PRIMARY FUNCTION: Play a key role as part of membership coordination and entry by collecting and managing Vision Member Tracking System (MTS) data to analyze business functions, productivity and redundancies. In addition, NYOI YDP creates systems for attendance tracking, including internal audits. NYOI YDP is responsible for training selected staff to collect, enter and submit units. KEY ROLES (Essential Job Responsibilities) Program Development and Implementation Greet and welcome all visitors. Answer telephones, provide general information, refer callers to other staff or take messages as necessary. Answer inquiries about BGCC programs and activities and when necessary transfer information to appropriate staff. Responsible for cataloging, organizing and sharing data with staff to facilitate data analysis. Maintain Vision Member Tracking System (MTS) database by entering new/updated member information. Track program attendance and enter information into Vision Member Tracking System (MTS) database. Enter new/ renewing member registration forms into Vision Member Tracking System (MTS). Assist in developing tools that will streamline the data collection process. Create auditing tools alongside Club Experience Director to ensure data is up to date and completed quarterly. Maintain regular communication with Site Directors/Coordinators about attendance, membership data and data findings. Identify data tracking errors and communicate them to Club Experience Director and Director of School Services. Review and audit Vision MTS on a regular basis to ensure accuracy of data. Make corrections and additions to database records as required. Uses in-depth knowledge of the database to extract data and generate required reports and queries analyses in varying formats as requested. Maintain member confidentiality and protect operations by keeping information confidential. Train and hold Site Directors/Coordinators accountable for adhering to the organization's attendance standard operating procedures. Develop and implement systems to ensure timely and accurate entry of all membership and attendance data. Generate necessary LAUSD enrollment files on a monthly basis. Responds quickly and effectively in emergencies. Be alert to any situation or condition, which requires the VP of Operations, Senior Director of Operations, Director of School Services, Club Experience Director attention. ADDITIONAL RESPONSIBILITIES: May participate in special programs and/or events. May be required to help in other program areas. · Create reports pertaining to attendance, registration, end of the year data, MTS, etc. Assume other duties as assigned. RELATIONSHIPS: Internal: Maintains close, daily contact with Club staff (professional and volunteer), Club members, and supervisor to receive/provide information, discuss issues, explain guidelines/ instructions; instruct; and advise/counsel. External: Maintains contact with external community groups, schools, members' parents and others to assist in resolving problems.     Job Description DEPARTMENT: Programs REPORTS TO: TOSA, Lead YDS & Assistant Director of Program Services Hours: Varies based on location M/T/Th/F 1p or 2p - 6 pm & Wed 12:15p - 6p Rate: $22.00/hr PRIMARY FUNCTION: Implement programs and activities provided by HEARTS Supervisor. Must monitor and evaluate situations using good judgment and behavior management techniques. Create and maintain a safe environment for members and adults within the program space. KEY ROLES (Essential Job Responsibilities): Prepare Youth for Success Create an environment that facilitates the achievement of Youth Development Outcomes: Promote and stimulate program participation with members. Provide guidance and role modeling to members. Provide homework help Program Implementation Effectively implement and administer services and activities for students. Ensure the safety of students is considered when implementing programs and activities. Ensure program space/area is organized and cleaned during and after use. Supervision of Youth Provide guidance, affirm positive behavior and act as a role model and mentor to youth. Provide a safe environment through active supervision, setting clear expectations and maintaining clean program areas. Never leave members unsupervised and implement and follow School behavioral guidelines. Professionalism Ensure a productive work environment by participating in staff meetings as required by supervisor or senior staff. Maintain a good reputation and moral conduct outside of work, in the community and on social media networks. Adhere to organizational policies and procedures as described in the organization's Employee Handbook, Staff Code of Ethics, and elsewhere. ADDITIONAL RESPONSIBILITIES: 1. May participate in special programs and/or events. RELATIONSHIPS: Internal: Maintains close, daily contact with Club staff (professional and volunteer), Club members, and supervisor to receive/provide information, discuss issues, explain guidelines/instructions; instruct; and advise/counsel. External: Maintains contact with external community groups, schools, members' parents and others to assist in resolving problems. SKILLS/KNOWLEDGE REQUIRED: High School diploma or GED. Must pass the School District Instructional Aide Test or have a Bachelor's Degree. Experience working with children (volunteer work counts). Able to review and implement lesson plans provided by the District. Knowledge of youth development stages. Early Childhood education credits are plus. Ability to motivate youth and manage behavior problems. Ability to deal with the general public. Ability to plan and implement quality activities for youth. Ability to organize and supervise members in a safe environment. Ability to work independently and as a member of a team. Interpersonal skill development and maintenance. Valid State Driver's License or California ID card. Must clear TB, Drug Screen and Fingerprint check. CPR & First Aid Certifications - required within 6 months of hire date. PHYSICAL REQUIREMENTS/WORK ENVIRONMENT: Ability to walk, stand, bend, squat, climb, kneel and twist on an intermittent or sometimes continuous basis. Ability to grasp, push, and pull objects such as files, carts, sports equipment, etc. and reach overhead. Ability to lift up to 25 lbs. This role requires about 85% walking and/or standing, and 15% sitting. This position will be in-person, working at a school site. Frequent exposure to noise. Will work indoors and outdoors.
