chart and physician's request to determine optimal scanning parameters for suspected pathology. Verifies the patient consented to the procedure and fully understands its risks, benefits, alternatives and follow-up.
Determines the appropriate type and dose of contrast agent to be administered based on the patient's age, weight and medial/physical status. Explains precautions regarding administration of contrast agents to all patients and nursing mothers.
Administers contrast agents as directed, monitors patient's physical condition during the procedure, monitors patient for reaction to contrast material, and uses appropriate radiation safety devices.
Performs Venipuncture at the request of the Radiologist.
Follows and documents scan protocol and/or Radiologist prescription of parameters without error.
Completes all documentation, paperwork, imaging and archiving necessary to maintain patient file without omissions. Documents how the patient tolerated the examination, contrast material and medication if administered. Reports to physician and documents, without failure, any negative effects the patient may have experienced.
Able to travel to other sites.

Essential Job Functions:
Provides patient care in accordance with company mission, vision and values.
Prepares the patient for a radiologic exam with clear instructions and a thorough explanation of the procedure.
Obtains a thorough patient history as it relates to the exam to be completed.
Able to assist the Radiologist during Fluoroscopic procedures when applicable.
The X-ray Technologist must be able to closely follow provider instructions, prepare radiographic/fluoroscopy equipment, position patients correctly and accurately capture the diagnostic image.
Able to complete examinations in a timely manner while demonstrating a high degree of positioning accuracy in routine imaging procedures.
Adheres to the exam protocols as established by the department
Utilize proper radiation safety devices such as lead aprons and thyroid collars to avoid unnecessary radiation exposure.
Shields patient from unnecessary radiation exposure. ALARA (As Low as Reasonably Achieved) Radiation Safety principle.
Able to assist and radiograph wheelchair patients as well as infants in positioning devices such as a Piggostat.
