We are seeking a detail-oriented Lab Planner/Scheduler to join our operations team supporting critical laboratory facilities. In this essential role, you will serve as the central coordinator for all routine maintenance activities, ensuring seamless laboratory operations through strategic planning and scheduling. You will optimize analytical instrumentation uptime, manage vendor relationships, and maximize technician workforce utilization while working closely with end users to minimize operational disruption. This position is vital to maintaining the high-performance standards our clients expect from their laboratory facilities and directly contributes to JLL's commitment to operational excellence in specialized facility management.
What your day-to-day will look like:
• Plan and schedule vendor visits for analytical instrument preventive maintenance, coordinating with external service providers to optimize schedules and minimize laboratory disruption
• Escort vendors during maintenance activities to ensure safety compliance and quality standards while managing vendor documentation, service reports, and maintenance records
• Plan and schedule internal instrument and mechanical technicians for calibration activities across all laboratory areas, optimizing labor utilization through workload analysis
• Work directly with laboratory end users to understand operational needs, resolve scheduling conflicts, and provide advance notice of planned maintenance activities
• Balance routine maintenance requirements with backlog and emergency repair needs while monitoring maintenance costs and identifying optimization opportunities
• Generate regular reports on maintenance performance and technician utilization, documenting delays or issues for continuous improvement
• Coordinate availability of spare parts, consumables, and specialized tools required for maintenance activities
Required Qualifications:
• From 2 to 5 years of laboratory operations or maintenance coordination experience
• High school diploma
• Experience coordinating with external vendors and service providers, including managing service contracts
• Proficiency with scheduling software and computerized maintenance management systems (CMMS)
• Knowledge of analytical instrumentation (HPLC, GC-MS, spectroscopy, etc.) maintenance requirements and calibration principles
Preferred Qualifications:
• Bachelor's degree in Chemistry, Engineering, Laboratory Sciences, or related technical field
• Hands-on experience with analytical instrumentation maintenance and calibration procedures
• Project management or scheduling certification (PMP, CAPM, or similar)
• Previous experience in vendor escort and safety coordination roles within laboratory environments
• Understanding of preventive maintenance best practices and maintenance management software
• Proficiency in Microsoft Office Suite, particularly advanced Excel skills for scheduling and reporting
• Experience with laboratory safety protocols and regulatory compliance requirements
• Familiarity with pharmaceutical or biotechnology laboratory operations
• Experience working in client-facing facility management roles

What this job involves: We are currently seeking an Environmental Health and Safety Specialist (EHS) to join a JLL client account team within the Life Sciences industry. The EHS Specialist position will be key member of the site team and provide EHS advisory and execution services to support the hard services operation at the site. What your day-to-day will look like:
Become reliable point of contact for HSE requirements and activities for the site - for JLL management and technician staff.
Identify, eliminate, and control hazardous conditions that may lead to injury, property, or environmental damage using standards, best management practices, and analytical techniques.
Communicate HSE needs and results to technician staff, Senior HSE Management, and site leadership.
Assist in developing and implementing comprehensive HSSE programs and initiatives that comply with regulatory requirements and promote employee participation and accountability. Examples include hazard assessments, contractor safety, isolation of hazardous energy, chemical management, incident management, emergency procedures, among others.
Play a lead role in the continued development and refinement of JLL's HSE culture and training programs at the site including periodic review and updates to training matrix.
Ensure that accidents, injuries, near misses/good catches, and other events are captured, and the data is managed and reported. Manage the OSHA 301/300 recordkeeping requirements for the site.
Participate in incident investigation, root-cause analysis, recordkeeping, and follow-up including implementation of effective corrective actions, and prepare communications to share the lessons-learned from such events across account operations.
Ensure that appropriate site and business specific programs are implemented, documented and standardized to effectively and efficiently meet KRI's/SLAs and legal requirements.
Conduct and/or participate in HSSE inspections and audits, and support on time closure of corrective actions.
Support the HSE Americas team in rolling out new compliance and best management practices programs across the account (and occasionally support JLL-wide HSE activities).
Required Qualifications:
1 to 3 years' experience working with HSSE compliance and management systems preferably within facility operations

Ensure infrastructure documentation, compliance and AHJ requirements are closely managed.

Required Qualifications:

Strong command of FDA regulations, cGMP, and other relevant compliance standards.
