POSITION SUMMARY
This position serves as the first point of contact between patients and the practice. Coordinates and guides patient visits from check-in to check-out. Routes phone calls to appropriate departments and provides exceptional customer service. CORE FUNCTIONS
1. Receives all incoming calls from both internal and external lines. Documents messages and routes to appropriate clinical staff. Transfers calls as necessary. Ensure documentation in medical record is complete SBAR. Assist patients with Medical Record Request.
2. Accurate data entry, confirm patient demographics and insurance information. Collect copays and statement balances. Totals charges on patient's super-bill at check-out.
3. Schedules, re-schedules patient's office appointments, follow-up appointments, may prepare patient referrals to specialty care as directed.
4. Prints patient superbills at the beginning of every day. Manage a cover sheet to show every patient that was seen in the office. In addition, track no shows and rescheduled appointments in each clinic.

6. Help with online presence through sending of review request to patients

• Performs appropriate medical screening and procedures, including, but not limited to, breast and pelvic examination. • Provides counsel and advice on family planning methods to patients and receives and handles patient questions and problems relating to these methods. Provides all methods of reversible birth control, including, but not limited to, diaphragm fittings, IUC insertions and removals, contraceptive Implant insertion and removal, and dispensing contraceptive supplies and medications.

• Provides counseling, advice, and care for gender affirming treatment for estrogen-based and testosterone-based care, including medical screening, ordering and monitoring laboratory tests, medication management, and follow-up.
• Provides direct-to-patient telehealth care and management for services including but not limited to: birth control, STI testing and treatment, PrEP, nPEP, gender affirming care.
• Refers patients with abnormal conditions or other medical problems found on the examination to the supervising physician when not covered by standing orders. Makes and follows up on other appropriate medical and social referrals, as indicated. Provides liaison with health and welfare agencies, as needed.
• Understands and participates in the referral/follow-up process. This includes -Maintaining adequate documentation of the notification and follow-up process as specified in the Clinical Protocol Manual.
• Provides unbiased, objective information on abortion, adoption, and parenting as requested by the patient. Provides support and responds to inquiries from abortion patients. This includes screening calls from abortion patients and responding to the needs of the patient.
• Assists with training of staff in clinical standards, environmental maintenance, and health education. Maintains emergency response supplies and materials. Assists in training and clinical check-offs for healthcare assistants as needed.
• Works with the RNs and Resource RN for clinical follow-up of laboratory results, prescription refills, patient calls, messages, and questions. Gives RNs advice and orders for patient care by the standing orders for RNs and the PPFA/PPAZ MSGs.
• Participates in the After-Hours Call program based on a schedule created by PPAZ.

The Health Care Assistant is responsible for the performance of front and back office duties in Planned Parenthood Health Centers. Health Care Assistants are not guaranteed work at any particular Health Center. PPAZ reserves the right to move Health Care Assistants to any Health Center, as needed, for business purposes. PPAZ, from time to time, adjusts its Health Center schedules and, therefore, Health Care Assistants may be required to change their weekly work schedule and total hours worked.

Front Office

Pulls charts for next day readiness.
• Pharmaceutical supply visits - fulfills contraceptive supply orders with correct authorization and documentation. Ensures that supplies are stocked. Ensures prescription labels are present and product inserts are given.
• Billing and cash handling - has a basic understanding of how to operate PPAZ's Practice Management System in relation to cash handling and end of day closing procedures including running memorized system reports, insurance entry, charge entry (billing) and payment entry under the supervision of the Center Manager.
DIRECT RESPONSIBILITIES
Back Office
• Inventory and maintenance - ensures ample inventory and keep supplies in exam rooms and keeps lab well stocked. Sets up rooms at beginning of clinic and in between patient visits. Cleans rooms between patients and at end of clinic.
• Instrument sterilization - maintains the sterilization of all instrument and instrument packs on an ongoing basis.
• Patient education - evaluates patient needs for education on an individual basis and provides same as necessary and appropriate. Properly documents all education.
• Laboratory testing - measures weight, height, and takes blood pressure. Performs lab tests and veni-puncture within scope of practice approval. Documents lab results in patient chart and in lab book. Refers abnormal values to clinician for follow up. Keeps lab area clean according to OSHA standards and guidelines. Provides quality control with respect to OSHA and CLIA standards and guidelines.
• Clinician support - instructs patients on procedures. Reassures patients during exams and procedures, as appropriate. Discusses exam results as instructed by clinician. Teaches contraceptive method or method review based on patient need and per PPAZ protocols. Educates patients regarding abnormal exam findings and treatment. Makes patient referrals as appropriate. Documents all actions appropriately.
• Participates in CQI/Risk management activities and processes including but not limited to: follow up care, documentation, occurrence reporting, and all other agency CQI/Risk management activities.

The Sonographer for our MFM (Maternal Fetal Medicine) clinic performs ultrasound examinations and records the findings. This includes routine ultrasound exams, as well as specialized procedures as directed.
This is a PRN position in our float pool and will require travel to various clinics within the region on an as-needed basis.
Performs nuchal translucency scans per established standards and guidelines.
Completes fetal surveys.
Performs hysterosonograms, as well as 3D-4D scans.
Assists with IUD checks, amniocentesis, and other related procedures.
Evaluates the images for their quality but also interprets what was captured in the image.
Documents/updates information in patient's electronic medical record.
Represents clinic in a professional manner. Treats all customers, internal and external, in a courteous and cooperative manner.
Attends required meetings and participates in team activities and professional development activities.
Demonstrates and embodies the Women's Care mission and core values.
Compliance with all HIPAA rules, regulations, and guidelines.

Qualifications
Qualifications:
High school diploma or equivalent.
Valid OB/GYN ARDMS certification.
Minimum of 2 years of recent MFM experience is required.
Experience with 3D-4D scans.

The Health Care Assistant is responsible for the performance of front and back-office duties in Planned Parenthood Health Centers. Health Care Assistants are not guaranteed work at any particular Health Center. PPAZ reserves the right to move Health Care Assistants to any Health Center, as needed, for business purposes. PPAZ, from time to time, adjusts its Health Center schedules and, therefore, Health Care Assistants may be required to change their weekly work schedule and total hours worked.

General Priorities
Front Office
Front desk reception - greets clients in a professional, friendly manner. Instructs clients how to complete appropriate paperwork. Enters accurate and complete patient information into electronic medical records. Prepares outgoing mail and distribute incoming mail.
Provides general information and patient education including discussing pregnancy options with patients (this includes parenting, adoption, & abortion); provides patients with information on all contraceptive methods including Emergency Contraception. Provides abortion and medical abortion education.
Schedules appointments. Responsible for knowing and understanding all medical services and programs provided by PPAZ, as well as fees.
Maintains medical records - prepares patient charts with proper forms. Files lab results in patient charts. Files patient charts. Transfers patient records between clinics and keeps transfer log updated. Purges inactive patient records. Records pertinent conversations with patients in the medical chart. Pulls charts for next day readiness.
Pharmaceutical supply visits - fulfills contraceptive supply orders with correct authorization and documentation. Ensures that supplies are stocked. Ensures prescription labels are present and product inserts are given.
Billing and cash handling - has a basic understanding of how to operate PPAZ's Practice Management System in relation to cash handling and end of day closing procedures including running memorized system reports, insurance entry, charge entry (billing) and payment entry under the supervision of the Center Manager.
Direct Responsibilities
Back Office
Inventory and maintenance - ensures ample inventory and keep supplies in exam rooms and keeps lab well stocked. Sets up rooms at beginning of clinic and in between patient visits. Cleans rooms between patients and at end of clinic.
Instrument sterilization - maintains the sterilization of all instrument and instrument packs on an ongoing basis.
Patient education - evaluates patient needs for education on an individual basis and provides same as necessary and appropriate. Properly documents all education.
Laboratory testing - measures weight, height, and takes blood pressure. Performs lab tests and veni-puncture within scope of practice approval. Documents lab results in patient chart and in lab book. Refers abnormal values to clinician for follow up. Keeps lab area clean according to OSHA standards and guidelines. Provides quality control with respect to OSHA and CLIA standards and guidelines.
Clinician support - instructs patients on procedures. Reassures patients during exams and procedures, as appropriate. Discusses exam results as instructed by clinician. Teaches contraceptive method or method review based on patient need and per PPAZ protocols. Educates patients regarding abnormal exam findings and treatment. Makes patient referrals as appropriate. Documents all actions appropriately.
Reports incidents timely, comply with, and analyzes affiliate incident reports, and corrective action plans. Implement corrective action plans to ensure incident does not repeat again.
Compiles incident reports for clinician and medical director review and analysis no less than monthly. Examine trends and patterns for corrective action plans, as well as policy and procedure updates.
Participates in CQI/Risk management activities and processes including but not limited to: follow up care, documentation, occurrence reporting, and all other agency CQI/Risk management activities. Critical to this role, employee must exercise discretion in acquiring and disseminating confidential and proprietary information including any patient PHI acquired physically and or electronically.

* Maintain all x-ray equipment, including calibration, QA/QC procedures, and record keeping in accordance with current policy and procedures
Medical Support Specialist Duties
* Perform Department of Transportation (DOT) and Non-DOT drug and alcohol testing
* Prepare patients for physical examinations, including taking vital signs and any required or requested ancillary testing including but not limited to vaccines and injections, phlebotomy, PFTs, audiogram testing and respirator fit testing
* Perform rapid screening tests (influenza, strep, mono, glucose, etc.)
* Assist providers during examination and treatment

Scan insurance card, ID, and other pertinent information into EMR system (HIPAA compliance, authorizations, medical records, etc.).
Set up payment plans for patients unable to pay balances per Women's Care Payment Plan policy.

Answer a high volume of incoming phone calls and respond to patient emails promptly while in accordance with the Women's Care Values

Verify that all patients have had insurance eligibility and registration completed prior to being seen by the provider.
Schedule any follow up appointments upon patient check out.
Ensure all appointments in eCW are “checked out” at the end of each day or appropriately updated.
Ensure that the lobby and front area are always kept tidy and presentable. And, if necessary, cleaning the waiting room.

This is a full-time schedule; Monday-Thursday 7:45- 5pm and Friday 7:45am - 2 pm.
POSITION SUMMARY
This position is responsible for assisting our providers in providing medical care and the maintenance of patient charts and gathering necessary clinical data. This position utilizes professionalism, knowledge, judgment, and skills to provide excellent patient experience.
CORE FUNCTIONS
1. Prepares patients for exam and treatment by rooming patients and preparing them for a clinical exam by one of our providers.
2. Assists providers with exams and minor in-office procedures which could include taking patients' radiographs and drawing up injections. Must always practice universal blood and body fluid precautions and proper use of personal protective equipment as needed. Responsible for prioritization of patient flow through clinical process.
3. Coordinates and manages patient care including pre-certifications, referrals, authorizations, prescriptions, and scheduling of patients for clinic. Responsible for gathering test results and inputting them into patient charts. Acts as a resource to clinicians to provide optimal patient care.
4. Provides clerical support with patient/client notifications and documentation to include but not limited to complete medical records including labs, authorizations, X-Rays, hospital records and any previous care pertaining to each patient visit. Provides complete and accurate information necessary for billing related to the patient encounter in a timely fashion.
5. Maintains a clean, functional environment including cleaning and disinfection of equipment, exam rooms and storage areas. Disinfects equipment and instruments using appropriate solutions following sterilization procedures. Follows manufacturer's recommendations and OSHA guidelines in handling of hazardous substances. Performs basic maintenance of equipment and coordinates needed maintenance for prompt repairs.
6. Orders supplies as directed, stocks patient care areas. Medication ordering and tasks related to all medications (e.g., expired medications/equipment and recalls).
7. Develops and maintains effective communication mechanisms with all external and internal customers. Exemplifies service orientation and the team concept in all contacts.
8. This position will complete all necessary on-boarding/orientation activities.
9. This position works under the direct supervision of Management and the providers. This position interacts with all levels of staff in a variety of departments, physicians, patients, families, and external contacts, such as employees of other health care institutions, community providers and agencies, concerning the health care of the patient. Also interacts with physician's offices to report, ask for or clarify information. Prioritizes data from multiple sources to provide support for the response of the patient and family to changes in health status.
MINIMUM QUALIFICATIONS
High school diploma/GED or equivalent working knowledge.
Requires strong computer skills, including the ability to work with multiple programs including Electronic Medical Record (EMR), Microsoft, and Google suite.
Requires exceptional interpersonal and communication skills. Requires the ability to manage multiple changing priorities in an effective and organized fashion.
Foot and Ankle Clinics of Arizona will sponsor and put every hired Medical Assistant through a radiology course. Completion of radiology course is needed to practice as Medical Assistant for our practice. The hired employee has 4 months from their start date to complete certification. Without the successful completion of certification employment may be at risk of termination.
PREFERRED QUALIFICATIONS/CERTIFICATION/LICENSES
Experience with office medical procedures and treatments and knowledge of insurance, podiatry, or other managed care operations, EMR and scheduling software preferred.
Xray certification and experience preferred.
Additional related education and/or experience preferred.
