Job Summary Administers and coordinates the activities in support of obtaining subcontractor bid coverage throughout the estimating process for either bid or negotiated client projects. Essential Duties and Responsibilities Prepare construction documents and supporting documentation (appendix specification, etc.) for distribution to vendors/subcontractor. Utilize various resources for the solicitation of qualified subcontractors, including but not limited to Menemsha field resources, Oneteam.com, project management, online sourcing, unions, landlord referrals, etc. Identify subcontractor/trade requirements for associated project(s). Communicate with assigned project manager/estimating team to identify qualified subcontractors to solicit and confirm trade list is accurate and meets the requirements of the project scope as identified within the construction documentation provided. Solicit subcontractors via phone, heavy phone contact required, to gain subcontractor interest. Phone follow-up for subcontractors interested in bidding. Respond to subcontractor calls regarding the project or additional information needed. Secure the correct response from Estimating, Project Manager as required to respond timely to the subcontractor(s) questions. Timely management of subcontractor bid responses. We look forward to saying hello. Job Summary This position is considered a training ground relative to Menemsha's general policies and procedures. Within this position the individual will have the opportunity to develop their client service skills, communication skills, technical skills, overall project management skills, plus continued development of construction knowledge. Individual must have the willingness to service client base and sales volume under the direction and guidance of Senior Project Management/Director of Construction. They must ensure compliance of procedures established by management regarding safety, profitability, scope, quality, and overall construction methods. They must have the ability to communicate to all levels of field personnel, client contacts and internal departments. A primary goal of this position should be to develop and pursue continuous self-improvement within the field of project management, including but not limited to - estimating, budgeting, scheduling, negotiation, quality control, equipment, construction field management, superior communication, and client service. Essential Duties and Responsibilities Coordination, Take-off, Procurement, scheduling, and logistics of Procurement items as needed (client specific) Research permit availability/tracking and prepare, submit and/or record documentation for local municipality officers, as required. Review, document and understand client contract terms. Manage to those terms and ensure adherence to mitigate Menemsha's Liability, (i.e.: Insurance, billing terms, weekly deliverables from team) Secure Client, Landlord, Municipality Insurance certificates for project start upon Award. Document Control- Monitor plan revisions, distribute to field, subcontractors, project team-as directed by PM. Provide day to day support for field superintendents and Menemsha trade labor resources, as required to support PM, including on site. Support project team with receiving & processing project submittals for PM Review, as required. Review/qualify project submittals and submit for architect or client approval, as required. Secure/Release POs for Material, Finish purchases, as negotiated and directed by PM. Research, negotiate and procure warehousing, as required. Write/develop Trade/ Subcontractor for Minor Scopes of Work for contract execution, as approved by Project Manager for contract release. (Ex: Inclusive of cleaning, paint, minor flooring scope, FRP, insulation, bath accessories, doors, hardware, concrete cutting) Qualify and Negotiate subcontractor labor and materials, within budget restraints as directed by PM - (Includes: minor, major, MEP, complex trades) Reporting project schedule updates, % complete. Adjust schedule as needed throughout project duration. (PM review and approval) Review RFIs, remitted by Field prior to submittal to Architect/Client, as directed to ensure that information is accurate and/or not contained within the construction documentation provided. Track timeliness of responses for RFI's, change orders, submittals etc. to support project/program schedule. Track Procurement Items and coordination, manage the schedule for shipping/delivery, as needed. Support preparation of project/program specific reporting, as required by contract/client/internal. (I.e.: Weekly client reports, project schedule updates, program master schedule updates.), as directed. Coordinate timely closeout of project. Track punch list items thru completion. Work with subcontractors, field supervisor for scheduling, as directed/needed. Conduct site walks, progress/conditions, as directed. Communicate site concerns, issues. Partake in providing recommendations to rectify site issues. Support project manager with identifying and preparing client change orders. Reviewing subcontractor documentation, scope, collecting appropriate documentation, preparing for submittal to client, post to job record, maintain, and track status of approvals. (PM review and approval). Warranty calls, Research, and fulfill warranty requirements.
